Custom Waadi registration check for suppliers

If you hire in staff, you must verify that the lender is correctly registered. If you do business with a lender that is not, you can be fined too. With dozens of lenders and subcontractors, that is impossible to keep track of by hand. Appfront builds software that checks every lender before they start work and periodically afterwards, with the evidence of each check kept on file.

What is software for checking suppliers' Waadi registration?

The Waadi (the Dutch Allocation of Workers by Intermediaries Act) requires companies that supply workers to have this registered in the KVK Commercial Register. The hirer must check that their lender is correctly registered before doing business with them. This can be done with the free Waadi check from the KVK (Dutch Chamber of Commerce), using the lender's KVK number.

A single check is quick. The problem lies in the numbers and the timing. A large company works with dozens of temp agencies, secondment firms and subcontractors that sometimes also lend out staff. New ones are added, registrations change, and in an inspection by the Labour Inspectorate you want to be able to show when you checked what. A screenshot in a folder is not a file.

The Wtta (the Dutch Act on the Authorisation of Temporary Staffing Agencies) changes this. Registration is replaced by an authorisation system, and hirers may only hire from authorised lenders. We build the software so that the check works with today's source and can switch to the public authorisation register without your file having to start over.

How we build your software for checking suppliers' Waadi registration

We start with your hiring-in: which lenders you work with, where their details are held, and who decides on a new supplier or a new deployment. Then we look at which source is available for the check and how you are allowed to use it. We often start with the list of current lenders, because that immediately shows where things go wrong. The check before every new deployment, the periodic repeat and the integration with your purchasing or planning system follow once that is running well. After that, we keep the software up to date when the law or the source changes.

What software for checking suppliers' Waadi registration actually does

The components below appear in almost every registration check. Which ones you need depends on your hiring-in and your systems.

Pre-send checks

Before the deployment starts.

Periodic check

During the deployment too.

Evidence per check

Date, source and outcome.

Alerts

When a registration is missing.

Block

No new deployment without a check.

Who we build software for checking suppliers' Waadi registration for

The software is intended for hirers who work with many lenders and want to be able to demonstrate that they have checked. The more suppliers and the more frequent the new deployments, the more it delivers.

Construction and engineering

Subcontractors that also lend out staff.

Logistics and production

Many flex workers at once.

Purchasing and HR

One file per lender.

Managed services

Why choose Appfront for your supplier Waadi registration check software?

A fine because one temporary staffing supplier wasn't properly registered, or a check you can't prove you carried out, costs a hirer money and time. That's what we build on: every supplier checked before deployment, the evidence retained, and a file that survives the transition to the Wtta.

Nothing forgotten

Every supplier, every time.

Evidence for every check.

Future-proof

Security and privacy in supplier Waadi registration check software

The software mainly processes business data about staffing suppliers: name, Chamber of Commerce number, registration and contact person. Personal data of the temporary workers is not needed for the check and stays in your own systems. Access is set up per role and every check is logged.

The software runs in a European data centre, with encrypted storage and daily backups. We use the source of the check only as the provider permits, and record the processing in a data processing agreement.

Frequently asked questions about supplier Waadi registration check software

Questions hirers ask before they get started.

It's the check on whether a staffing supplier is registered in the Dutch Commercial Register (KVK) as a company that supplies workers. The hirer must verify this before doing business with the supplier. The KVK offers the free Waadi check by Chamber of Commerce number for this purpose.

The supplier can then be fined, and so can the hirer if they do business with that supplier. Note that a correct registration doesn't protect the hirer against all liability, for example for wages. Take advice on this from your lawyer or trade association.

With a handful of suppliers, that works fine. With dozens of suppliers, new deployments every week and registrations that change, it will go wrong sooner or later. And in an inspection you want to be able to show what you checked and when. The software runs the check every time and retains the evidence.

With the Wtta, a licensing scheme for suppliers replaces the registration, and a hirer may only use licensed suppliers. The check then shifts to the licensing register. We build the software so that this switch can happen without your file having to start over.

Yes. The software can hold a new supplier or a new deployment until the check comes back green, and write the result back to your purchasing, contract or planning system. We'll look at which integration that requires in the first step.

Before every new supplier and every new deployment, and periodically afterwards for as long as workers are placed through that supplier. You decide how often. If the outcome changes, the person responsible receives an alert.

For hirers with many suppliers and subcontractors, such as in construction, logistics, manufacturing, healthcare and cleaning, and for parties that arrange hiring on behalf of others. If you work with a single regular staffing agency, a periodic manual check is often enough.
