Changes at customers and suppliers arrive automatically The right action for each signal Your business contacts file kept up to date

Custom Business Register integration

Appfront builds integrations with the Dutch Chamber of Commerce register that track changes among your customers, suppliers and other relationships: a new address, a different director, a deregistration or a bankruptcy. Signals arrive via the KVK Mutation Service whenever something changes in a registration you're monitoring. The integration retrieves the new details, compares them with your own relationship records, and prepares the right action for each change. So your CRM, accounts receivable or procurement doesn't keep working with data that has been out of date for months.

What is a Trade Register integration?

Businesses change: they move, appoint a new director, change legal form, are deregistered or go bankrupt. These changes are recorded in the KvK Trade Register. If you have many business relationships, you want to know about them the moment they happen, not only when an invoice comes back or a payment fails to arrive. With the KVK Mutation Service you receive a signal when something changes for a registration you follow.

Without an integration, customer master data is checked only once, when a customer is created, and never again. An address goes out of date, a director who has already left still signs a contract, a customer who has gone bankrupt still receives a delivery on account. Checking the entire file periodically takes time and always lags behind the facts.

We build custom software because the integration has to fit your customer data and your processes: which relationships you want to track, which system they live in, which changes matter to you, and what should happen for each change. An address change can be updated automatically, while a deregistration or bankruptcy calls for a task for an employee or a block. Looking up and enriching company data is covered on our KvK API integration page; this page is about tracking changes.

Signal on a change

Relationships from your systems registered with the Mutation Service, so a change in the Trade Register triggers a signal automatically.

Compared with your file

The new details retrieved and set alongside your own contact data, so it is clear exactly what has changed.

Action by type of change

An address updated automatically, a new director reported, a bankruptcy flagged as a block and a task for the right colleague.

How we build your Companies House integration

We start with your relationships: how many there are, in which systems, which changes matter, and when a relationship last turned out to have long since ceased.

1
Mapping relationships and rules

Which relationships you follow, in which systems, which changes matter, and what must happen for each change.

2
Registration and signals

Registering relationships with the KVK Mutation Service, and receiving and processing signals via your KVK subscription.

3
Comparing and actions

Retrieving new data, comparing it with your records, and updating, reporting or blocking according to the type of change.

4
Testing and maintenance

Testing with real relationships, a log of each change, and maintenance when KVK services change.

What a Chamber of Commerce integration actually does

The components below feature in almost every integration for tracking changes. Which ones you need depends on your relationships and processes.

Enrolment

Relationships from your CRM, ERP or accounts receivable registered for monitoring, and deregistered when they are no longer a relationship.

Alerts

Signals from the KVK Mutation Service received and processed per registration.

Retrieving data

Current registration details retrieved via the KVK API.

Comparing

Old and new data side by side, so it is visible what has changed.

Lines

An action for each type of change: update, report, task or block.

Audit log

For each relationship, which changes occurred and what was done about them.

Who we build Chamber of Commerce integrations for

The integration is intended for organisations with a large file of business relationships.

Suppliers on account

Many business customers on credit. Deregistrations and bankruptcies are the core concern.

Financial services providers

Clients with customer due diligence requirements. Changes in directors matter most.

Debt collection agencies

Files on companies that must be contacted. Addresses and deregistrations are what is needed.

Government bodies

Company records in in-house systems. Keeping the database current is the core concern.

Technology and integrations

This page is about tracking changes in the Trade Register (Handelsregister). For looking up and enriching company data, see our page on a KvK API integration; for customer credit, our page on credit limit monitoring; and for outstanding invoices, our page on accounts receivable management. Why Appfront for your Chamber of Commerce integration?

A relationship database becomes slightly outdated every day. We build on that: changes that arrive automatically, the right action for each change, and a database that stays accurate.

Not playing catch-up

A change arrives as it happens, not at the next check of the entire database.

No deliveries to a bankrupt company

A bankruptcy or deregistration becomes a block and a task before any further delivery.

Less manual work

Addresses and names are updated; colleagues only look at what a decision requires.

Security and privacy for a Chamber of Commerce integration

The integration processes data about companies and their officers, including the names of directors. Only what is needed for your processes is stored. Keys for the KVK services are kept encrypted and are used only by the integration.

The integration runs in a European data centre, with encrypted storage, daily backups and a log of every change.

Frequently asked questions about a Chamber of Commerce integration

Questions organisations ask before they get started.

He registers your relations with the KVK Mutatieservice, receives signals when something changes in a registration, retrieves the new details, compares them with your records, and prepares the right action for each type of change.

A service from the KVK that sends signals about changes in the Trade Register, such as new and amended registrations. Market parties connect via an API under a subscription; government bodies preferably connect via Digilevering from Logius.

The KvK API integration is about looking up and enriching company data, for example when creating a customer. This integration is about tracking changes afterwards. The two complement each other.

Among others, changes to address, name, legal form, officers, deregistrations and insolvencies. We look at which signals your subscription provides and which data goes with them in the first step.

Yes. The Mutation Service and the KvK API require a subscription with the KvK. We build the integration; you arrange the subscription with the KvK.

You decide that per type of change. An address can be updated automatically; a deregistration or bankruptcy usually becomes a task or block for a member of staff.

Ask that first. Some CRM packages have an integration with the KvK for looking up data, and a few also for changes. Custom software makes sense if you hold relationships in several systems, if each change needs its own action, or if the signals must feed into your credit and accounts receivable process.

Would you like to know about changes to your relations the moment they happen?

Tell us how many relations you have, which systems they sit in and which changes matter to you. We will show you what the signals, the comparison and the actions look like.
