Bullhorn is an international CRM and ATS and the market leader among mid-market and enterprise recruitment firms. The platform brings together candidate database, job postings, sales pipeline, time tracking and onboarding in one environment. Modules such as Bullhorn ATS, Bullhorn CRM, Recruitment Cloud, Time & Expense and Onboarding work together, but only become truly productive when they are integrated with your payroll, accounting, eSigning and external portals.
In practice, custom integration means synchronising candidate and placement data in real time with NMBRS, Visma, AFAS or ADP for payroll processing, automating client onboarding via the KvK API and eHerkenning, having employment contracts signed digitally through DocuSign, Adobe Sign or Signhost, and feeding the entire recruitment stack into Snowflake or BigQuery for business intelligence.

Bullhorn to payroll
Integration with NMBRS, Visma, ADP, Loket or AFAS Personal & Salaris. Placement fields, contract type, hourly rate, CAO category and cost centre flow automatically as soon as the placement is finalised in Bullhorn. Changes such as contract extensions and rate adjustments follow the same route.
Bullhorn to accounting
Invoice lines from Time & Expense go directly to Exact Online, Twinfield, AFAS Financieel or Visma eAccounting. Debtor, general ledger account, cost centre and VAT code are configured per client category, with daily reconciliation between Bullhorn and finance.
KvK and VAT validation
Client onboarding via the KvK Trade Register API: trading name, registered address, SBI code and authorised signatories flow straight into the Bullhorn account. VAT numbers are validated against VAT VIES, so invoicing runs correctly from day one and intra-EU supplies are booked properly.
eSigning for employment contracts
From a placement in Bullhorn, employment contracts, freelance agreements or NDAs are automatically sent out for signature via DocuSign, Adobe Sign or Signhost. Status, the signed PDF and the audit trail flow back to the correct candidate and placement record, so HR and compliance don't have to gather documents by hand.
Candidate and client portal
A custom portal where candidates keep their details up to date, submit hours and download documents, and where your end client can see the pipeline, shortlist and invoices. The portal reads Bullhorn as its source and writes changes back via the REST API, so recruiters and account managers always see the same picture.
BI and data warehousing
Bullhorn data is sent daily to Snowflake, BigQuery or your own warehouse: time-to-fill, margin per placement, recruiter productivity and client portfolio on a single dashboard. Marketing automation (HubSpot or Marketo), assessment tools (TestGorilla, Codility, HackerRank) and LinkedIn Recruiter connect through the same layer.

Security and privacy in Bullhorn integrations
Candidate data falls under special personal data, and the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) scrutinises the recruitment sector closely. Appfront builds in line with Bullhorn's security best practices and the OWASP ASVS. This means, among other things: OAuth tokens in secure vaults, webhook signature validation via HMAC, scoped permissions per integration and regular audits of placement and payroll flows.
We document data flows, retention periods and the source of truth per field, so your register of processing activities remains complete and you can demonstrably comply with the GDPR. For temporary-agency related data, we take into account the applicable collective labour agreement (CAO) and retention rules (four weeks to two years depending on category). For AI applications around sourcing and matching, we take the EU AI Act into account: recruitment and HR AI falls under Annex III and is therefore classified as high-risk.

It depends on the system you want to connect and your situation. The Bullhorn Marketplace offers ready-made connectors for many popular SaaS tools, and in some cases a connector is all you need, with no custom development required. Often, however, the exact field mapping your agency requires is missing, or an additional approval or compliance step is needed. In that case, we build a bespoke integration via the Bullhorn REST API, or extend a Marketplace connector with additional logic. For legacy systems, we can also use the older Bullhorn Open API (SOAP). During the analysis phase, we assess the best route for each system, which is often a combination of approaches.
This is one of the most important decisions in a Bullhorn integration, and we make it explicitly for each field. For candidate data (name, contact details, CV, status), Bullhorn is the source. For hourly rates, contract type and cost centre, either Bullhorn or payroll can be the source, depending on where your recruiters and HR prefer to make changes. For invoice and general ledger data, the accounting system is leading. We record these decisions in a mapping document so that everyone, including recruiters, HR, finance and ourselves, knows which direction the data flows, thereby avoiding the classic bidirectional sync conflicts. Idempotency keys and version stamps keep the chain consistent even when changes are made simultaneously.

We build a single integration layer that serves several Bullhorn tenants at once, with separate credentials, a separate payroll integration and a separate finance destination for each tenant. Central governance (monitoring, alerting, secrets) stays in one place, but data from brand A never ends up in tenant B by mistake. For international groups, we account for differences in payroll providers by country and for the correct legal separation between entities.
