Custom inspection certificate software for a rental fleet

Appfront builds software for rental companies that need to track inspections and certificates per machine. For each machine: which inspections apply, when they were carried out, by whom, and when the next one is due. A machine with an expired inspection cannot be rented out, inspections are scheduled on time, and with every rental the valid certificate goes with the customer.

What is inspection certificate software for a rental fleet?

A rental fleet consists of hundreds or thousands of machines and pieces of equipment, and many of them must be inspected periodically: aerial work platforms, lifting and hoisting equipment, forklifts, scaffolding, power tools. A customer expects a rented machine to have been inspected, and often asks for the certificate. Which inspections apply to which machine, and at what intervals, depends on the type of machine and the rules that govern it.

In practice, inspection dates sit in a spreadsheet, and certificates in a folder or in the inspector's inbox. A machine leaves the yard although its inspection expired last week, and nobody noticed. A customer calls for the certificate, and someone goes looking for it. Inspections are scheduled whenever the machine happens to be on site, and a machine that is rented out often falls behind.

We build custom solutions because rental companies differ: which machines and equipment you have, which inspections apply to each type, whether you inspect in-house or use an inspection company, which rental software you use, and how customers want to receive certificates. Which inspections are mandatory for your equipment and at what intervals is something you determine with your inspection company or advisor; the software keeps track of what you record.

Certificate per machine

For each machine, which inspections apply, when they were carried out, by whom, with the certificate attached.

No rental with an expired inspection

A machine with an expired inspection is blocked from rental, and the inspection is scheduled.

Certificate goes with the rental

The valid certificate goes with the rental, or can be retrieved via a QR code on the machine.

How we build your inspection certificate software for a rental fleet

We start with your fleet: which machines, which inspections, who carries them out, and how certificates are currently kept.

1
Map the fleet and inspections

Your machines, types of inspection and intervals, inspectors and rental software.

2
Register per machine

Inspections with date, result and certificate per machine, and the expiry date.

3
Blocking and planning

Blocking rentals when an inspection has expired, and planning between rentals.

4
Certificate and management

Certificate at the rental point or via QR code, integrations, and then management.

What inspection certificate software for a rental fleet actually does

The components below come up at almost every rental company. Which ones you need depends on your fleet.

Machines

Machines and equipment, recorded by type and serial number.

Inspections

Types of inspection, with the interval for each machine type.

Certificates

A certificate for each inspection, with the outcome and the inspector.

Alerts

Inspections due to expire soon, by branch.

Block

No rental of a machine whose inspection has lapsed.

QR code

Retrieve the valid certificate from the machine.

Who we build inspection certificate software for a rental fleet for

The software is intended for rental companies with a large amount of equipment to inspect.

Construction equipment rental

Many machines and branches. Blocking rentals is the core feature.

Aerial work platform rental

Inspections with fixed intervals. Scheduling matters most.

Lifting equipment rental

Customers who ask for certificates. The QR code is what you need.

Why choose Appfront for your inspection certificate software for a rental fleet?

A machine with a lapsed inspection at a customer's site is a risk to both the customer and you. That is what we build around: every certificate recorded per machine, a block when an inspection lapses, and a certificate that travels with the machine.

No lapsed machines leaving the yard

The block stops a machine from being rented out.

Inspections on time

What is due to expire is visible weeks in advance.

Happy customers

The certificate is provided without having to ask.

Security and privacy in inspection certificate software for a rental fleet

The software holds data on machines, inspections, customers and rentals. Access is set by role: an inspector records inspections, the rental counter sees the status, and a customer sees only the certificates for their own rentals.

The software runs in a European data centre, with encrypted storage and daily back-ups.

Frequently asked questions about inspection certificate software for a rental fleet

Questions rental companies ask before getting started with this.

It tracks, for each machine, which inspections apply, when they were carried out and under which certificate; flags inspections that are due to lapse; blocks rentals when an inspection has lapsed; schedules inspections; and sends the valid certificate along with the rental.

That depends on your equipment and the rules that apply to it, for example for lifting equipment, aerial work platforms or electrical tools. You and your inspection company or adviser determine which inspections are mandatory for your fleet and at what interval. The software keeps track of what you record.

If a machine's inspection has expired, or will expire during the requested rental period, the software blocks the rental. With an integration into your rental software, the machine cannot be issued until the inspection has been carried out.

Yes. An inspection company can supply inspections and certificates through its own access or an integration, so they are attached directly to the correct machine. That saves forwarding and storing PDFs.

The valid certificate travels with the rental, for example as an attachment to the booking confirmation. Or the customer scans a QR code on the machine and sees the valid certificate. That way, nobody has to look it up.

Yes, provided that it has an interface. Machines and rentals come from your rental software, and inspection statuses flow back, so the block takes effect wherever the rental is recorded.

Check that first. Some rental software includes an inspection module, and that is enough for a small fleet. Custom development makes sense for many types of inspection, multiple branches, inspection companies that supply data, or customers who want to see certificates.
