Return check on every item Periodic inspection on time Rejected is blocked

Custom app for rental equipment inspection

Appfront builds inspection apps for rental companies: at every return, an item-by-item check with photos and findings; periodic inspection of electrical tools, lifting and hoisting equipment, and climbing gear according to your inspection schedule; and an item that is automatically taken out of rental if it fails or its inspection has lapsed. Damage on return is recorded for charging to the renter, so the discussion is not based on gut feeling.

What is an app for inspecting rental equipment?

Rental equipment is inspected at two moments. With every return, to check that it is complete and undamaged and can go out again. And periodically, because electric tools, lifting and hoisting equipment, climbing gear and pressure equipment must be inspected on a schedule before they are handed to a customer. An app records both per item and per serial number, and links the outcome to the rental: anything that has failed or has not been inspected in time does not leave the door.

Without such an app, the return check sits on a slip of paper, the periodic inspection in an inspection tool or a folder, and rental in yet another system. A drill with a lapsed inspection goes out because the counter cannot see the inspection date; a damaged scaffold comes back without a photo, and the discussion with the renter is about what was already wrong when it was issued.

We build custom solutions because the inspection must match your range and your rental system: which item groups follow which inspection schedule, who inspects and with what authority, how you charge for damage, and which rental package handles issuing. An off-the-shelf inspection app knows nothing about renters, and a rental package knows nothing about checklists.

Return check

On return, per item, a checklist belonging to the item group, photos, findings and the decision: release, clean, repair or fail. Damage goes to the renter with a photo.

Periodic inspection

Per item, the inspection schedule with the last inspection, outcome and next due date, a list of what is due soon, and the inspection certificate per serial number.

Block in rental

A failed item, or an item with a lapsed inspection, cannot be issued. The counter sees why and when it will be available again.

How we build your app for inspecting rental equipment

We start with your inspection schedule: which item groups, which intervals, who inspects, and what happens if an inspection lapses while the item is with a customer.

1
Schedule and range mapped out

Which item groups follow which inspection and at what interval, who inspects, which checklist applies on return, how damage is charged on, and which rental package you use.

2
Items and inspection history

Items with serial numbers in the app, the latest inspections carried over from your current records, and checklists set up per item group.

3
Inspecting on the shop floor

Return checks and periodic inspections on tablet or phone, with photos, findings, repair orders and the inspection certificate.

4
Integrating and taking over management

The block in the rental package, the charging of damage in invoicing, reporting, and afterwards management and new item groups.

What an app for inspecting rental equipment actually does

The components below come up at almost every rental company. Which ones you need depends on your range and on how you inspect today.

Return checklist

A return checklist per item group, with photos, findings, completeness and the decision on the item.

Inspection planning

For each item, the next inspection date according to the schedule, a list of what is due soon, and an alert for items out with a customer when an inspection is about to lapse.

Inspection records

Measurements, findings, outcome, inspector and date per inspection, with the inspection certificate per serial number as a document.

Block and release

Failed or untimely inspected items blocked from issuing, with release after repair and re-inspection.

Damage and charging

Damage on return with photos alongside the photos taken at issue, the repair costs and the charge to the renter.

Reporting

Inspection status per item group, rejection and repair per item, damage per renter and an overview for the insurer or client.

For whom we build an app for inspecting rental equipment

The app is intended for rental companies where inspections are a fixed part of the rental process and where the outcome currently does not reach the counter.

Tool hire

Lots of power tools with periodic inspection and short rentals. Blocking rentals when an inspection has lapsed and quick return checks are at the heart of it.

Equipment and aerial work platform hire

Machines with their own inspections and checks. Inspection planning per serial number and signals for equipment out on hire matter most.

Scaffolding and climbing equipment

Components in large numbers assessed on return. The return checklist and rejection per component are what is needed.

Event hire

Electrical, rigging and staging equipment with safety requirements. Inspection certificates per item and reporting for the client are at the heart of it.

Technology and integrations

This page covers inspecting what you rent out. For the rental business as a whole, see our page on rental software; for inspections of your own work equipment, our page on an inspection log with QR scanning; and for lifting and hoisting equipment, our page on an inspection app with certificate management. You can read about our approach at building software.

For back-office handling, including damage files, costs and recharging, there is our damage registration software for rental machinery.

For rental companies that want to keep certificates for each machine and block hire when an inspection has lapsed, there is our inspection certificate software for a rental fleet.

Why choose Appfront for your app for inspecting rental equipment?

An inspection the counter cannot see protects no one. That is what we build on: inspecting at the item, with the outcome straight into the rental.

No lapsed inspection goes out the door

The inspection status is part of the issue process. An item with a lapsed inspection or a rejection cannot leave, and the counter sees why.

Damage with evidence

Photos at issue and at return side by side. Recharging the renter becomes a comparison, not a debate.

Inspecting where the item is

On the workshop floor, with scanning and a checklist. No form that is retyped later.

Security and privacy in an app for inspecting rental equipment

The app holds inspection data, customer details and photos of damage. Access is set up by role: the inspector records, the counter sees the status, the workshop receives the repairs, and management gets the reporting. Every inspection and every release is logged with name and time.

The app runs in a European data centre, with encrypted storage and daily back-ups. Inspection records are kept for as long as your retention period requires. The integration with the rental package uses its own key, which can be revoked.

Frequently asked questions about an app for inspecting rental equipment

Questions rental companies ask before getting started with this.

On every return it records a check per item with checklist, photos and findings; it plans and registers periodic inspections per serial number according to your schedule; it blocks rejected or overdue items from being issued; and it records damage for recharging to the renter.

Every inspection you carry out per equipment group: testing of electrical tools, inspection of lifting and rigging equipment, climbing gear and pressure equipment, and your own return checks. You set the checklist, the interval and who may inspect for each group; the app follows your schedule.

The inspection status feeds into the rental package. On issue, it checks whether the item has been approved and whether the inspection will not expire during the rental period. If not, the item cannot go out and the counter staff see the reason.

Yes, provided the device exports its results. The measurements are then linked to the inspection of the correct serial number, without manual re-entry. We will look at which device you use in the first step.

On return, the employee records damage with photos, alongside the photos taken at issue. The repair becomes a work order for the workshop, and the costs are added as a line item to the renter's invoice, with the photos as supporting evidence.

Yes. An inspector or engineer can inspect equipment on site, even without coverage; the inspection is sent as soon as connectivity is restored.

Check that first. Some rental packages include an inspection module with a date per item, and that is enough if you inspect only a few equipment groups. Custom development makes sense if each equipment group has its own checklist, if inspections need to be recorded with photos and measurements, or if damage is charged back to renters.
