Evidence for each requirement of the BRL or protocol Audits and findings followed up Always ready for the next audit

Custom Kwalibo accreditation file software

Appfront builds software for soil management companies that want to keep their Kwalibo recognition files in order. For each requirement in the BRL or protocol, it shows which evidence applies, where it is kept and when it was last updated. Audits by the certifying body, internal audits and their findings are recorded and followed up. The file is therefore not a folder rebuilt for every audit, but an overview that is always accurate.

What is Kwalibo recognition file software?

Anyone carrying out soil management work, such as soil investigation, remediation, or the inspection of soil and building materials, needs recognition under the Soil Quality Decree (Besluit bodemkwaliteit). Recognition requires a certificate or accreditation from a certifying body, in line with the requirements of a BRL or protocol. The certifying body audits, and the ILT supervises.

In practice, the recognition file is rebuilt for every audit. The evidence for a requirement sits in a folder, with a colleague, or in an email. An internal audit has been done, but the findings were never followed up. An employee's certificate has expired, and this only comes to light when the auditor asks for it. After the audit, everything goes back in the cupboard until next time.

We build custom solutions because every company is different: which recognitions you hold, which BRLs and protocols apply, how your quality system is set up, and where the documents are kept. Which requirements apply and how they must be demonstrated are determined by the BRL, the certifying body and the regulations; when in doubt, check with them or your adviser. We make sure your evidence stays in order.

Evidence per requirement

The evidence for each requirement of the BRL or protocol, with the date and who maintains it.

Audits followed up

External and internal audits with findings, measures and deadlines, until they are closed.

Always audit-ready

An overview that is always accurate, with alerts before evidence expires.

How we build your Kwalibo recognition file software

We start with your recognitions: which activities, which BRLs and protocols, what your quality system looks like, and where the evidence currently sits. If you already manage recognitions and qualifications in software, we connect to that. The file adds the requirements, evidence and audits so nothing is recorded twice.

1
Mapping your recognitions

Your activities, BRLs, protocols, quality system and documents.

2
Requirements and evidence

Requirements as a checklist, with evidence and an owner for each.

3
Audits and findings

External and internal audits, findings, measures and deadlines.

4
Alerts and management

Alerts when evidence is about to expire, an overview per audit, and ongoing management afterwards.

Why choose Appfront for your Kwalibo recognition file software?

A file that is rebuilt from scratch for every audit eats up the same days each time. We build around that: evidence for each requirement, audits that are followed up, and an overview that is always accurate.

No audit stress

Your file is always up to date.

Findings closed

Every finding has a corrective action.

Nothing expires

Warnings before evidence expires.

Security and privacy in Kwalibo recognition file software

The file contains quality documents, audit reports and data on staff and their professional competence. Access is set by role, and an auditor can be given read access to the parts they need.

The software runs in a European data centre, with encrypted storage, daily back-ups and two-factor sign-in. Changes to the file are logged.

Frequently asked questions about Kwalibo recognition file software

Questions quality managers ask before getting started.

It sets up the requirements of your BRLs and protocols as a checklist, tracks the evidence for each requirement, links individuals' competence, records external and internal audits with their findings, and flags evidence before it expires.

Kwalibo software manages recognitions, individual qualifications and segregation of duties in day-to-day work. The recognition file is about demonstrating compliance: evidence for each requirement, audits and findings. The two can be built together or connected to each other.

That depends on your activities and the BRLs and protocols that apply to them. The requirements are set by the BRL, the certifying body and the regulations; we build them into the software as you have agreed them with them.

Yes, if you wish. An auditor can be given read access to the parts they need for the duration of the audit. That way no folder has to be compiled and sent.

Every finding gets a corrective action, an owner and a deadline. The software reminds you of open findings, and a finding is only closed once the corrective action is recorded. At the next audit you can see what was done about earlier findings.

The checklist is updated. The software shows which requirements are new or changed and which evidence is missing for them, so you can plan the transition.

Check this first. Some quality systems include audit and document management, and that may be enough. Custom development makes sense if you want evidence per BRL requirement, hold several recognitions, or are currently rebuilding the file for every audit.
