Animal care Animal record Custom

Custom animal care software

Appfront builds custom software for organisations working with animals: veterinary practices, boarding kennels, shelters, dog grooming salons and animal ambulances. The animal is at the centre rather than the customer, with a record that carries across visits and stays, and an owner who can view their own details. Get in touch.

What is animal care software?

What makes this sector distinctive is that the customer and the subject are not the same. The owner books, pays and receives communications; the animal has the record. One owner may have several animals, an animal may change owner, and in shelters there is sometimes no owner at all.

In addition, the timeline differs from that for people. A boarding stay has a start and an end with a daily rate in between, a treatment has an aftercare schedule, and vaccinations and worming recur at fixed intervals that someone needs to be reminded of.

Appfront builds this as custom software around your own way of working. If you are mainly looking for automation of text and triage in an existing practice, look at AI automation for the veterinary sector; that is a layer on top and not a replacement for your administration.

The animal at the core

One record per animal with species, breed, microchip number, weight history and history of care, linked to one or more owners who may change over time.

Stay, appointment or treatment

Different types of service, each with its own rhythm: a fifteen-minute consultation, a ten-day stay, a treatment course with check-ups.

Recurring care tracked

Vaccinations, worming and check-ups scheduled per animal, with reminders sent to the owner before the due date passes.

Administration or AI support? Where the line falls

Appfront also has a page on AI in the veterinary sector. The two complement each other and solve different problems.

This page

The system you work in

Animal records, appointments, stays, recurring care, invoicing and a portal for owners. This is the administrative backbone of your organisation.

Our development process for your animal care system

The relationship between animal, owner and service shapes the model. We define that clearly first.

1
Discovery & analysis

We map out which services you provide, how they are booked and charged, which data you record per animal and which recurring care you monitor. We also look at the edge cases: an animal without an owner, an owner with ten animals, a stay that gets extended.

2
Design

We design the model for animal, owner and service, the scheduling and stay logic, the rates and the owner portal, plus the integrations with accounting and payments.

3
Build & iteration

We build in short iterations with automated tests, structured logging and monitoring. You see working versions along the way and steer the work based on what your team actually needs in practice, rather than on a specification written months earlier.

4
Go-live & management

A controlled go-live with validation and a safety net, followed by ongoing management, monitoring and further development as your range of services or practice set-up changes.

What custom animal care software delivers in practice

What is needed varies greatly by type of organisation. These are the components that come up most often.

Animal record

Species, breed, microchip number, weight, allergies, medication and the full history of visits and stays, with attachments such as photos and results.

Schedule and stay planning

Consultations, treatments and stays in one diary, with capacity per type of stay and a view of what is still available during busy periods.

Recurring care

Intervals per animal for vaccination, worming and check-ups, with automatic reminders to the owner and a worklist for your team.

Owner portal

A secure space where the owner can see their animal's details, book appointments and find documents. This removes most of the phone traffic.

Tariffs and invoicing

Consultation fees, daily rates for stays, surcharges for medication or extra care, passed on to your accounting system via an integration.

Medication and stock

What has been administered or sent home, to which animal and by whom, with stock monitoring for the medicines you hold on site.

Typical use cases in practice

The pattern of animal, owner and service recurs across different organisations.

Veterinary practices

Practices that record consultations, treatments and recurring care and want to relieve owners with a dedicated portal.

Boarding and kennels

Organisations with stays, capacity planning and daily rates, where the peak around holiday periods determines the administrative workload.

Grooming and care salons

Businesses with short, recurring appointments per animal, where the history of previous treatments makes the work faster.

Animal shelters and rescue services

Organisations that take in animals without an owner, with shelter, rehoming and accountability towards the municipality or donors.

Why Appfront for your animal care system?

Appfront builds custom software for a wide range of organisations in the Netherlands. In this sector, we pay the most attention to the relationship between the animal, the owner and the service. That sounds simple until you map out the edge cases, and that is exactly where existing packages fall short.

For rotas covering evening, night and weekend shifts, with shift swaps in the app and an emergency line that joins in automatically, there is our emergency shift planning app for veterinary practices.

For the legal administration of animals that are sold commercially, there is our animal registration software for pet shops.

We design from the front desk and the treatment room. Software that gets in the way during a consultation gets filled in afterwards, and then the record is no longer accurate. In this sector, that is a quality problem, not just an administrative inconvenience.

On every project we write clear documentation and make sure your own team, or a future supplier, can understand and manage the system. No black box: transparent code and clear agreements on monitoring, alerting and maintenance. You own the solution and pay no per-user licence fee.

Security and privacy in your animal care system

Data about animals is not personal data, but it can be traced back to the owner, and the owner's name, address and payment details are personal data. Appfront builds to the OWASP ASVS, with the GDPR as the starting point, using role-based access and an audit trail that can be inspected.

In an owner environment, the separation between accounts is the most important point: a person may only see the animals linked to them, even after an animal has changed owner. We build that separation into the model, not the display.

More on our security approach: information security policy and CVD policy.

  • Encryption in transit (TLS 1.2+) and at rest
  • Role-based access following least privilege
  • Audit trail for viewing and changes
  • Secrets in a secure vault, not in code
  • Documented data flows for your record of processing activities
  • History stays intact when ownership changes

Frequently asked questions about animal care software

Answers to the questions we are asked most often.

Because the customer and the subject are not the same thing. A calendar books an appointment with a person; here, the history belongs to the animal, an owner may have several animals, and an animal can change owners. On top of that, a stay is not a time slot but a period with a daily rate.

Yes, and that is usually the biggest time saving. In a secure environment, the owner sees the details of their animal, upcoming appointments and documents, and can book for themselves within the rules you set. You decide exactly what they can see of the medical record.

We model this explicitly, because in shelters and rescue centres it is the normal situation. An animal can exist for a period without an owner, later be linked to someone, and that link keeps the history intact. This is exactly the kind of edge case where off-the-shelf packages fall apart.

Yes. You define the intervals for each animal and the system schedules the reminder, with a work list for your team showing who needs contacting. For many practices, this is both a quality improvement and a source of revenue that would otherwise be missed.

Yes. Calendars, capacity and rates can differ by location while the animal record stays shared, so an animal that visits another branch does not need to be re-entered. You configure access per location.

An owner's name, address and contact details are personal data and fall under the GDPR. Data about the animal is not, but it can be traced back to the owner. We set access by role, observe a retention period, and make sure an owner can request their data.

Yes, that is standard. Invoices and payments go through an integration with your accounts, so you don't have to enter everything twice. Which accounting packages we can connect to depends on their integration options, and we check that in advance.

For a standard veterinary practice, the existing packages are often the most sensible choice. Custom development pays off when you run a combination that doesn't fit the standard model, such as a practice combined with a boarding kennel, or care with brokerage, or when you have several sites with their own rules. If a package fits better, we'll tell you so.
