Digital check-in Barrier and access control Booking system integration

Custom recreation app development

A holiday park app doesn't start at the booking but on arrival. From that moment your guest is on site and their questions are practical: where is my pitch, how do I get through the barrier, what is there to do this afternoon, and how do I order something. Appfront builds custom guest apps for holiday parks, campsites and leisure businesses, integrated with the booking system you already use.

What is a holiday park app?

A holiday park app is a guest app for the period when someone is actually on your site. It handles arrival, gives access to facilities, shows what there is to do, and becomes the channel through which you reach your guests without them having to queue at the desk. That sets it apart from a booking app, which is mainly concerned with the stage before: searching, comparing and reserving.

At most parks the reception desk is the bottleneck, and not because the work is complicated. It is the peak: everyone arrives within the same few hours, with the same questions, and with a statutory registration requirement in between. Under Article 438 of the Dutch Criminal Code, any business offering overnight accommodation must keep a continuous overnight register, recording name, place of residence, date of arrival, the identity document shown and date of departure. Municipalities use that register, among other things, to levy the tourist tax.

A guest app that moves check-in ahead of arrival removes exactly that combination from the peak. This page is about that app. If you are looking for the system that runs the park itself, see parks and leisure software. If it is about the reservation itself, reservation software and booking platform development are a better fit.

Arrival without a queue

Guests complete their details in the app beforehand, including the registration you are legally required to keep. On arrival, only a check is needed, which noticeably shortens the peak at reception.

The key is in the phone

Access to the barrier, gate, accommodation and facilities via the app, tied to the length of stay. Rights expire automatically on departure, so no passes need to be collected or blocked.

Reach without a leaflet

Activities, opening hours, disruptions and weather-related changes reach the guest at the moment they matter. That works far better than a leaflet in the cottage that nobody reads after the first day.

How we build your holiday park app

The app relies entirely on data already held in your booking and park management system. We therefore start with that integration and with the arrival day, as that is where the gain is greatest and the risk most clearly defined.

1
Discovery & scope

We map out the guest journey across your park: from confirmation through to departure, including the moments when your staff are currently called or approached. We also review which booking system you use and what integration options it offers.

2
Design

We design the app around the arrival day and the length of stay, with a data model for booking, guest, accommodation and access rights. We also specify which data the app displays and which stays with you.

3
Build & iteration

We build in short iterations and test on the park itself, because coverage, distances and guest behaviour can't be predicted from behind a desk. We start building the integration with your booking system early.

4
Rollout & support

Rollout to an initial group of guests or one part of the park, then wider. This is followed by ongoing management and further development, with attention to the peak periods when the app is under the heaviest load.

What a holiday park app does in practice

The components you need depend on the type of park and type of guest. These are the features we most often build for holiday accommodation.

Digital check-in and night register

Guests enter their details in advance and show their identity document, so the registration required under article 438 of the Dutch Criminal Code is complete before anyone drives onto the site. That saves time at reception and makes reporting to the municipality simpler.

Access to barrier and facilities

The app grants access to the barrier, gate, sanitary block or swimming pool, tied to the stay period of the booking. Access rights expire automatically on departure, with nothing to hand in.

Map and wayfinding

A map of the site showing the guest's own pitch or accommodation, plus the facilities around it. On large parks this answers a great many questions that would otherwise reach reception or the site manager.

Activities and bookings

The activity programme, with the option to reserve a place for sessions with limited capacity, such as a lesson, a court or an equipment rental. Changes due to weather or availability are visible straight away.

Ordering and paying on the park

Orders from the restaurant, snack bar or park shop, with delivery to your pitch or collection. As these products are delivered outside the app, payment runs through standard methods such as iDEAL or settlement on the booking.

Notifications and faults

Targeted messages to all guests or to part of the park, plus a channel through which guests can report a fault or ask a question. Reports reach the right member of staff rather than a general inbox.

Who we build leisure apps for

Holiday park operations vary widely in scale and type of guest. These are the organisations we most often work with.

Holiday parks

Parks with bungalows, chalets or lodges, where guests arrive within a fixed timeframe and arrival day is the busiest of the week. For the operator side, see custom parks and recreation software development.

Campsites and seasonal pitches

Sites with a mix of touring pitches and seasonal or annual pitches, where permanent guests need different rights and communication from those staying just one night.

Day visitor and attraction venues

Businesses where visitors come for a day and where entry, queues and catering shape the experience. For the specific approach, see theme park app development.

Group accommodation and marinas

Smaller venues with the same registration obligation and access requirements, where reception staffing is often the bottleneck. See also tourism app development and custom hotel software development.

Technology and integrations

The app pulls bookings, guests and accommodation from the system you already use. In the Dutch holiday park sector, that is often a package such as Booking Experts, Maxxton or Recranet. If your package has an API, we connect to it; if there is none or it is limited, we build an intermediate layer that feeds the app without changing your core system. For parks switching systems now, it's worth noting that Stratech has announced it is stopping its activities in the leisure sector, which marks a migration point for part of the market.

If you use Recras and want guests to book within your own app or website, see our page on the Recras integration.

Access systems form the second integration. Barriers, gates and locks usually run on their own controller, which we control via QR, Bluetooth or a network integration. Coverage is a design question here: on a wooded site mobile reception can't be taken for granted, so we make sure critical functions such as access also work when the connection drops. More about our approach: building an app and developing software.

Why choose Appfront for your holiday park app?

Appfront builds custom software with smart technology and thoughtful design, delivered in design and development sprints. For a holiday park app, that means first understanding how an arrival day unfolds at your park, and only then building. The app must work at the busiest hour of the week, not just in a demo.

We start with the integration with your existing booking system rather than with the screen. A guest app that doesn't know who is arriving today and in which accommodation only adds work for reception. Connected properly, the app takes over work at exactly the point where it's under pressure.

The process begins with a no-obligation introductory conversation, followed by planning, development and management. We test on the park itself, because coverage, distances and guest behaviour cannot be predicted from behind a desk.

Security and privacy for a holiday park app

A guest app processes guests' personal data and also records information you are legally required to keep. For the overnight register, this means name, place of residence, arrival and departure dates, and the identity document presented. That does not mean you need to keep a copy of that document: record the type of document and the details the regulation specifies, and keep no more than that.

Access rights call for the same discipline. A key in an app is only secure if it expires: we tie rights to the stay period of the booking, so access lapses automatically on departure and does not have to be revoked by hand. All processing is set up in line with the GDPR, with retention periods that match the legal obligation and never last longer than necessary.

Read more about our security approach: information security policy and vulnerability disclosure policy. Discuss your situation without obligation via our contact form.

Frequently asked questions about a holiday park app

Answers to the questions we are asked most often about custom guest apps for holiday parks.

A holiday park app is a guest app for the period a person stays on your site. It handles arrival, provides access to the barrier and facilities, displays the site plan and activity programme, and serves as the channel through which you reach guests. This is different from a booking app, which focuses on searching, comparing and reserving before the stay begins.

Yes, and that is usually the most important part of the project. In the Dutch holiday park sector, many parks work with packages such as Booking Experts, Maxxton or Recranet. If your package has an API, we integrate with it. If it does not, or the API is limited, we build an intermediate layer that feeds the app with bookings, guests and accommodation without your core system having to change.

It can, provided the app records the data the regulation requires. Article 438 of the Dutch Criminal Code obliges every business that offers overnight accommodation to keep a continuous register of name, place of residence, arrival date, the identity document shown and departure date. We set up check-in so that this data is complete in advance. Always verify the exact implementation with your municipality, as supervision and submission are arranged locally.

We design for that. On wooded or extensive sites, mobile coverage is rarely good everywhere. Critical functions such as access to the barrier are therefore built to work without an active connection, for example with a code or key placed on the device in advance and limited to the stay period. For components that need live data, the interface shows when they were last updated.

Usually, yes. Barriers, gates and electronic locks run on their own controller, which can be reached via QR, Bluetooth or a network integration. What exactly is possible depends on the brand and generation of your installation. We map this out during discovery, because it determines the approach and sometimes whether a component needs to be replaced.

Orders at the restaurant, the shop or for rental items are products and services delivered outside the app. For these, you use regular payment methods such as iDEAL, or the order is added to the booking and settled on departure. Which option is most practical depends on how your point-of-sale and booking system currently handles guest accounts.

Yes. We build the app in multiple languages, matching the languages of your guest mix. This applies not only to the interface but also to the content you manage yourself, such as activities and house rules. For parks with many German or Belgian guests, this is often the feature that removes the most questions at reception.

We build custom software. Parks differ greatly in layout, guest types, facilities and the systems already in use, and the integration with that existing landscape determines whether a guest app removes work or creates it. Custom development fits your actual situation and can grow with you if you expand or switch booking system.
