Commission calculated per file Split across agents and branches Ready for accounting and the notary

Commission settlement software for an estate agent

An estate agency lives on commission: a percentage or fixed amount per sale, sometimes on a sliding scale, shared with a colleague or another branch, and paid via the notary. Appfront builds software for offices and chains that calculates commission per file, splits it across agents and branches, produces the invoice and the statement for the notary, and tracks what is still outstanding all the way through to the accounts.

What is commission settlement software for an estate agent?

When an estate agent is instructed to sell a property, they agree a commission: a percentage of the purchase price or a fixed amount, sometimes with a sliding scale or a bonus. At completion the notary pays out, and the commission has to be split: between the agent who handled the file, a colleague who helped, another branch or a partner agency.

At an office with a few agents, a spreadsheet can still cope. At a chain, or an office with allocation rules, it becomes a calculation exercise, and disputes arise. Which agreement applied to this file, who gets which share, has the invoice been sent, and has the notary paid?

We build software for offices and chains. The agreement is recorded when the instruction is taken, the commission is calculated at completion, and the split follows your rules. The invoice and the statement for the notary are produced, and you can see per agent, branch and month what has been earned and what is still outstanding. With the app on our other page, the agent can do the same on the move.

How we build your commission settlement software for estate agents

We start with your agreements: which commission structures you use, how you split across agents and branches, how you work with other agencies, and how things currently run with the notary and the accounts. Then we integrate with your estate agency system and build the settlement. We often start with the calculation and split per file, because that is where most of the disputes arise. The invoice, the statement for the notary, outstanding items and reporting follow once that runs well. After that, we maintain the software as your agreements or systems change.

Security and privacy in estate agent commission settlement software

The software processes data about clients, buyers, purchase prices and agents' earnings. Access is set up per role, an agent sees only their own files and earnings, and every calculation and correction is logged with who made it and when.

The software runs in a European data centre, with encrypted storage and daily backups. We document the processing in a data processing agreement.

Frequently asked questions about estate agent commission settlement software

Questions that estate agencies ask before getting started.

The app is for the agent on the move: recording the agreement at instruction and sending the invoice when the file completes. The software is for the office and the chain: splits across agents and branches, collaboration with other agencies, outstanding items and reporting. They can be built together and then share the same data.

A percentage of the purchase price, a fixed amount, a sliding scale where the percentage changes with the purchase price, and a bonus for a higher yield. What applies is recorded per instruction, so the calculation is not up for discussion later.

According to the keys you define: per role in the file, per branch, or per collaborating agency. For each file you see who receives which share, and why. An exception can be recorded, with a reason.

Yes. The software produces the statement with the commission for the settlement statement, so the notary can pay out at completion. The invoice to the client is produced at the same time.

Often, yes. Files, instructions and completion dates come from your estate agency system via an integration or an export. We look at which route is available in the first step.

Yes, if you want that. An agent sees their files per month, their share of the commission and what is still outstanding. This means fewer questions to the office.

For estate agencies with several agents, for estate agency organisations with branches or franchisees, for buying and selling agents who work together, and for commercial agents with sliding scales. If you work alone or with one colleague without any split, the app or a spreadsheet is often enough.
