Software for accountancy firms: what we do and don't do.

Powerful off-the-shelf packages already exist for bookkeeping itself: Exact Online, Twinfield, AFAS Profit, Snelstart, Yuki, and the annual reporting and consolidation tools from CaseWare and Visionplanner all do their job well. We have no interest in competing with them. Building your own accounting software for accountancy firms is a multi-year project, does not scale economically, and rarely delivers anything fundamentally better than what is already on the market. What our work does solve is everything around it: the client portal for your clients, the internal workflow from onboarding to file closure, the reporting dashboard that brings together live data from multiple sources, and the productivity tools your consultants and assistants use every day.

For administration firms and mid-market accountancy firms, roughly five to fifty staff, with or without a tax and advisory practice, this is often where the gains lie. Your bookkeeping software is not the bottleneck. The back-and-forth with clients, collecting annual accounts, monitoring capacity and turnaround times, managing your Wwft files and reporting to partners and clients are. That is where we deliver custom software development, built around your existing stack, not alongside it and certainly not instead of it.

The software for accountants that we build therefore always works alongside your existing package. Whether you run entirely on Exact, use a mix of Twinfield for some clients and AFAS for others, or work with Yuki and Snelstart for certain services, the client portal and workflow layer sit on top and pull data from every source into a single unified view. Workflow software for your firm

The software that drives your internal process: client onboarding with Wwft checks, case planning, capacity and staff allocation, progress tracking per client and automatic case closure. Includes a workload overview for partners, so it is clear where the capacity pressure lies and which cases risk missing their deadlines. How a project to build software for accountants works.

Introduction and intake

A conversation in which we understand which packages you currently use, which processes are causing friction, which client segments you serve and which compliance requirements apply (Wwft (Dutch anti-money laundering act), GDPR, and any sector-specific quality rules). We also map out which integrations we will need, such as Exact Online, Twinfield, AFAS or a combination.

Discovery and scope

A workshop with the partners and a round of short interviews with consultants and a few clients. We map out the current process flows and identify where custom software adds value and where standard software is perfectly adequate. At the end, you have a concrete scope, a sprint plan and an initial screen flow for the client portal or the workflow component.

Building in sprints

We work in two-week sprints and deliver a working, testable version at the end of each one. One consultant from your firm acts as product owner, and one partner acts as the sponsor. External users, your first clients, get access early so we can test the portal flow with real data rather than only at go-live. The first tier is ready after a few sprints; a fully production-ready platform takes several sprints. At the end of each sprint there is a short demo for the partners and a preview of the next sprint, so the direction can be adjusted deliberately rather than only in hindsight.

Rollout, training and ongoing development

A phased rollout to your consultants and then to your clients. We usually start with a pilot group of five to ten clients so we can fine-tune the portal flow before the whole portfolio moves over. Training for key users within the firm and a short video introduction for clients. From go-live onwards, we handle monitoring, security patches, integration upkeep and ongoing development based on what your staff and clients encounter in practice. In the first months after go-live, we schedule brief review sessions with the partners, so that changes that make the firm more productive go straight into the next sprint.

Frequently asked questions about software for accountants.

Will you replace our existing accounting software?
No. Exact Online, Twinfield, AFAS, Snelstart, Yuki, CaseWare and Visionplanner are all strong products for their own purpose, and we do not compete with them or recommend a switch as part of our work. What we build is the layer around them: the client portal, the internal workflow, the overarching dashboard and the productivity tools. Your bookkeeping stays where it belongs, and we add what is currently missing or what fits poorly with the way your firm works.
Which integrations can you build with Exact, Twinfield or AFAS?
Almost anything available through their official API: synchronising relations and clients, retrieving transactions and annual accounts, pushing invoices, retrieving VAT returns, passing on timesheets, and retrieving open items for debt-collection flows. For RGS reporting and Peppol/SBR exchange, we work with the existing standards, so that e-invoicing to business clients and communication with the Belastingdienst no longer require separate exports. How does Wwft and KYC work in the portal?
We build the Wwft workflow into your client onboarding: identity verification of UBOs and directors, PEP and sanctions list checks via an external provider, recording of the client acceptance file, risk classification and periodic reviews with automatic alerts when a review is due. Everything comes with an audit trail that meets supervisory requirements, including automated reporting to your compliance officer.
Does this also work for a firm with multiple offices?
Yes. We support multi-tenant setups with separate client pools, partner roles per office and a shared back office where useful. Reporting can be delivered per office or consolidated across all offices. For accountancy firms with an advisory, a tax and a bookkeeping pillar, each type of service can have its own workflow within the same system, while the client portal presents a single face to the client.
How secure is a client portal for our client data?
As standard we work with SSO via Microsoft Entra ID or Google Workspace, MFA for all users, encryption in transit and at rest, and a full audit log of who viewed or changed what and when. GDPR-compliant data processing is the starting point; for firms working with larger corporate clients we also carry out a DPIA and, optionally, a penetration test by an external party in the final sprint. Hosting in an EU region is standard, and we provide data processing agreements.
What determines the cost of a programme?
Four things: the breadth of scope (client portal only versus a full workflow platform), the number of integrations with external systems, whether a mobile version is needed for consultants in the field, and whether you want us to handle monitoring and ongoing development or take it on in-house. We outline the range in the first conversation and always deliver a fixed sprint price so there are no surprises. Is this also suitable for a small bookkeeping firm or freelance bookkeepers?
Not right away. For a sole bookkeeper or a very small administration practice, Yuki, Snelstart or Moneybird are often perfectly adequate. A custom layer is overkill there and rarely pays for itself within a reasonable payback period. Our sweet spot is firms with five or more staff, especially where there are several disciplines (bookkeeping, tax, advisory, audit) or where the client portfolio is growing quickly and the back office cannot keep pace.
Do you also build enterprise software for larger accountancy organisations?
Yes. For larger firms, we also build enterprise software with deeper integrations, multilingual support, a multi-region setup and connection to a corporate identity provider. The difference lies mainly in the weight of compliance, the infrastructure and the way we structure governance around ongoing development: change advisory boards, a release cadence aligned with your IT organisation, and SLA levels for different parts of the system.
How does the transition from our current tools work?
In phases. We let your existing Excel trackers, Outlook folders and shared drives run in parallel with the new system for a while, so consultants can get used to it and we can spot any shortcomings early. We carry out data migration using scripts written for your situation: relationships, ongoing files and outstanding invoices are transferred and checked, with a rollback option should anything go wrong. Only once all teams are comfortable are the old tools archived.
