Registration on the plot Authorisation and dosage Audit and retention obligation

Custom app for spraying records and crop protection

Appfront builds apps that allow growers and agricultural contractors to record their spraying operations at the moment they take place: plot, crop, product, dosage and conditions. On the tractor, even without signal, and ready for audit rather than reconstructed afterwards.

What is a spray record app?

Spray recording means logging every application of a crop protection product: on which field, in which crop, which product with which authorisation number, what dose, when, and under which conditions. This record is mandatory under the Dutch Plant Protection Products and Biocides Act, and must be kept for a set period.

In practice, this is often done on paper in the tractor and only transferred to a system in the evening or at the end of the week. That creates two risks: data that no longer matches exactly, and an audit where the records do not align with what actually happened. For a certification such as GlobalG.A.P., that is a finding.

We build custom solutions because cultivation and recording differ from farm to farm. An arable farmer with large fields needs a different structure than a fruit grower with rows, and a contractor records for several clients at once. Which products you use and which checks you want beforehand are also specific to your business.

Recording in the field

Recording on the tractor or on your phone, with the field taken from your own layout and the crop that is growing there.

Product and dose

The product with its authorisation number and the dose applied, so the record matches what the label permits.

Ready for the audit

Records are kept for the statutory period and can be exported in the format an auditor or buyer requires.

How we build your spray record app

We start with your fields and the products you use. Then we look at what happens on the tractor, because that is where the record is made or missed.

1
Fields and crops

Your field layout becomes the foundation, aligned with how you manage it yourself and with the declaration you submit to RVO. Without that being right, later reports will not hold up.

2
Products and applications

Which products you use, with their authorisation numbers and typical doses. We define which checks the app performs before a record is saved.

3
Recording on the tractor

Input that can be operated with work gloves, works without signal and takes as few steps as possible. This is the part that determines whether the app gets used.

4
Export and management

Reports for yourself, for your buyer and for the audit, in the format they ask for. After that, we manage the app for you.

What a spray record app does in practice

What you need depends on your cultivation and on the certifications you must meet.

Field records

Your fields with crop and area, against which every operation is logged.

Logging applications

Product, authorisation number, dose, water volume and the treated part of the field, completed in a few steps.

Conditions

Date, time, wind direction and temperature belong to the record and help determine whether an application was permitted.

Pre-send checks

The app flags when a product does not belong to the crop or when the dose deviates from what you have recorded, before the record is saved.

Offline working

There is often no signal in the field. Records are stored locally and synced as soon as the connection returns.

Export for audit

Reports by field, by crop or by period, in the format your buyer or certifying body requires.

Who we build a spray record app for

The app is intended for businesses that carry out applications themselves and are responsible for their own records.

Arable farmers

Large fields and a limited number of operations per season. Your gain lies in recording during the work rather than afterwards.

Open-field growers

More operations and more products, often with a buyer who sets requirements beyond the law.

Fruit growers

Rows rather than open plots, and a crop with a high number of sprayings per season. Input must be genuinely quick.

Contractors

You record for several clients and need to keep those records separate and be able to supply them to the right party.

Technology and integrations

The app works on phone and tablet, including without signal, and matches your field layout. For the wider administration of an agricultural business, we have a page on agricultural administration software, and if you operate under certification, take a look at GlobalG.A.P. crop records and audit documentation. You can read more about our approach in the sector at agriculture and horticulture.

For the office side, covering products, permits, advice and reporting, there is our spray records and crop protection software.

For stock and product usage across all clients, with a balanced reconciliation per season, there is our product administration app for contractors.

If you want to keep a full field record alongside spraying, including crop rotation and yield, take a look at our field record software for arable farming.

If you want to look ahead to the harvest alongside your records, read on about our harvest forecasting app.

Why choose Appfront for your spray record app?

A recording app that is too slow on the tractor won't get used, and the records end up on paper anyway.

Fast on the tractor

Logging a spray application should take just a handful of steps, with large buttons and no waiting for a connection.

Checks before things go wrong

We flag a product that doesn't belong to the crop as you enter it. Spotting it afterwards helps no one.

Your fields, your layout

We align with how you name your fields. You shouldn't have to renumber your farm because a package works differently.

Security and privacy for a spray record app

Crop data is commercially sensitive: what you use and how much says a lot about how you run your business. The data remains yours and is not shared with buyers or suppliers unless you choose to do so. If you work as a contractor for multiple clients, we keep those records strictly separate.

For evidential value during an audit, it matters that it is clear afterwards when a record was made and by whom. We capture that for every application, including the moment of synchronisation, so it is visible that the record was made in the field and not compiled later. Data is stored encrypted.

Frequently asked questions about spray record apps

Questions growers and contractors ask about spray records.

For each application: the field and crop, the product used with its authorisation number, the dose and the area treated, and the date. Many businesses also record conditions such as time and wind, as these help determine whether an application was permitted. What is mandatory for your business depends on your crops and your certification.

Yes, and that's a requirement. Records are stored locally on the device and synced as soon as the connection returns. Field data and the product list are also kept on the device, so you won't be left with a blank screen somewhere without coverage.

The app flags when a record deviates from what you have set in advance for that combination of crop and product, for example an unusual dose. The authorisation itself remains your responsibility and that of your adviser; we build the check on the data you enter, not on a judgement about the authorisation.

Yes, that is a common reason to start. The records can be exported in the format an auditor or buyer asks for, per field, per crop or per period. For the complete audit file we have a separate page, as there is more to it than the sprays alone.

We set this up to match the statutory retention period that applies to your situation. The records are kept in their original form, so when you are inspected you can show what was recorded and when, rather than a summary compiled afterwards.

Yes. Records are kept separately per client and can be delivered per client. Your operator selects who they are working for in the field, and the app ensures that record ends up in the correct client file without anything getting mixed up.

Often, yes. Many growers already use a system for crop planning or administration, and it's a shame to enter fields and crops twice. What can be integrated depends on what that system offers, and we find out before committing to anything.

Record your spraying in the field rather than afterwards?

Tell us how you record now and where it gets tricky during an audit. We will look at your crops with you and show what is achievable on the tractor.
