A pension scheme is a promise that spans decades. Contributions come in through employers, entitlements accrue, investments may or may not perform, and at the end there must be a benefit that is correct, backed by an audit trail that can still be reconstructed thirty years later. Wtp, IORP II, DNB supervision, AFM PRIIPs, tax rules and GDPR add a layer of rules to every process.

We build custom software for pension funds, pension administrators, insurers with a pension product, premium pension institutions and employers with large pension schemes who want to integrate their HR IT with their pension administration. We are not replacing a major administration package such as Mercurius, AION, Pension Plan Manager or Civica for the core process. Instead, we build the Wtp flow, the portal, the HR integration or the product line that is not currently covered.

A recurring theme: standard packages handle generic member administration well, but leave gaps where Wtp entitlement conversion is involved, where members and employers need their own digital channel, or where HR systems must pass on in real time what is happening to an employee.

When custom pension software is the right choice.

Standard packages such as Mercurius (TKP), AION (APG), Pension Plan Manager (AZL), Civica, Conduent or Plextek cover generic participant administration well, and there is no need to change them for your core process. We step in where the standard no longer fits, and we see the same patterns recur there.

The new framework isn't in your package yet

The Wet toekomst pensioenen (Future of Pensions Act) requires rights conversion, communication to members, new reports and adjustments to the investment mix. Many off-the-shelf packages offer generic functionality, but your fund has its own transitional rules and exceptions that call for custom software.

Your participants expect a dedicated channel

A portal where members can view their pension accrual, run scenario calculations, link an AOW forecast and report changes. It is built in your house style, mobile-first, with DigiD authentication. For large schemes or funds with many affiliated employers, the monthly Excel-based data submission becomes unmanageable. A real-time integration with AFAS, Visma or Workday prevents backlogs, incorrect premiums and disputes during UPO delivery.

A sector or niche scheme needs its own logic

Sector funds for healthcare, construction or government have rules that do not exist in a generic package: separate premium classes, sector collective labour agreement links, early retirement schemes or specific risk types. Generation of annual pension statements in line with statutory requirements, annual summaries, projection letters, and letters on divorce and retirement — generated automatically with version management and demonstrable retention periods. PDF/A for archiving, standard PDF for post, HTML for the portal and export for the pension register.

DNB returns and AFM reporting

Reporting for DNB supervision (including coverage ratio returns, Wtp reports and recovery plans), AFM PRIIPs information for participants, and IORP II reporting for cross-border funds. Standard export flows, with an audit trail from source data to final report.

Pension data is highly sensitive and retention periods are long. We build role-based access, automatic anonymisation of deceased members in line with your policy, exportability for subject access requests and data minimisation in the integrations: only what is necessary, and nothing more.

Introduction and scope

A conversation in which we understand which scheme you are digitising, which administrator or administration package you currently use, which employers are affiliated, and which Wtp, IORP II or DNB requirements apply. We explicitly discuss what we integrate and what we replace. It is almost always the former, rarely the latter.

Discovery with domain experts

A workshop with your scheme administration, IT, compliance, communications and board. We map the pension lifecycle and its exceptions: accrual, conversion, transfer of value, retirement, death and divorce. At the end, we have a validated scope, an initial screen flow and clarity on the rules engine.

Building in sprints with demonstrable progress

Every two weeks, a working build that you, your operations team and your compliance officer can test. We connect early with the test environments of HR systems and administrators so integration risks don't explode at the end. The first tier runs after a few sprints; a full Wtp conversion is a multi-sprint programme.

Pilot, audit and rollout

Penetration testing, a DPIA and a formal audit round before production. A phased rollout: first a small cohort of members or a single affiliated employer, then scaling up. Ongoing management follows for security, monitoring and further development, for example in response to Wtp transitional arrangements, fiscal ceilings or new DNB reporting requirements.

What funds, administrators and employers usually want to know before we begin.

Will you replace our administration package, such as Mercurius, AION or Pension Plan Manager?
For a complete back-office replacement of a large off-the-shelf vendor, custom software is almost never the right route. Mercurius (TKP), AION (APG), Pension Plan Manager (AZL), Civica, Conduent and Plextek cover generic member administration well. We build the shell, the portal, the Wtp conversion, the HR integration or the product line that sets your fund apart, and connect it to your existing core system via REST or file exchange.
How do you approach the Wtp transition in software?
We build a configurable conversion engine that converts accrued entitlements according to your transition plan, with version history of rules, scenario calculations before implementation and auditable logging for DNB. Communication to members runs in parallel via the portal and automatically generated letters. The engine sits alongside your administration package: we do not replace the administration, we add the Wtp layer.
Can you integrate with our HR systems such as AFAS, Visma or Workday?
Yes, and we do it regularly. We work with AFAS HR, Visma, Workday and BambooHR through their official REST APIs and webhook mechanisms. Joiners, leavers, salary changes and part-time adjustments come through in real time, with validation and error handling. For other systems we work with file exchange, SFTP or a direct database integration where that is safer. See also our page on smart API integrations.
How do you build a member portal with DigiD?
DigiD authentication via a certified connection, with a session and authorisation model that suits pension data. Members see their accrual, download their UPO (pension overview), run scenario calculations (optionally with an AOW integration), arrange value transfers and make changes such as partner pension. Designed mobile-first, accessible for retirees, and measured on actual conversion so the helpdesk doesn't gradually fill up with phone calls.
How do you cover DNB reporting and compliance?
DNB statements are generated in the supervisor's format from operational data, with an audit trail from source through to final reporting. For Wtp, IORP II and recovery plans, we deliver the reporting modules and export flows. We also provide AFM PRIIPs information for participants, and an audit log that makes every change to rights or rules traceable, retained for the periods the supervisor prescribes.
How do you handle GDPR for pension data?
Pension data is especially sensitive (financial situation, health in the case of incapacity for work, family circumstances), and retention periods are long. We build role-based access, automatic anonymisation according to your policy, exportability for subject access requests, data minimisation in integrations, and encryption in transit and at rest. A DPIA for every larger project, together with your data protection officer or compliance officer.
What determines the cost of a custom pension application?
The biggest cost drivers are the number of schemes and product variants, the complexity of your rules engine (DC/CDC/DB/IDC or a combination), the number of external integrations (HR systems, administrators, UWV, payment providers) and your compliance context. DNB supervision makes audit requirements stricter and therefore the build heavier. A member portal is generally considerably lighter than a Wtp conversion engine. Do you work together with our pension administrator and existing IT partners?
Almost always. Administrators such as APG, MN, PGGM, AZL, AON or TKP handle a large part of the administrative process, and we build on top of or alongside them. Your own IT team often provides the connection to core systems, while we build the new application. In the final sprints we handle knowledge transfer, or we run the operation as an enterprise software project with SLA and monitoring.
