Custom Plan4Flex integration development
Appfront builds integrations with Plan4Flex, the planning software for the flex sector that staffing agencies and other flex organisations use to schedule shifts and flex workers. Plan4Flex has integrations with back-office systems, recruitment tools, CRM and BI, and an API for anything not covered by those. We connect Plan4Flex to your own systems: flex workers and clients from your back office or ATS, shifts and worked hours back for payroll and invoicing, and planning figures to your own dashboard.
What is a Plan4Flex integration?
Plan4Flex is scheduling software for the flexible staffing sector. Staffing agencies and other flex organisations use it to plan services for flex workers at client sites. Plan4Flex has integrations with various back-office systems, recruitment tools, CRM solutions and BI, and an API for packages not on the standard list. For businesses with their own systems, that API is how planning and back office are connected.
Without an integration, a flex worker is created in two systems, and so is a new client. Worked hours come from the planning and are entered into payroll by hand. A flex worker submits their availability in a separate app, and the planner transfers it. And management wants occupancy and open shifts per client, which someone pulls from an export every week.
We build custom software because the integration has to fit how you work: which back-office system and ATS you use, which system is the source for temps and clients, how hours are approved, and which figures you want to see. We'll look at which data the Plan4Flex API offers in the first step. We usually start with the flow that costs the most manual re-typing, often hours, and expand from there.
One source per piece of data
Flex workers and clients from your back office or ATS into Plan4Flex, without creating them twice.
Hours to payroll
Hours worked from the schedule to your payroll and invoicing, after approval.
Planning in your dashboard
Utilisation, open services and hours per client sent to your own dashboard.
How we build your Plan4Flex integration
We start with your systems: which ones you use alongside Plan4Flex, how flex workers, clients and hours flow between them, and where data is currently re-typed by hand.
Your back office, ATS, CRM, apps and dashboard, and which data needs to move in which direction.
The Plan4Flex API connected to your systems, covering flex workers, clients, shifts and hours.
Testing with real schedules and hours, error monitoring, and a log for each message.
Phased go-live, plus maintenance when Plan4Flex or your systems change.
What a Plan4Flex integration does in practice
The components below come up in almost every Plan4Flex integration. Which ones you need depends on your systems.
Temporary workers
Flex workers with roles and details from your back office or ATS.
Clients
Clients, locations and roles kept in sync across systems.
Services
Shifts and schedules synchronised wherever necessary.
Hours
Worked hours passed on to payroll and invoicing.
Availability
Availability from your own app or portal fed into the schedule.
Dashboard
Staffing levels, open shifts and hours shown on your dashboard.
Who we build Plan4Flex integrations for
The integration is designed for staffing organisations that use Plan4Flex alongside their own systems.
Staffing agencies
High volumes of shifts each week. Hours passed to payroll are the core of it.
Secondment agencies
Longer placements under your own agreements. Flex workers and clients matter most.
Flex pools run by organisations
In-house flex workers in healthcare or hospitality. Availability is what matters most.
Agencies with their own app
An app for flex workers. Availability and shifts are at its heart.
Technology and integrations
This page covers integrations with Plan4Flex. For staffing software, see our page on an Easyflex integration, for staffing agencies in general our page on staffing agency software, and for temps' hours our page on an app for timesheets. You can read about our approach under building software.
Why Appfront for your Plan4Flex integration?
A schedule and a back office holding different data cost more time than they save. That is what we build around: one source of truth for each piece of data, hours that flow through automatically, and figures without manual exports.
No duplicate entry
Flex workers and clients are created once.
Hours without retyping
Worked hours flow automatically into payroll and invoicing.
Schedule at a glance
Staffing levels and open shifts without exporting anything.
Security and privacy in a Plan4Flex integration
The integration processes data about temps and clients, including personal data and hours. API keys are stored encrypted and used only by the integration, with only the permissions it needs.
The integration runs in a European data centre, with encrypted storage, daily back-ups and a log of every message.
Frequently asked questions about a Plan4Flex integration
Questions flex organisations ask before getting started.
Plan4Flex is scheduling software for the flex sector, used by staffing agencies and other flex organisations to plan shifts for flex workers at client sites. Planners can see, by client and by role, which shifts are open and which flex workers are available.
Yes, with a range of back-office systems, recruitment tools, CRM and BI. Those are often enough. A custom integration is needed for systems not on the list, or for processes the standard setup doesn't cover.
Through the Plan4Flex API and the interfaces of your own systems. We'll look at which data is available in the first step. For each flow we record which system is the source, how often data is synchronised, and what happens when a record has changed in both systems.
Yes. Approved hours from the schedule go to your payroll and invoicing, with the shift details attached. Hours not yet approved stay pending until they have been reviewed, and a correction made after processing is passed on as a correction, so payroll and invoicing stay in line with the schedule.
Yes. Availability that flex workers submit in your app or portal flows into the schedule, so the planner can work with it. Anyone who is unavailable is not proposed for a shift.
The integration reports the problem and records what went wrong. The message is retried or set aside for review. An overview shows which messages have been processed, which are waiting and which need attention.
For flex organisations with their own back-office, recruitment or app systems, where data is currently retyped by hand. With a package from the standard list, the standard integration is often sufficient.
Plan4Flex and your back office with the same data?
Tell us which systems you use alongside Plan4Flex, how hours flow, and where you currently re-type data. We'll show you what the integration would look like.
