Members and contributions from one source Payment status back in your systems Less work for the treasurer

Custom ClubCollect integration

Appfront builds integrations with ClubCollect, the platform clubs use to collect membership fees and other income. ClubCollect integrates with a number of membership administration systems and can receive members via an import or API. For clubs and umbrella organisations with their own membership administration, app or website, we build the integration: members and fees from your own system to ClubCollect, and the payment status back where it is needed.

What is a ClubCollect integration?

ClubCollect is a platform that associations use to collect membership fees and other income, such as contributions for activities, sales and sponsorship. Members receive a payment request and can pay in several ways, and the treasurer can see who has paid. ClubCollect integrates with a number of membership administration systems and can receive member data via an import or an API.

A club with its own membership administration, app or website has to get members and fees into ClubCollect in a different way. This often happens with an export and import at the start of the season, with new members and cancellations tracked by hand afterwards. Whether a member has paid is recorded in ClubCollect, but not in the membership administration or app that coaches and volunteers look at. The treasurer keeps two lists.

We build custom work because associations differ: which membership administration, app or website you use, how fees are structured, what should happen with payment status, and which accounting package your treasurer uses. We'll review which integration options ClubCollect offers in the first step, together with you and, where necessary, with ClubCollect.

Members from one source

Members and fees from your own membership administration into ClubCollect, with changes that flow through automatically.

Payment status returned

Who has paid, visible in the membership administration or app where that is needed.

Less work

No more exports and imports, and no two lists for the treasurer.

How we build your ClubCollect integration

We start with your club: which membership administration, app or website you use, how your fees are structured, and where you currently keep duplicate records. Fees often vary by age, type of membership or team, and some families receive discounts. We document these rules so that the amount sent to ClubCollect matches what the club has agreed.

Lessons and activities alongside membership fees. Contributions matter most.

Technology and integrations

This page is about integrations with ClubCollect. For a custom membership administration system, see our page on membership administration software; for sports clubs, our page on sports club software; and for collections, our page on direct debit software. Why Appfront for your ClubCollect integration?

A member who has cancelled but still receives a payment request makes for an awkward conversation. We build around avoiding that: members from a single source, changes that flow through automatically, and a payment status that everyone who needs it can see.

No duplicate lists

Your membership administration is the single source of truth.

No incorrect requests

Cancellations take effect immediately.

Less work for the treasurer

Who has paid is correct everywhere.

Security and privacy in a ClubCollect integration

The integration handles member data, sometimes of minors and their parents, and payment data. Access credentials are stored encrypted and used only by the integration, and every message is logged.

The integration runs in a European data centre, with encrypted storage and daily backups.

Frequently asked questions about a ClubCollect integration

Questions clubs ask before getting started.

ClubCollect is a platform that allows clubs to collect membership fees and other income, such as contributions for activities, sales and sponsorship. Members receive a payment request, and the treasurer can see who has paid. The club maintains its own membership administration; ClubCollect handles the collection.

Yes, with a number of membership administration systems. Those are often enough. A custom integration is needed for your own membership administration, app or website that is not on the list.

ClubCollect can receive member data via an import or an API. In the first step, we will work with you, and with ClubCollect where necessary, to determine which route suits your system and which data can be sent back.

Yes. A new member or a cancellation in your membership administration is sent to ClubCollect, so that payment requests match who is actually a member. A member who joins partway through the season receives the amount that applies under your rules. You decide how to handle a cancellation after a payment request has been sent.

Yes, if the integration can retrieve the status. Trainers or volunteers can then see whether a member has paid, without having to ask the treasurer, if you want that. You decide who gets access. A simple paid or not paid status is often enough, without amounts or payment details.

The integration reports the failure and records what went wrong. The message is retried or set aside for review, so no member is overlooked. The treasurer or membership administrator receives a notification with the member and the reason, and can resend it once the issue is fixed.

For clubs and federations with their own membership administration, app or website alongside ClubCollect, and for providers of club software who want to work with ClubCollect.
