Why a custom accountancy portal, and when not.

Twinfield Klantenkring, Exact Online Klantportaal, Yuki, Reeleezee, Pinkweb, Pinkweb-PE, Visma iManager, Caseware Cloud, Cosmolex and AccountView WebPortal: for most mid-market accountancy firms a standard SaaS portal works well. It comes with your bookkeeping package, your supplier maintains it, and your clients often recognise the interface from other firms. We would simply recommend it as long as that situation suffices. We do not replace a working standard with unnecessary custom work.

A custom accountancy portal only becomes worthwhile once you grow beyond the standard: a brand experience of your own without white-label branding, multiple disciplines in one view (bookkeeping plus tax plus advisory plus payroll), a deep integration with your firm's system, or a workflow that differs per client segment. For those situations we build portals that fit into your working process rather than sitting alongside it.

Our clients are typically mid-market accountancy firms with five to fifty staff and between two hundred and three thousand clients: administration firms, tax advisers, SME tax specialists and family-business advisers. Sign in with email plus multi-factor authentication as the baseline. Optionally iDIN or DigiD for clients where BSN validation is required for tax returns or allowances. Magic links for easy access for clients who are less digitally confident.

Document upload with OCR

Clients drag receipts, invoices or annual accounts into the portal. OCR recognises the supplier, amount and VAT and sends the scan straight to your bookkeeping package or the right folder in the dossier. No more loose email attachments that have to be entered by hand.

Status

Status tracking per dossier

Visible to your client at a glance: VAT return submitted, annual accounts in draft, advice report on its way, payslip processed. For your team, an overview of which clients still need to provide input and where deadlines are approaching.

Vault

Document vault with version control

All dossier documents in one place with version history, signing status and retention periods. Tax returns, engagement letters, authorisations — accessible to your client from any location where your firm operates.

E-signature

Digital signing

Integration with DocuSign, Adobe Sign, ValidSign or KENA. A client signs with an SMS code or iDIN, and the signed PDF returns automatically to the correct file. For engagement letters, annual accounts, authorisations and notice periods.

Payroll

Payroll and payslip access

For clients who outsource payroll administration to you: employees of your client can view their own payslips without access to the wider file. Integration with Loket or Nmbrs for the payroll data.

VAT flow

VAT return for validation

Your team prepares the return, the portal shows the client a readable summary with the underlying entries, the client approves (or raises a question), and then your team submits it to the Belastingdienst. Audit trail of who has viewed what.

Invoicing

Client invoicing and payment

Your clients can see their timesheet overview, outstanding invoices and payment status in the portal. Payment can be made directly via iDEAL, SEPA direct debit or automatic collection through Mollie. Fewer invoice emails, faster payment.

Integrations with your existing software.

An accountant portal does not stand on its own. It is a layer on top of your bookkeeping package, your payroll system and your payment system. One of the main reasons to choose custom software is precisely the deeper integration that a standard SaaS portal cannot offer.

For payroll administration we integrate Loket or Nmbrs so employees of your clients can view their own payslips. For identity verification, iDIN or DigiD, when you need certainty about the natural person. What is the difference between a client portal and an accountancy portal?
In practice the terms are used interchangeably. "Client portal" describes the portal from your client's perspective (they are your customer). "Accountant portal" describes the same portal from your firm's perspective (you offer it). It is the same software: the same document upload, status tracking, e-signing and integration with your bookkeeping package. We use both terms depending on the context of the conversation.
How does the portal synchronise with our bookkeeping software?
Through the official APIs of your package. For Exact Online and Twinfield there are well-documented REST APIs that let us sync clients, files, invoices and VAT returns in both directions. For AFAS we use the Connector API, and for Visma the SOAP services. Yuki, Snelstart and Visionplanner each have their own interface. We usually build a layer between your office system and the portal so that the synchronisation is live: a change in Exact is visible in the portal within seconds, and an upload in the portal lands directly in the right file.
What does a custom accountancy portal cost?
That depends on scope. A compact client portal with document upload and one integration is a different project from a multi-discipline portal with e-signing, OCR and deep ERP integration across several offices. We work with fixed sprint budgets rather than open-ended hourly rates, so you know in advance what you get and what it costs. In an initial conversation we outline a realistic range and decide together which option fits your growth plan. Will the portal really carry our own corporate identity?
Yes, that is usually one of the reasons to choose a custom build over a standard SaaS portal. You provide your colours, logo, typography and, if you wish, a tone of voice for the interface text. We build the portal so that your clients experience it as an extension of your office rather than an external tool with your brand pasted on top. For networks of offices, white-labelling per location or sister firm is possible.
How do we arrange access and identity for our clients?
For your own staff, we use SSO through your existing identity provider (Microsoft 365, Google Workspace, Okta or Auth0). For clients, there are several options: email and password with multi-factor authentication as the baseline, magic-link login for low friction, or identification via DigiD or iDIN where you need certainty about the identity of the individual (for example, BSN validation for tax returns). The right combination depends on your client segment and the risk profile of what passes through the portal.
Can clients sign digitally through the portal?
Yes. We integrate with the leading e-sign providers: DocuSign, Adobe Sign, ValidSign and KENA. A client opens a document in the portal, signs with an SMS code or iDIN, and the signed PDF is written back automatically to the correct file in your accounting package. For most accountancy workflows (annual accounts sign-off, engagement letters, authorisations), this is sufficient. For more demanding legal processes, we can add qualified electronic signatures.
What about privacy, GDPR and retention periods?
Privacy by design from the first sprint. Encryption of data in transit and at rest, an audit log of who has viewed or changed what, role-based access down to the level of an individual file, and a data processing agreement tailored to your situation. Retention periods follow the statutory tax record-keeping obligation (seven years for administration, longer for property-related documents). For clients in the healthcare sector, we can add extra controls moving towards NEN 7510 level, although an accountancy firm itself is not usually bound by that standard.
Does this replace our current standard client portal?
Usually yes, but it does not have to happen all at once. Some firms start with their own portal for one segment (for example, their larger SME clients) and keep the standard portal of their accounting software for sole traders. We can also run the custom portal alongside Twinfield Klantenkring or an Exact client portal and migrate clients in phases. What suits you depends on the migration costs on your side and your clients' tolerance for change.
