All documents for notification and licence in one place Never miss a change Ready when the inspectorate asks a question

Custom Wtza permit file software

Appfront builds software for care providers and their advisers who must comply with the Care Providers Admission Act (Wtza). All data and documents for the notification and the admission licence in one place: care types, locations, board, internal supervision, policy and supporting evidence. Together with a checklist of what is complete, an alert when a change needs to be reported, and a file that is ready when the inspectorate asks a question.

What is software for the Wtza licence application file?

Since 2022, the Care Providers Admission Act (Wtza) has been in force. Care providers must notify that they are going to provide care, and certain care requires an admission licence, to be applied for with the CIBG. The Act also sets requirements for, among other things, internal supervision. An application and ongoing compliance require a lot of data and documents, and these change as the organisation changes.

In practice, those documents are scattered: articles of association with the notary, the supervisory board's regulations with the board secretariat, policy with the quality officer, location details with administration. For an application, everything is gathered once. Afterwards a new location or a new board member arrives, and nobody thinks to ask whether that must be reported.

We build custom development because the file must fit your organisation: how many entities and locations, which care types, how the board and supervision are arranged, and who manages the documents. The obligations are set out in the law and with the CIBG; what applies to you and when something must be reported, you determine with your adviser or lawyer. The software records what you need for that.

Why choose Appfront for your Wtza licence application software?

A change that isn't reported only surfaces when the regulator asks about it. That is what we build around: documents in one place, a checklist that shows what is missing, and an alert when something changes.

Nothing lost

All documents with version and owner in a single dossier.

Nothing overlooked

A change triggers an alert, prompting the question of whether it needs to be reported.

Ready for questions

A dossier that is ready when the inspectorate or the CIBG asks for it.

Security and privacy in Wtza licence application software

The software holds data on board members, supervisors and the organisation, along with confidential documents. Access is set up by role, advisers see only their own clients, and every change is logged.

The software runs in a European data centre or in your own environment, with encrypted storage, daily back-ups and two-factor sign-in.

Frequently asked questions about Wtza licence application software

Questions that care providers and advisers ask before getting started.

It brings together the data and documents for the notification and the admission licence in one dossier, with version and owner, shows per application what is complete, flags changes that may need to be reported, and keeps the history.

The Healthcare Providers Admission Act (Wet toetreding zorgaanbieders) has applied since 2022. Care providers must notify that they will provide care, certain care requires an admission licence applied for with the CIBG, and the act sets requirements for, among other things, internal supervision.

That depends on, among other things, the type of care and the size of the organisation. The rules are set out by the CIBG. Determining what applies to your organisation is for you to do with your adviser or lawyer; the software keeps track of what you need for that.

No. The application and notification are submitted through the CIBG's portal. The software ensures all data and documents are ready, so completing the forms is quick and nothing is missing.

It flags changes that may be relevant, such as a new location, care type or board member, according to the rules you define. Whether a change must actually be reported is decided by you with your adviser.

Yes. An adviser or lawyer sees a separate dossier per client, and can see per client what is complete and which changes are outstanding. Clients see only their own dossier.

Check this first. A quality management system often manages policies and documents, and that may be enough. Custom development makes sense if you want to organise this specifically for the Wtza, have multiple legal entities, or if an adviser supports several providers.

Is your Wtza dossier complete and up to date?

Tell us how many entities and locations you have, where the documents are kept now and who maintains them. We will show you what the dossier, the checklist and the alerts look like.
