What is VvE software?

VvE software supports the complete management of an Owners' Association: membership administration with all apartment rights and units, levying and collecting service charges and contributions, the multi-year maintenance plan (MJOP) and reserve fund, maintenance and reports, the general members' meeting (ALV) with minutes and votes, documents and the house rules, and a portal where owners view their own details and documents. The association model derives directly from the apartment right in Book 5 of the Dutch Civil Code, the deed of division and the model regulations.

Standard packages often force management into a fixed mould. VvEs differ greatly, however: in the fractional shares and voting ratios from the deed of division, in the allocation key for service charges and in the regulations on which the association is based. A manager with hundreds of VvEs in their portfolio also has different requirements from a large VvE that manages itself. Yes. Since 1 January 2018, the Dutch Act on the Improvement of the Functioning of Owners' Associations (Wet verbetering functioneren VvE's) requires VvEs to set aside money every year for future maintenance. This is based on an up-to-date multi-year maintenance plan (MJOP) or, if there is none, a minimum contribution of 0.5 per cent of the rebuilding value. Software supports this by linking the MJOP, the planned work and the annual contribution to the state of the reserve fund, so the board can demonstrate that enough is being set aside and the AGM can make a sound decision on the budget.

Yes, provided your deed of division and your association's rules allow electronic meetings and voting. The software supports the full cycle around the general members' meeting: sending the invitation and agenda, managing proxies, recording attendance and casting votes, with each vote weighted according to the fractional shares set out in the deed of division. Afterwards, you record the decisions and minutes and share them through the owners' portal. We always align the voting and quorum rules with your own rules.
