Custom software for your SNA inspection file
Appfront builds software for temporary staffing agencies, secondment firms, payroll companies and subcontractors that want to prepare thoroughly for their SNA inspection. For each requirement of NEN 4400-1, you can see which evidence is needed, drawn from the personnel, payroll and financial administration. The inspector's sample is supplied quickly, and findings are followed up until they are resolved. That way, every inspection becomes a check on what is already in order.
What is software for the SNA inspection file?
The SNA certification shows that a staffing agency, secondment firm, payroll company or subcontractor complies with the NEN 4400-1 standard. An accredited inspection body checks this periodically, usually twice a year. The inspector reviews the personnel administration, the payroll administration, the financial administration and the tax and social security contributions, as well as the collective labour agreement and special situations such as working with self-employed contractors or hiring in staff.
In practice, every inspection is a search. The inspector draws a sample of employees, and for each one identity documents, residence permits, employment contracts and payslips must be located. Whether pay meets the minimum wage and the hirer's pay requirements is calculated per employee. Findings from the previous inspection sit in an email somewhere. And the evidence for tax and social security contributions comes from the accountant, at the last minute.
We build custom software because companies differ: which payroll system you use, how many employees and temporary workers you have, which collective agreements apply, and how the administration is divided. What the standard requires exactly and how the inspection works is determined by the standard and your certification body; if in doubt, check with them or your adviser. The software makes sure the evidence is ready.
Evidence per requirement
For each NEN 4400-1 requirement, the evidence from your administration, so it is clear what is already in order.
Quick sampling
For each employee in the sample, the documents, contract and payslips brought together.
Findings followed up
Findings with measures and deadlines, and at the next inspection, a clear view of what has been done.
How we build your software for the SNA inspection file
We start with your administration: which payroll system, where documents and contracts are kept, who delivers the contributions, and what came out of previous inspections. Findings often recur in the same places. We focus checks there, so an error is spotted before the inspector sees it.
Your systems, documents, collective agreements, contributions and previous findings.
The requirements as a checklist, with evidence per requirement from the administration.
Checks on documents and pay, and samples supplied quickly.
Follow-up on findings, and ongoing management afterwards.

Why choose Appfront for your SNA inspection file software?
An inspection that becomes a search costs days and turns up findings you already knew about. That is what we build around: evidence per requirement, a sample that is ready quickly, and findings that are followed up.
Less searching
Everything per employee in one place.
Errors caught early
Checks completed before the inspector arrives.
Certification retained
Findings followed up.
Security and privacy in SNA inspection file software
The software contains sensitive personal data, such as copies of identity and residence documents and payroll information. Access is strictly organised by role, documents are only retained for as long as permitted, and an inspector only gets access to the sample.
The software runs in a European data centre, with encrypted storage, daily back-ups and sign-in with a second factor. Every access is logged.
Frequently asked questions about SNA inspection file software
Questions businesses ask before getting started.
It prepares the requirements of NEN 4400-1 as a checklist, gathers evidence per requirement from your administration, checks documents, contracts and wages, delivers samples quickly, and follows up findings until the next inspection.
This includes personnel administration, covering identity and residence documents and employment contracts; payroll administration, covering minimum wage, collective agreements and agency worker pay; and remittances of payroll taxes and VAT. Exactly what is checked is determined by the standard and your inspection body.
Companies with the certification mark are inspected periodically by an accredited inspection body, usually twice a year. The software keeps track of inspections and their findings, so each inspection builds on the one before.
For each employee, the software sets the wages paid against the minimum wage, the collective agreement and, in the case of secondment, the agency worker pay. Any difference is flagged so you can investigate and correct it before the inspector sees it.
If you wish, an inspector can be given access to the sample for the duration of the inspection. Nothing needs to be emailed or printed, and a record is kept of what has been viewed.
Yes, provided it has an interface or export. Payslips, wage data and contributions come from the payroll administration, and documents from the personnel administration. Anything that isn't held there, such as evidence from the accountant, is added to the file.
Check this first. Some packages include checks for documents and wages, and these may be sufficient. Custom development makes sense if you want evidence per requirement, if searching for samples currently takes a lot of effort, or if findings keep recurring from one inspection to the next.
