Samples and testers per brand and branch Issued to the right customer An accountability that the brand demands

Custom sample management software for perfumeries

Appfront builds software for perfumery chains, independent perfumeries and distributors that manage samples, miniatures and testers from brands: per brand and branch, what has been received, issue to customers linked to a purchase, a loyalty card or a promotion, testers with their opening date and replacement, and an accounting per brand of what has happened to their stock. So that samples end up with customers who do something with them, and you can show the brand what it has delivered.

What is perfumery sample management software?

A perfumery receives samples, miniatures, testers and display material from brands. Samples are intended to let new customers try a product or to reward a purchase. Testers stand open on the counter and need replacing on time. Brands want to know what is happening to their stock, and sometimes the next delivery depends on it. Sample management software keeps track of what is held per brand and branch, who has received it, and what it has delivered.

In many shops a box of samples sits under the counter. Whether someone receives one depends on the assistant and the moment. A branch that receives a lot but gives little away goes unnoticed. Testers stay on display until they are empty or spoilt. And when a brand asks how many samples were handed out and how many customers bought afterwards, there is no answer.

We build custom software because the management has to fit your shops and your brands: how many branches and brands you have, how stock arrives and is allocated, which tills and loyalty card you use, what agreements you have with brands on distribution and reporting, and how your staff work. A till system records items sold; it often does not record free samples and testers.

Per brand and branch

Receipt, distribution and stock of samples, miniatures and testers per brand and per branch, from the warehouse or directly from the brand.

Distribution with a reason

Issue to a customer linked to a purchase, loyalty card or promotion, so that samples end up with customers who use them.

Accountability to the brand

Per brand, what was received, what was handed out, and what customers bought afterwards, in a report the brand asks for.

How we build your perfumery sample management software

We start with a branch: how many brands supply samples and testers, how they are handed out now, and what brands ask for in return.

1
Mapping shops and brands

Your branches and brands, how stock arrives, tills and loyalty card, and the agreements with brands.

2
Receipt and stock

Registering incoming stock, distribution across branches, and stock per branch.

3
Distribution and testers

Issue at the till linked to a purchase or loyalty card, and testers with opening date and replacement.

4
Reporting and integrations

Accounting per brand, integrations with the till, loyalty card and stock, and ongoing maintenance.

What perfumery sample management software concretely does

The components below appear in almost every perfumery that handles brand material. Which ones you need depends on the number of branches and brands.

Receipt

Receive samples, miniatures, testers and display material per brand, centrally or per branch.

Distribution

Distribution from the warehouse across branches, based on sales per brand or your own rules.

Handing out

Issue at the till linked to a purchase, loyalty card or promotion, in a few taps.

Testers

Testers with opening date and branch, and an alert when replacement is needed.

Promotions

Brand campaigns with their own samples, duration and conditions for handing out.

Brand reporting

Per brand, what was received, handed out, and the purchases customers made afterwards, as a report or export.

Who we build perfumery sample management software for

The software is intended for shops where samples and testers are currently handed out without any registration.

Perfumery chains

Many branches and brands. Distribution and reporting per brand are the core.

Independent perfumeries

One or a few shops with exclusive brands. Sampling with a loyalty card counts for the most.

Chemists and department stores

A perfume counter alongside many other products. Stock and testers are kept to what is needed.

Brand distributors

Material to many shops. An overview of sampling per shop is at the heart of it.

Why choose Appfront for your sample management software in perfumery?

A sample in the wrong hands is money the brand has thrown away. We build on that: samples going to customers who use them, testers that stay fresh, and accountability that convinces the brand.

Samples that make an impact

Samples are issued with a purchase or loyalty card. You can see which samples lead to a sale.

Testers replaced on time

Opening dates are fixed. A tester left open too long stands out.

Stronger relationship with the brand

You show what has happened to the material. That helps with the next allocation.

Security and privacy for sample management software in perfumery

The software holds stock, agreements with brands and, via the loyalty card, customers' purchases. Access is set up by role: the shop assistant issues samples, the branch manager sees their branch, and purchasing handles the brands. Brands receive reports without any customer personal data.

The software runs in a European data centre, with encrypted storage and daily back-ups. Customer data is used only as your loyalty card terms allow.

Frequently asked questions about sample management software in perfumery

Questions perfumeries ask before getting started.

It registers received samples, miniatures and testers by brand and branch, distributes them across branches, has them issued at the till linked to a purchase or loyalty card, keeps track of testers and their replacement, and produces an accountability report per brand.

At the till or on a tablet, in a few taps, linked to the purchase or the loyalty card. It takes no longer than picking up the sample.

If the issue is linked to a loyalty card, you can see whether that customer later buys the product. That shows which samples are having an effect.

For each period, what was received and issued, per branch, and the purchases that followed, without any customer personal data.

The date is recorded when a tester is opened. The software flags when a replacement is due, based on the period you or the brand set.

Yes, provided the till allows it. Issues can then be recorded in the till, linked to the receipt. We'll look at which till you use in the first step.

Check this first. Some till systems can record free items, which is enough if you have few samples. Custom development makes sense if you have many brands and branches, if brands ask for accountability, or if you want to see which samples lead to purchases.
