Custom mileage registration software

Appfront builds custom mileage logging software: automatic trip detection via an app or an integration with your track-and-trace system, labelling trips as business, private or commuting, a complete record per driver and vehicle, export for your accounts and reports for recharging costs per project. For companies with lease cars and vans, field service teams and leasing companies.

What is mileage log software?

Mileage registration software records each trip: when it was made, from which address to which address, with starting and ending odometer readings, and with its purpose: business, private or home-work. This is usually fully automatic, through a phone app or an integration with the vehicle's track-and-trace system. The driver only needs to check and label trips, and the accounts team receives an overview that is accurate and reconciles.

That complete record is more than convenience. If you drive a company car privately for no more than 500 kilometres per calendar year, you may be able to avoid the company car addition under certain conditions. The Dutch Tax Authority (Belastingdienst) can then request a mileage log showing, for each trip, the date, odometer readings, addresses, the route if it differs from the usual one, and the purpose of the trip. Custom software checks that this data is complete and flags gaps before they become a problem. The same records also provide the basis for recharging costs to projects and clients, and for reports per employee or vehicle. It is a form of custom software development that pays for itself quickly through less time spent on manual admin.

This page is about trips and kilometres per driver. If you also want to manage vehicle maintenance, costs and contracts, see fleet management software development. If you need to track hours worked rather than kilometres driven, timesheet software is the right starting point, and for expenses and receipts we build a expense claims app.

Trips captured automatically

Automatic trip detection, via an app or a track-and-trace integration, turns every journey into a trip with times, addresses and odometer readings, so drivers never have to reconstruct trips afterwards from their calendar.

Labelling in seconds

Business, private or commuting: labelling takes a single tap, with smart suggestions based on previous trips and frequent addresses. Private trips can be shielded from the employer while the kilometres still count.

Watertight and verifiable

Mileage readings need to match up. The software flags gaps and missing trips straight away, keeps the number of private kilometres per calendar year visible, and produces a clear export whenever questions arise or an audit takes place.

How we build your trip logging software

We work in stages and involve the people who will use the system early on: drivers, the fleet manager and the finance team. Every step is aimed at software that drivers can use without instructions and that the administration can rely on.

1
Discovery & scope

We map out your situation: which vehicles and drivers are involved, which track-and-trace systems are already in place, who checks the logs and where the data needs to go. Together we decide what the software should record and, just as importantly, what it should not.

2
Design

We design the architecture, the data model for trips, vehicles and drivers, and the authorisation model, including the private-use setting and how location data is handled. We also build the integrations with vehicle systems and your accounts.

3
Build & iteration

We build in short iterations with automated testing and monitoring. Drivers test the app or integration in practice, so trip detection and labelling work correctly on the road. You help set priorities along the way.

4
Go-live & management

A controlled go-live, team by team or fleet segment by fleet segment, with data validation and a safety net. Afterwards we provide support, monitoring and ongoing development as your fleet or working practices change.

What trip logging software actually does

We tailor every application to your fleet, your drivers and your administration. These are the features we most often deliver for organisations that want to record trips and mileage.

Automatic trip detection

Trips are created automatically by an app that uses GPS and motion detection to recognise when a trip starts and ends, or through an integration with the track-and-trace system in the vehicle. Manual additions and corrections remain possible, with a record of who changed what.

Business, private and commute labelling

Drivers label trips with a single tap, supported by smart suggestions: frequently used addresses, recurring trips and default rules per day or per vehicle. A private mode keeps the details of private trips hidden from the employer, while the kilometres still count towards the totals.

Keeping records complete

The software checks that start and end mileage readings match up and flags gaps, missing trips and inconsistent readings. Drivers and managers see immediately what is missing, so the records stay complete rather than being corrected after the fact.

Project linking and recharging

Trips are linked to projects, clients or orders, either manually or through rules based on addresses. Kilometres per project can be totalled straight away for recharging, invoicing or project accounting. If you also record hours worked per project, you can combine this with timesheet software.

Exports and reporting

Reports per employee, per vehicle, per period and per project, with exports for your bookkeeping, payroll or accountant. When the administration has questions or an audit takes place, you can produce a complete overview for the requested period in a few clicks.

Administrator portal

The fleet manager or administration can see per driver and per vehicle whether the records are complete, approve corrections, and manage vehicles and assignments. Shared pool cars with changing drivers can also be administered neatly.

Who we build trip logging software for

Trip logging is relevant wherever business travel takes place, but set-up varies greatly between organisations. For each of these groups we build software that suits their fleet and administration.

Companies with company cars and vans

Employers with their own vehicle fleet, from a handful of lease cars to a fleet of vans. One environment for all drivers and vehicles, with completeness checks per vehicle and clear oversight for administration. For maintenance, costs and contracts of the vehicles themselves, there is fleet management software.

Field service and maintenance teams

Engineers, inspectors and account managers who drive from client to client every day. Trip detection that runs by itself, labelling that takes seconds, and project linking so kilometres land with the right client or order. An expense claims app captures costs incurred on the road.

Leasing companies

Leasing companies that want to offer mileage registration as a service to their clients and drivers. We build an environment in your house style, with separation per client, fleet-level management and integrations with the systems you use to administer contracts and vehicles.

Freelancers via an employer portal

Organisations that work with freelancers or a flexible workforce and want mileage recorded and submitted through a single portal. Each professional logs their own trips, and the client only sees what is needed for settlement and accountability.

Technology and integrations

We build with a modern, maintainable stack: a web application for management and reporting and, where needed, an app for drivers. For automatic trip detection we integrate with the track-and-trace system already fitted in your vehicles, or use GPS and motion detection on the phone. Trip data flows into your accounting, payroll or project system, so nobody has to key in kilometres by hand.

For inland shipping, where the skipper records the journey on board with waiting hours and documents, there is our app for the inland shipping voyage report.

If the focus is on driving and rest times from the digital tachograph, then a tachograph analysis and driving time app is the right page.

Why choose Appfront for your mileage logging software?

Appfront builds custom software and always begins with a thorough analysis of your situation: what your fleet looks like, which systems are already in the vehicles, who checks the records and where the data needs to end up. Mileage logging stands or falls on ease of use for the driver; software that works against people won't be kept up to date and will leave exactly the gaps you wanted to prevent.

We write clear documentation and deliver transparent code, so that your own team or a future supplier can understand and manage the software. We record agreements on authorisation, logging, monitoring and management clearly.

You work with a fixed point of contact who understands both the technology and the administrative practice. That keeps lines short and speeds up decisions when choices need to be made during the build.

Security and privacy in mileage logging software

Mileage logging handles location data about employees, and that calls for care. Where someone drives and when says a lot about that person. We build in line with the GDPR, with a clearly defined purpose for each data flow and data minimisation as the starting point: the software records what is needed for a complete log and the administration, and no more than that.

In practice, that means a private mode that shields the details of private trips from the employer, role-based access control, logging of who views or changes data, and retention periods set in advance. We advise you to agree on the deployment in advance with the directors and, where one exists, the works council; the software supports this with transparency towards the director about what is recorded and who can see it.

Technically, we work to OWASP security standards, with encryption in transit and at rest, testing and monitoring. Get in touch with no obligation to discuss your situation.

Frequently asked questions about mileage logging software

Answers to the questions we are asked most often about custom mileage logging software development.

Mileage tracking software records, for each trip, when a journey was made, from which address to which address, with what odometer readings, and for what purpose: business, private or commuting. This can be done manually, but it is usually automated through an app on the phone or an integration with the track-and-trace system in the vehicle. The driver then only needs to check and label trips. Custom software sets up this process around your fleet, your drivers and your administration, rather than the other way around.

A complete mileage log shows, for each trip, at a minimum: the date, the start and end odometer readings, the departure and arrival addresses, the route taken if it differs from the usual route, and whether the trip is business, private or commuting. The odometer readings must line up, so there are no unexplained gaps in the records. We build the software so that this data is captured for each trip and so that missing or non-matching trips are immediately visible to the driver and the administrator.

Yes. We build automatic trip detection in two ways: through an app that uses GPS and motion detection to recognise when a journey starts and ends, or through an integration with the track-and-trace or telematics system already fitted in your vehicles. In both cases trips are created automatically and the driver only needs to label them. Which option suits you depends on your fleet: for pool cars and vans with built-in systems an integration is the natural choice, while for changing drivers and personal cars an app is often better.

The software can provide the records needed for that. Anyone using a company car for no more than 500 private kilometres per calendar year may, under certain conditions, avoid the company car addition; the Dutch Tax Authority can then ask for a complete mileage log that demonstrates this. The software checks that trips are complete, that odometer readings line up and that the number of private kilometres per calendar year is visible, and provides a clear export if questions or an audit arise. Whether the fiscal conditions are met remains a matter between you, your adviser and the Tax Authority; we do not make any statements about that.

Location data on employees is privacy-sensitive, especially when it is recorded continuously. We configure the software in line with the GDPR: a clear purpose for each data flow, no more data captured than necessary, and a private mode that shields the details of private trips from the employer while the kilometres still count towards the administration. Access is role-based, views are logged and retention periods are set in advance. This makes it easier to explain the registration internally to directors and the works council.

Yes. Drivers link a trip to a project, client or order with a single action, optionally using fixed rules such as a default project per address. The software totals the kilometres per project and produces reports you can use to recharge travel costs or feed into invoicing and project administration. Combined with reports per employee and per vehicle, you can also see where most kilometres are driven and which projects take the most travel time.

We build custom solutions. Mileage tracking looks much the same everywhere, but the differences lie in the fleet, the drivers and the administration around it: pool cars with changing drivers, vans with built-in systems, freelancers who register through a portal, recharging per project, or an integration with your payroll or accounting package. Custom software fits that situation and grows with you as your fleet or way of working changes. After an intake meeting, we decide together which functionality matters most and the order in which we will develop it.

Yes. We regularly take over existing applications, even when they were built by another party. We review the architecture, the integrations with track-and-trace or telematics, the authorisation model, the logging and the security, document the current setup and propose improvements. We can then carry out changes, new integrations and monitoring, or modernise the application step by step into a maintainable state.
