Custom quarterly investor reporting software development
Appfront builds the back-office side of quarterly reporting for fund managers: the figures per participant from fund administration, such as the value of holdings, returns, distributions and costs, calculated per class and reconciled with the fund's accounting, a check and approval before publication, and a report in your own house style containing the manager's commentary. The publication in a participant portal we describe on the page about the participant reporting app; this page is about producing the report.
What is software for quarterly reporting to participants?
A fund manager reports to participants each quarter: what their participations are worth, what return the fund has achieved, what distributions have been made and what the management has cost. For hundreds of participants, with entries at different times and sometimes different classes, every figure must be correct per participant. Publishing to a portal is the final step; the calculation, checking and formatting leading up to it is where most of the work lies.
In many funds, the calculation lives in a spreadsheet that is updated every quarter. Figures are copied from the fund administration and the accounts, returns per participant are calculated with formulas, and the report is formatted in a word processor. A mistake in one formula affects every participant. A participant who joined mid-quarter receives a return that is wrong. And the check before sending is a spot check.
We build custom software because the reporting must match your fund: how the fund administration and accounts are set up, which classes and entry dates apply, how you calculate return and value, which costs you show, who checks and approves, and what the report should look like. What you are legally required to report to participants is determined with your compliance team or adviser; the software calculates and produces the report according to what you define.
Figures per participant
Value, return, distributions and costs per participant and class, calculated from the fund administration and reconciled with the accounts.
Validated before submission
A check for discrepancies and approval by a second person before a report is published.
Report in your own style
A report per participant in your house style, including the manager's commentary, ready for the portal or as a PDF.
How we build your software for quarterly participant reporting
We start with the last quarter: how many participants there were, where the figures came from, how long the reporting took, and which questions participants asked.
Your fund administration and accounts, classes and entry dates, the calculation, the checks and the report.
Data from the fund administration, and the calculation of value, return, distributions and costs per participant.
Reconciliation with the fund's figures, a check for discrepancies, and approval before publication.
Reports in your house style, delivery to the portal or as a PDF, an archive per quarter, and ongoing management afterwards.
What quarterly participant reporting software does in practice
The components below come up with almost every fund manager. Which ones you need depends on your funds.
Importing data
Participations, transactions and figures from the fund administration and accounts.
Value and return
Value of participations and return per participant and class, taking the entry date into account.
Distributions and costs
Distributions and costs per participant over the quarter.
Reconciliation
The totals per participant reconciled with the fund's figures.
Approval
Checking for discrepancies and approval by a second person.
Report
A report per participant in your house style, including the manager's commentary.
Who we build quarterly participant reporting software for
The software is intended for managers who currently produce quarterly reporting in spreadsheets.
Property funds
Funds with many participants receiving distributions. Distributions and value per participant are at the core.
Private equity and participation funds
Entries at different times. Return per participant matters most.
Impact funds and cooperatives
Reporting on money and impact. The manager's commentary is what is needed.
Crowdfunding platforms
Many small investors per project. Formatting and the archive are at the core.

Why choose Appfront for your quarterly participant reporting software?
A participant who finds an error in their report starts wondering what else is wrong. That is why we build on figures that have been calculated and reconciled, a check before dispatch, and a report that suits your house style.
No spreadsheet errors
The calculation is fixed and reconciled. A formula error affecting all participants becomes a thing of the past.
Entries processed correctly
Returns take into account the date on which each participant invested.
Less time each quarter
The data comes straight from the source and the report is prepared automatically. Your time goes on checking and explaining.
Security and privacy in quarterly participant reporting software
The software holds participants' investment data, which is highly confidential. Access is set up by role: the administrator calculates and writes, the reviewer approves, and participants see only their own report via the portal. Every change and approval is logged.
The software runs in a European data centre or in your own environment, with encrypted storage, daily back-ups and two-factor sign-in.
Frequently asked questions about quarterly participant reporting software
Questions fund managers ask before getting started.
It reads data from fund administration, calculates value, return, distributions and costs for each participant, reconciles the figures with the fund's, has them checked and approved, and produces a report per participant in your house style.
The app publishes the reporting in a participant portal, with history and questions. This software produces the report: calculation, checks and layout. The two connect seamlessly.
According to the method you use, taking into account the date of investment, distributions and any classes. The calculation can be recalculated by hand for each participant.
Yes, as you define them. What you are legally required to report is for you to determine with your compliance officer or adviser.
A second person, such as the controller or another administrator. Only after approval does the report go to the portal or to participants.
Yes. For each fund, the administrator writes a commentary that is included in every report for that fund.
Check that first. Some fund administration packages produce reports per participant, and that is enough if your fund is simple. Custom development makes sense for classes and varying entry dates, for your own layout, or where checks before dispatch must be recorded.
