Capital account per participant Result allocated according to the terms Ready for the accountant

Custom software for the fund administration behind the investor register

Appfront builds software for fund administration behind the participant register: a capital account per participant with contributions, distributions and allocated result, the value per unit per period, the allocation of results according to the fund terms, and accountability to participants and the accountant. The register, the transactions and the distributions themselves are described on the page about the app; this page concerns the administration behind it.

What is software for fund administration behind the participant register?

A fund with participants has two administrations: the register of who holds what, and the administration of what that is worth. The second keeps a capital account per participant: what has been contributed, what has been distributed, and which share of the result has been allocated. For each period the value per unit is determined, and the result is allocated according to the terms of the fund. Accountability for this is rendered to participants and the accountant.

At many funds this is done in a spreadsheet alongside the bookkeeping. Each period the figures are copied across, the allocation is recalculated and the reports are prepared by hand. A participant who joins mid-period, an interim distribution, or a performance fee for the manager makes the calculation difficult. And when the auditor asks how a capital account was built up, someone has to reconstruct it.

We build custom solutions because each fund has its own terms: how the result is allocated, which costs are charged, how value is determined, and how often reporting takes place. We record those terms as rules, so the calculation works the same way every period. Tax and legal questions about the fund are for you to discuss with your adviser; the software calculates according to what the terms say.

Capital account per participant

Contributions, withdrawals, distributions and allocated result per participant, traceable for each period.

Allocation according to the terms

Result and costs allocated according to the fund's rules, including for participants who join mid-period.

Ready for the auditor

Statements and reconciliations with the accounts, and reporting per participant.

How we build your fund administration software behind the participant register

We start with your fund terms: how the result is allocated, which costs apply, how valuation works, and how things currently run.

1
Mapping out the terms

Your funds, terms, valuation, costs, reporting and accounts.

2
Capital accounts

Contributions, distributions and allocated result per participant, with full history.

3
Allocation and value

Allocation of result according to the terms, and the value per interest per period.

4
Accountability and maintenance

Reporting to participants, statements for the auditor, and ongoing management.

What fund administration software behind the participant register actually does

The components below come up at almost every fund. Which ones you need depends on your terms.

Capital accounts

Contributions, distributions and result per participant.

Valuation

Value per interest per period.

Allocation of result

Allocation according to the fund terms.

Cost

Costs and fees charged per fund and participant.

Closing

Periodic closing with reconciliation to the accounts.

Reporting

Statements per participant and statements for the auditor.

For whom we build fund administration software behind the participant register

The software is intended for funds where participants are currently calculated in spreadsheets.

Property funds

Rent, valuation and distributions. The capital account is the core.

Investment funds

Investments in companies. The allocation on exit matters most.

Fund managers

Multiple funds with their own terms. Rules per fund are what is needed.

Why Appfront for your fund administration software behind the participant register?

An allocation that is rebuilt in a spreadsheet every period is one that will eventually go wrong. That is what we build on: terms as rules, capital accounts that are traceable, and accountability without reconstruction.

The same every period

The terms are rules, not formulas in cells.

Traceable

Every movement and calculation recorded per capital account.

Security and privacy in software for fund administration behind the participant register

The software holds data on participants, their capital and distributions: confidential financial information. Access is set by role, participants can only see their own data, and every change is logged.

The software runs in a European data centre or in your own environment, with encrypted storage, daily back-ups and two-factor sign-in.

Frequently asked questions about software for fund administration behind the participant register

Questions fund managers ask before getting started.

It keeps a capital account per participant, determines the value per unit for each period, allocates results and costs according to the fund terms, closes periods in line with the accounts, and produces reports and statements.

The app manages the register: who participates, changes, admissions, distributions and annual statements. This software handles the administration behind it: capital accounts, valuation, allocation of results and accountability. The two work together on the same register.

Yes. A participant who joins or leaves part-way through a period receives a share of the result according to the rules set out in the terms. The calculation can be traced per participant, with the date of admission and the number of days counted.

Yes, provided the terms describe it. We record the rules for profit sharing, hurdle rates or other allocations exactly as they are set out in the terms.

Yes. Results and costs come from your accounts, and the period close reconciles with them. Differences are flagged for review. This way capital accounts and the accounts reconcile with each other at the end of every period.

Yes. Every movement and calculation can be traced per capital account, and statements and reconciliations are ready. This saves the reconstruction the auditor currently asks for.

An accounting package keeps the fund's books, but usually not per participant. Custom development makes sense if you calculate per participant under your own terms, or manage several funds.
