File built per unit number on site Photos, warranties and instructions from subcontractors Ready for the buyer and the competent authority at handover

Custom handover file app for contractors

Since the Building Quality Assurance Act (Wet kwaliteitsborging), a contractor must be able to hand a file to the buyer at handover and, for work under quality assurance, to the competent authority. Anyone who pulls that together at the end of a project misses documents and loses time. Appfront builds a handover file app for contractors: per unit number, it collects photos, warranties, instructions and snagging items during construction, including from subcontractors, so the file is complete at handover.

What is a handover file app for contractors?

The Building Quality Assurance Act (Wet kwaliteitsborging voor het bouwen) has applied since 1 January 2024. For the contractor, this means, among other things, handing a consumer file to the client at handover, containing drawings, the materials and installations used, and information on use and maintenance. For building work that falls under quality assurance, there is also the file for the competent authority, which the quality assurer uses for their statement.

In practice, that file gets put together at the end. The work planner emails subcontractors for warranty certificates and instructions, the site manager searches for photos on their phone, and snagging items sit on a list that goes back and forth by email. On a project with dozens of unit numbers, that becomes a job lasting weeks, with buyers waiting and a file that is rarely fully complete.

We build custom because every contractor works differently. The size of your projects, the subcontractors you use, the documents you collect per unit and the way you work with the quality assurer all determine how the app works. Your site manager must be able to use it on site in a few taps, even with poor reception.

How we build your handover file app for contractors

We start with your projects: what needs to go in the file per unit, who supplies what, how handover and snagging work, and what the quality assurer requires. Then we build a first version with the file per unit and capture on site, because that is where the foundation lies. One or two projects use it for a while. Subcontractor submissions, snagging, export and integrations follow once that works well. After that, we maintain the app as your way of working or the regulations change.

Why Appfront for your handover file app for contractors?

A file that is still incomplete weeks after handover, a buyer waiting for warranty certificates or a quality assurer missing documents costs a contractor time and reputation. That is what we build around: the file grows with the construction, subcontractors submit their own documents, and everything is ready at handover.

Faster handover

File already complete.

Less chasing

Subcontractors submit it themselves.

Satisfied buyers

Everything with the keys.

Security and privacy in a handover file app for contractors

The file contains data on buyers and clients, drawings and photos of homes. Access is set up per role: a subcontractor sees only their own submission, a buyer only their own home, and every change is recorded with name and time.

The app runs in a European data centre, with encrypted storage and daily backups. Completed files are kept, so you can show later what was handed over at completion.

Frequently asked questions about a handover file app for contractors

Questions contractors ask before getting started.

The file the contractor hands over to the client at completion, containing drawings, materials and installations used, warranties and information on use and maintenance. Since the Dutch Quality Assurance for Construction Act (Wkb), this is called the consumer file for consumers.

The consumer file is for the client. The competent authority file applies to buildings under quality assurance and shows that the building complies with the technical building regulations; the quality assurer uses it for their statement. Many documents belong in both, so the app collects them once.

Yes. For each project, a subcontractor gets a list of what they need to submit, such as warranty certificates, instructions and photos, and submits it themselves through a portal. You can see per unit what has arrived and what is missing.

Yes. The site manager records photos and snagging items offline, and the app sends them as soon as there is a connection again.

At handover, you record the items with the buyer, with a photo and who will fix them. The subcontractor receives their items straight away, reports them as completed, and the buyer can follow the progress. Resolved items go into the file.

Yes. Projects and units come from your project administration or planning system, so nobody has to enter them again. We will look at which approach fits best in the first step.

For contractors with projects of multiple units or many subcontractors, who currently piece the file together at the end. If you build a few homes a year with a fixed crew, a well-kept folder may be enough.

Is your handover file complete by the time you hand over the keys?

Tell us how you currently collect the file per unit. We will show how the app can handle that during construction.
