Custom software for managing energy labels across a property portfolio

Appfront builds software for property investors, housing associations, property managers and municipalities that need to manage the energy labels across their portfolio: the label for each property, the registration date and validity, which obligations apply to the property, which labels are expiring or fall below the required standard, and how measures improve the label. So that a letting or sale doesn't stall on a missing label, and sustainability upgrades are planned for the properties where they deliver the most.

What is energy label management software for a property portfolio?

Every building that is sold or let must have a valid energy label, and since 2023, offices generally must have at least a label C to be used as an office. A label is only valid for a limited time. For an owner with hundreds or thousands of properties, that is an administrative task in its own right. Energy label management software tracks the label for each property and shows where action is needed.

In many portfolios, the labels sit in a spreadsheet that was last updated long ago, with advisers' reports in loose folders. Checking whether a label is still valid means searching for it. Nobody knows exactly which offices fall below label C. And it is only during a sale or new letting that it turns out a label has expired or is missing, and an adviser has to be arranged at short notice.

We build custom software because management needs to fit your portfolio: which types of property you have, which obligations apply to them, how you plan sustainability improvements, which advisers you work with, and which property management and maintenance systems you use. Public registers show labels per address; they don't show what that means for your portfolio and your plans.

Label per property

The label for each property, with its class, registration date and validity, taken from your records and public data where possible.

Obligations in view

Which obligations apply to each property, such as the label C requirement for offices, and which properties don't comply.

Sustainability planned around the labels

Measures for each property with their expected effect on the label, as the basis for a sustainability plan.

How we build your energy label management software for a property portfolio

We start with your portfolio: how many properties, what types, where the labels stand now, and when a missing label last came to light.

1
Mapping the portfolio

Your properties and property types, the labels you have, the obligations, and your property and maintenance systems.

2
Recording labels

Labels per object from your administration and public data, with class, date and validity, and a check for missing labels.

3
Obligations and alerts

Obligations per object, alerts for expiring labels, and a list of objects below the standard.

4
Measures and planning

Measures and their effect on the label, a sustainability plan, reporting, and ongoing management.

What portfolio energy label management software actually does for a property portfolio

The components below feature in almost every portfolio. Which ones you need depends on the number and type of properties.

Objects

Address, type, floor area and year of construction per object, using public sources where possible.

Labels

Class, energy index or indicators, registration date and validity per object.

Obligations

Label requirement on sale and rental, the C-label requirement for offices and other requirements per object.

Notifications

An alert when a label is about to expire or an object fails to meet an obligation.

Measures

Insulation, installations and other measures per object, with the expected effect on the label.

Reporting

Label distribution by portfolio, region or type, and progress on sustainability.

Who we build portfolio energy label management software for

The software is designed for owners and managers with many properties.

Property investors

Offices, shops and homes in a single portfolio. The C-label requirement and reporting are at the core.

Housing associations

Thousands of homes with sustainability targets. Measures and planning matter most.

Property managers

Properties owned by different parties. Alerts on rental and sale are what you need.

Municipalities and institutions

Own buildings with sustainability targets. Progress per building is the core.

Technology and integrations

This page covers energy labels across a whole portfolio. For the assessment by the energy assessor, see our page on an energy label app; for property management in general, our page on property management software; and for housing associations, our page on housing association software. You can read about our approach at software development.

If you only have offices and want to know per building whether the C-label requirement applies, see our label monitor for an office portfolio.

Why choose Appfront for your portfolio energy label management software?

A missing label can halt a rental or sale. We build around that: every label with its validity, obligations in view, and sustainability efforts where they count.

No surprises on rental

An expired or missing label is flagged before a property is rented or sold.

Obligations under control

Which offices fall under label C is one list, not a search.

Targeted sustainability

Measures are scheduled for the properties where the label improves most or where an obligation is at risk.

Security and privacy in portfolio energy label management software

The software holds data on properties, labels and plans, and sometimes on tenants. Access is set by role: the manager sees their own portfolio, and an adviser sees only the properties they are engaged for.

The software runs in a European data centre, with encrypted storage and daily back-ups.

Frequently asked questions about portfolio energy label management software

Questions property owners and managers ask before getting started.

It tracks the energy label for each property, with class, registration date and validity, shows which obligations apply and which properties fail to meet them, flags expiring labels, and helps plan sustainability measures with their effect on the label.

For sale and rental, a building generally needs a valid energy label, and since 2023 offices generally need at least label C, subject to exemptions. You should confirm with your adviser exactly what applies to your properties.

Registered energy labels can be looked up per address in public data. Where an integration is possible, the software retrieves them and compares them with your records. We will confirm which sources and conditions apply in the first step.

An energy label has a limited validity period, which is stated on the label. The software tracks validity for each property and alerts you well before a label expires.

The software records measures with the expected effect your adviser calculates. The label calculation itself is carried out by an accredited adviser using the designated calculation software.

Yes, provided that system makes properties and data available. Properties then come in automatically, and labels and plans flow back.

Check that first. Some systems have a field for the energy label, and that is enough if you have few properties. Custom software makes sense if you have many properties, if obligations and validity need to be monitored, or if you want to plan sustainability improvements based on the labels.
