Inventory management is not the same as warehouse management.

Stocktaking comes down to one question: what do we have, where is it, and in what condition? That might be stock in a shop, tools on a construction site, medical equipment in a hospital, IT assets across an office, or equipment that goes in and out of the vans. A WMS drives the operation: picking orders, locations, goods in and goods out. An inventory system sits one layer above or alongside that operation: it counts, records, traces and proves. Sometimes it is a single feature within a broader operational system; other times it is a standalone counting application that runs alongside your existing ERP or accounting software.

We build inventory software when off-the-shelf packages such as Snipe-IT, Asset Panda, Zoho Inventory, Cin7, Lightspeed, or the inventory modules of Exact and Twinfield don't quite fit your way of working. Sometimes the sector is too specific, sometimes it needs to integrate with a handful of existing systems, and sometimes the person counting on site needs a tool that works even without signal. We build the system around your workflow, not the other way round. The result is not a generic stock tool with your logo on it, but software that understands the specific terms, roles and exceptions of your industry.

The practical gains usually come down to two things: fewer counting errors, because the scanning process on the shop floor finally works properly, and demonstrable traceability for your accountant or auditor. Direct cost savings often follow, such as less equipment going missing, fewer overlapping IT licences, or fewer duplicate orders because nobody knew the first batch was already sitting somewhere.

The choice of scanning technology largely determines how quickly and reliably your stock counts run. Below is a brief comparison of the most common options and when each suits best. In the scope workshop, we will advise which combination fits your scenario.

QR codes and barcodes

The standard for most stock-taking and check-in workflows. Inexpensive to print on labels, scannable with any smartphone, and easy to generate from the system. QR codes hold more data than traditional barcodes and remain readable at an angle or when damaged. Suitable for stock, IT assets, tools, event equipment and attendance tracking on site. The same scan flow lets you carry out counts as well as record staff or equipment check-ins.

RFID and BLE beacons

RFID tags are read without you needing to see them directly: a handheld reader or portal gate picks up dozens of tags at once. This makes a major difference for bulk counts or zone tracking, for example returns flows in rental businesses or libraries scanning entire stacks of books in one pass. BLE beacons work over a greater distance and suit location tracking within a building or site, such as seeing which floor a given device is on.

NFC, GPS and image recognition

NFC works at a range of a few centimetres and suits one-to-one actions, such as a technician using their phone to lend or check in a device. We use GPS for equipment that physically moves, such as vans or event trailers. Where tags can't be verified, we deploy AI photo recognition, for example for raw materials, art or antique instruments, to identify assets by appearance and assess their condition.

Scope workshop and proof of concept

A workshop with your key users and warehouse or field team. We build a first screen flow and test it with real counters — not mock-ups in a meeting room, but prototypes on the shop floor.

A working build every two weeks. You test along with the counters. The first tier, usually scanning, counting and a discrepancy report, goes live quickly, with integrations and extensions following afterwards.

What clients usually want to know before we start.

What is the difference between inventory software and a WMS?
A WMS (warehouse management system) directs warehouse operations: pick orders, location management, goods receipt and dispatch. Inventory software is concerned with counting, tracing and evidencing what is in stock or in use. A WMS often has an inventory module, but many businesses do not need a WMS at all, only an accurate count of their assets, tools or stock. In that case, a dedicated inventory system is more efficient.
Are you replacing Snipe-IT, Asset Panda or Zoho Inventory?
Not for commodity use cases. If Snipe-IT (IT assets) or Zoho Inventory (standard stock) fits your needs, we'll recommend it. We build custom software when you have sector-specific requirements (medical equipment under MDR, defence, event equipment), when you need to connect several systems that don't integrate natively, or when the mobile workflow on the shop floor is too specific for an off-the-shelf package.
Can you combine stocktaking and invoicing in one system?
Yes, and for rental, events and installation companies that is often the whole point. A count on site then automatically generates invoice lines (for loans or rentals), internal cost entries (for equipment consumption) or a recharge to the client. We integrate this with your accounting package or e-invoicing flow so there's no duplicate administration.
Which identification technology do you recommend: QR, barcode, RFID or NFC?
It depends on the scenario. QR codes and barcodes are inexpensive and universal, suitable for most stock, asset and check-in scenarios. RFID is faster for bulk counts (think scanning an entire pallet trolley at once) but more expensive. NFC works well for one-to-one identification at short range, for example when checking tools in and out. We use BLE beacons for zone tracking. In the scope workshop we choose the combination that suits your flow.
Does it also work offline, for example in a warehouse without signal?
Yes. The mobile app has a local database so counters can keep working without a stable connection. Once the device is back in range, it syncs the counts, with conflict resolution for the rare case where two counters worked on the same item at the same time.
Does it meet our accountant's requirements?
That is usually the main reason for custom development in this domain. We build an audit trail that logs every action (count, correction, write-off) with user, device and timestamp, and it cannot be altered. Export to the formats your external auditor recognises is built in, as is a reporting layer for variance analysis and annual balance checks.
What determines the cost of a custom stocktaking system?
Mainly: how many different scanning flows there are, how many integrations with existing systems, whether you use dedicated hardware (RFID readers, label printers), and whether the system needs to be multi-tenant (for example for white-labelling to partners). A counting app with QR scanning and one integration takes considerably less time to build than a platform with RFID bulk scanning, ERP integration and multi-site reporting. In the first conversation we'll give you an honest steer based on your scope.
How long before we can start counting?
The first working counting app usually runs on phones within a few sprints. A fully integrated platform with multiple flows and integrations is a multi-sprint project, delivered in phases so you can start counting on the first use case along the way.
