Custom EPREL submission of product data
EPREL is the European product database for energy labelling. Anyone placing a product with an energy label on the EU market must register every model there before the first unit is sold: with the technical data, the label, the product information sheet and the technical documentation. With a few models, that can be done by hand. With a range of hundreds of models, variants and brands, it can't. Appfront builds the software that handles the submission from your own product data: every model fully registered, and the registration number and QR code fed back into your systems.
What is software for submitting product data to EPREL?
EPREL submission software turns your product data into registrations. For each model, it pulls the data the regulation requires for that product group from your PIM or ERP, checks that it is complete, links the label and the product information sheet, and adds the technical documentation. It then registers the model in EPREL, either through a bulk submission with an XML file or through the system-to-system integration that EPREL offers. The registration number that EPREL assigns is written back to your systems; the same number is also in the QR code on the label.
Without a system like this, an employee retypes the data for each model into the EPREL web portal, or fills in an XML file by hand. Every product group requires different fields: a refrigerator differs from a light source, a washing machine from a tyre. A new model in the range gets forgotten, a changed value never reaches the registration, and the registration number is missing from the webshop, so the QR code on the label and the data online drift apart. With a range of hundreds of models, that is impossible to keep up with.
We build custom software because your product data and your range determine what the software has to do. Which product groups you carry, whether you are a manufacturer, importer or authorised representative, where the technical data is stored, whether you create labels yourself or have EPREL generate them, and whether you also serve dealers all differ from one business to the next. Since October 2024, every supplier organisation must be verified in EPREL before it can register models; you arrange that yourself, and the software does the rest.

How we build software for submitting product data to EPREL
We start with your range: which product groups you carry, how many models, where the technical data is stored and how you currently register. We then build a first version for the product group with the most models, including the completeness check and the bulk submission, because that is where most of the manual work is. You register with it for a while. Other product groups, the system-to-system integration, writing back numbers and QR codes, and retrieval for dealers follow once that is running well. After that, we maintain the software whenever EPREL or a regulation changes.

What software for submitting product data to EPREL actually does
The components below appear in almost every EPREL submission. Which ones you need depends on your product groups and your role in the supply chain.
Data
Per model from PIM or ERP.
Validation
Mandatory fields per product group.
Label and sheet
Generated or your own design.
Submission
Bulk or system-to-system.
Registration number
Back in PIM, webshop and label.
Languages

Who we build software for submitting product data to EPREL for
The software is intended for organisations with dozens to thousands of models carrying an energy label, and for those for whom registration is currently a separate chore alongside the product data.
Manufacturers
Your own models, your own documentation.
Importers
Models from outside the EU.
Brand owners
Private labels made by a manufacturer.
Traders
Label and sheet with every model.

This page is about the energy label for products. The energy label for homes and buildings is something different; for that, see our page on an energy label app. For managing product information itself, see our page on a PIM portal, for classifying technical products our page on the ETIM integration, and for the product passport our page on digital product passport software. You can read about our way of working at building software.
Why choose Appfront for your EPREL product data submission software?
A model on the shelf without a registration, a label whose QR code points to different data than the web shop shows, or a range where nobody knows which models still need to be registered: all of this costs a supplier time and causes problems with market surveillance. That is what we build on: registrations generated from your own product data, complete before they are submitted, and the number wherever it needs to appear.

Registration from the source.

Security and privacy in EPREL product data submission software
The public part of EPREL is open, but the technical documentation is intended only for market surveillance. The software keeps the two separate: documentation goes only to the restricted part of EPREL, never to the web shop or retailers. Access is set up per role, and every registration and change is logged with name and timestamp.
The software runs in a European data centre, with encrypted connections and storage. Keys and certificates for the integration with EPREL are kept securely isolated. Every version of a registration is retained, so you can show what you submitted and when.
Frequently asked questions about EPREL product data submission software
Questions that product managers and compliance staff ask before they get started.
The European Product Registry for Energy Labelling, the European database for products with an energy label. Suppliers register every model there, and consumers, retailers and market surveillance authorities can view the label and the product information sheet. The EPREL registration number is in the QR code on the label.
The supplier: the manufacturer, importer or authorised representative who places the model on the EU market. This must be done before the first unit of the model is placed on the market.
All product groups with an EU energy label, such as fridges, washing machines, dishwashers, televisions, light sources, heating appliances, tyres, and smartphones and tablets. The data EPREL requires differs per product group; the software checks this per group.
Yes. EPREL accepts a ZIP file containing an XML file with the models and the attachments, and also offers a system-to-system integration via eDelivery. The software generates the file from your product data or submits directly.
Yes. The number that EPREL assigns is written back to your PIM and web shop and can be used for the QR code on the label and for the link to the information sheet.
That is a different label, for buildings, which an energy performance adviser determines and registers in EP-Online. EPREL covers products such as appliances, lamps and tyres.
For suppliers with dozens of models or more, several product groups, or a range that changes often. With a handful of models, registering in the EPREL portal is usually enough.
