Custom digital business card software
A digital business card is a profile page that your employee shares via an NFC card, a QR code or a link, allowing the recipient to save the contact details in one action. Appfront builds the system around it: profiles pulled from your HR system, a fixed brand identity, and contacts that end up in your CRM rather than on one colleague's phone. Get in touch to talk through your situation.
What is a digital business card?
A digital business card is a web page per employee showing their name, job title, contact details and the links that matter. The recipient reaches it through an NFC card held against their phone, a QR code on a badge or screen, or a link in an email signature. One tap and the details are in their address book, with no app and no retyping.
The software sits not in that page but around it. Who gets a card, which details appear on it, what happens when someone changes role or leaves, how the brand look stays consistent across four hundred profiles, and where the contact the recipient leaves behind ends up. That is the part that in practice stays manual.
Appfront builds this as custom software, with profiles from your HR system and design drawn from your brand assets. This concerns contact sharing rather than payment cards; for that, card issuing software is the right starting point.
Profiles that update themselves
Name, job title and location come from your HR system. Anyone who changes role has an accurate card without anyone editing it, and anyone who leaves loses their profile automatically.
The brand identity stays fixed
You control the design centrally and the employee only fills in what is theirs. This keeps four hundred profiles looking alike, even a year on.
The contact comes back to you
The recipient can leave their own details, and those land in your CRM with the employee who had the conversation, rather than on a phone.
Our development process for your card system
The question of who gets a card and where the details come from determines most of the outcome. That is where the work begins, not with the design of the profile page.
We map out who receives a card, which details belong on it and which system already holds that data. We also decide what happens on role changes, temporary contracts and leaving the company, because that is where things tend to break down in practice.
We design the profile structure, the permissions model for administrators and staff, the integrations with HR and CRM, and how the card is issued and linked to a person.
We build in short iterations with automated tests, structured logging and monitoring. You see working versions along the way and test with a handful of cards before the whole organisation gets them.
Controlled rollout per department or location with a safety net, followed by ongoing management and further development as your organisation or brand identity changes.
What custom software for digital business cards actually delivers
What is needed varies by organisation. These are the components we most often deliver.
Profile management
One profile per employee with photo, job title, phone number, email address, location and the links you permit, in the design you set centrally.
Sharing via NFC, QR and link
The same profile page is reachable via an NFC card, a QR code on a badge or trade-show stand, and a link in the email signature. No app is needed on the receiving end.
Saving to the address book
The recipient saves the details as a contact card in a single step, with correct spelling and no retyping. That is exactly where a paper card gets lost.
Integration with HR
Joiners, movers and leavers come from your HR system, so profiles stay accurate and a departed employee no longer has an active card.
Contacts to your CRM
Details left behind by a recipient flow into your relationship management system, for example via a Teamleader integration, together with the employee and the occasion.
Management and issuing
An overview of issued cards, which card belongs to whom, blocking a lost card and linking a replacement card without rebuilding the profile.
Typical use cases in practice
The reasons differ, but the pattern of profiles, issuing and recurring contacts comes up everywhere.
Organisations with high customer contact volumes
Businesses with account managers, advisers or engineers who meet new people every day and currently exchange details on paper or via messaging apps.
Trade fairs and events
Organisations exhibiting at trade fairs, where the return of a day currently consists of a stack of cards that nobody retypes.
Multiple locations or brands
Groups in which each location or brand has its own contact details and design, while management needs to remain central.
Organisations with high staff turnover
Employers with changing workforces or a lot of temporary staff, where manually maintained contact details are out of date within six months.

A profile page has to load quickly on any phone; the management side is a standard web application. The choice depends on your integrations and hosting preferences, so your own team can manage the solution without a per-user licence.
Why choose Appfront for your card system?
Appfront builds custom software for a wide range of organisations in the Netherlands. For digital business cards, the work starts with the question of where the data comes from. A system in which everyone maintains their own profile becomes just as outdated within six months as the box of paper cards it replaced.
That's why we integrate by default with the system where roles and employment records already live. This keeps management close to zero and solves the hardest case straight away: someone leaves the company while their card sits in dozens of contacts' address books.
On every project we write clear documentation and make sure your own team can understand and manage the system. No black box, but transparent code and clear agreements on management. You own the solution and pay no per-user licence fee.

Security and privacy in your card system
A profile page is publicly accessible to anyone who has the link or the card, and it contains personal data about your employee. Appfront builds to the OWASP ASVS and uses the GDPR as its starting point: only business details on the profile, no private phone numbers unless the employee chooses to add them, and a profile that expires as soon as the employment ends.
The data a recipient leaves behind is also personal data. That calls for a notice explaining what you use it for, and a retention period. We document the data flows so that your record of processing activities is complete and you comply with the GDPR.
More on our security approach: information security policy and CVD policy.

Frequently asked questions about digital business card software development
Answers to the questions we get asked most often about custom software for digital business cards.
A profile page for each employee with name, job title and contact details, shared via an NFC card, a QR code or a link. The recipient saves the details to their address book in a single step. The difference from a paper card is that the details stay up to date and you can see what happens to the contact.
No. The profile page opens in the recipient's browser, and saving happens with a standard contact file that every phone understands. An app on the receiving end would raise the barrier at exactly the moment that matters.
The card contains a chip with a link to the profile. The recipient holds their phone against the card and the page opens, with no setup required. For devices where that doesn't work, we also print a QR code on the card as standard.
When the HR integration is in place, the profile is deactivated automatically. Anyone who already has the card in their address book keeps the saved details, but the page can then show, for example, a reference to the successor or general contact details. You configure that yourself.
Within the limits you set. Job title, location and business details come from the HR system; the employee only manages their photo and a few links. That keeps the corporate identity consistent without making administration a daily task.
Yes, and that is usually the main reason to build it. Details left behind flow through an integration into your relationship management system, together with the employee and the occasion. That removes the pile of cards that never gets typed in after a trade fair.
There are good subscription services for digital business cards, and for a small team they are quicker and cheaper. Custom development pays off when you have hundreds of employees and the licence costs per person add up, when profiles need to come from your own HR system, or when contacts should land in your own CRM. If a service fits better, we'll say so.
