CRM & invoicing REST API v2 with OAuth2 SMEs Benelux

Custom Teamleader integration development

Appfront builds custom Teamleader Focus integrations for SMEs and business service providers in the Benelux. From simple lead capture to two-way sync of contacts, deals, time tracking and invoicing with your website, customer portal or own software.

What is a Teamleader integration?

Teamleader Focus is a Belgian SaaS package that combines CRM, project and time tracking, and invoicing in one platform. It has grown large in the Benelux among SME agencies, consultants and professional services firms that do not want to maintain three separate tools.

A Teamleader integration means your website forms, client portal, quoting tool or custom software exchanges data with Teamleader in real time. Leads come in as contacts with a deal, quotes sync with your signing tool, and invoicing data flows through to your accounting package. We build these integrations on the official Teamleader Focus REST API v2 using OAuth2, following Marketplace standards.

Lead capture with deduplication and pipeline placement

Forms on your website send leads into Teamleader: creating the contact or company with a duplicate check (on email or VAT number), placing the deal in the correct pipeline stage, and applying tags and custom fields. The owner is assigned by round-robin or by region.

Two-way sync with client portals

Customer portals where end customers view and approve quotes or follow the status of their project. Deal statuses, invoice statuses and project milestones stay in sync so that your team and your customer always see the same truth.

Connecting time tracking and invoicing

Hours from your own time-tracking or planning tool are synced to Teamleader for invoicing. Invoices can then flow automatically into your accounting package, with status updates sent back on payment or credit.

How we build your Teamleader integration

Teamleader Focus works best when authentication is stable, data flows are clearly defined and resources are modelled consistently across your systems. Our approach secures all three.

1

Scope and resource mapping

We map which Teamleader resources you want to use (contacts, companies, deals, quotations, invoices, projects, timeTracking) against the data in your source system. This includes a deduplication strategy and agreements on the master of truth per field.

2

OAuth2 flow and Marketplace registration

We register your integration in your Teamleader Marketplace account and implement the OAuth2 authorise and refresh flow to production standard. Tokens are kept in a secret manager with rotation and audit logging.

3

Data sync and webhooks

An initial backfill followed by incremental sync via webhooks. Retries use exponential backoff, processing is idempotent and queue-based, so Teamleader rate limits do not cause operational problems.

4

Monitoring and go-live

Dashboards track failed syncs, token refresh errors and throughput per endpoint. We go live in phases, starting with low-risk resources and extending to invoicing and time tracking once stability has been proven.

What can a Teamleader integration do for you?

The Teamleader Focus API offers much more than contact sync. We use it fully for integrations that help not only during the prospecting phase but also in projects and invoicing.

Contact and company sync

Two-way synchronisation of contacts and companies, with deduplication, custom fields, tags and account owners. Includes integration with KvK (Chamber of Commerce) data for automatic company enrichment.

Deals and pipeline

Create deals, move them between stages, and close them as won or lost. Includes status mapping to your source system and automatic follow-ups linked to pipeline events.

Quotes (quotations)

Generate quotes from custom templates with product lines from your own system. Status updates (sent, accepted, rejected) come back into your pipeline.

Invoicing and payment status

Invoices created from completed deals or projects and automatically forwarded to Yuki, Exact Online or your own accounting package. Payment status flows back into Teamleader.

Projects and time tracking

Projects linked to deals, hours synced from your planning tool, and billable/non-billable mapping per activity type. Resource planning stays in step with actual time registration.

Webhooks and real-time events

Teamleader sends webhook events for contact created, deal updated, invoice paid and more. Our integrations listen in real time and trigger the corresponding actions in your system.

Who do we build Teamleader integrations for?

Teamleader is popular with a clear target group: SMEs that want to centralise both client and project administration, often with custom work around their own service.

Agencies and consultants

Design, marketing, development and consultancy agencies that run quotes, projects and invoicing through Teamleader. Integration with your own client portal, planning tool or project management system.

Business service providers

Civil-law notaries, solicitors, accountants and financial advisers. Often combined with sector-specific software that shares client data with Teamleader for invoicing and case management.

Installation and service companies

SMEs with field service teams that record quotes and service orders in Teamleader. Integration with FSM tools, planning and ERP for materials and stock.

Scale-ups with custom portal development

Growing businesses that use Teamleader for sales and invoicing but have their own product or customer portal. Integrations ensure a single customer identity across tools.

Our technical approach

The Teamleader Focus API v2 has its own rules around rate limits, OAuth2 and resource structure. We build the integration to production grade, using defensive practices.

OAuth2 tokens are held in a secret manager with periodic rotation. Every API call goes through a client wrapper that automatically handles token refresh, rate-limit backoff and retries with exponential delay. Webhook handlers are idempotent: the same event ID can arrive twice without creating duplicate records.

For data sync between Teamleader and your own system, we define a clear master of truth for each field. We map custom fields explicitly with schema validation. We log all syncs in an audit table, so that in the event of conflicts you can trace what changed, when, and by which system.

Why choose Appfront for your Teamleader integration?

Teamleader is usable as soon as authentication works, but it only becomes truly productive once syncs are stable and the data model matches your actual processes.

  • Marketplace registration in line with Teamleader standards
  • Idempotent webhook handlers with retry logic
  • Rate-limit-aware client with backoff
  • Integration with Yuki, Exact Online and e-Boekhouden
  • Custom fields mapping and schema validation
  • Audit logging and monitoring dashboards

Security and compliance

Teamleader holds personal and company data about your clients and leads. Our integration is designed so that your GDPR obligations remain intact and token management is secure.

We encrypt access tokens and refresh tokens in a secret manager with automatic rotation. Every integration call runs over TLS, and we log which user or system made which change. When a client submits a GDPR erasure request, we process it in both Teamleader and your source system through an atomic workflow. For every project, we deliver a technical description for your register of processing activities.

  • OAuth2 tokens encrypted with a rotation policy
  • TLS for all API calls
  • Audit log for every change
  • Atomic GDPR erasure flow across systems
  • Scoped permissions per integration
  • Data processing agreement with Teamleader

Frequently asked questions about Teamleader integrations

Put website leads straight into your pipeline, sync the client portal bidirectionally, link quotes and invoicing to your accounting, and synchronise time registrations from external tools with Teamleader for invoicing.

REST API v2 with OAuth2 authentication. After Marketplace registration, users receive an authorise flow; resources are contacts, companies, deals, quotations, invoices, projects and timeTracking. We implement the flow to production standard with refresh rotation.

Yes. Forms send leads through the API: create a contact or company with a duplicate check, place the deal in the correct pipeline stage, set tags and custom fields, and assign the owner. Leads appear within seconds.

API access is available from the paid Focus plans. We check your licence before we define the scope, so there are no surprises when going live. Teamleader occasionally revises its scopes and rate limits, so we verify this for each project.

Teamleader has native integrations with Yuki, Exact Online, e-Boekhouden and Twinfield. For anything beyond that, we build the bridge: Teamleader as the source, accounting software as the recipient, with status updates (paid, credited) sent back to Teamleader.

A standard website lead integration with deal creation takes about a week. More complex integrations with deal sync, a quote flow or a link to your own client portal take two to six weeks, depending on resources and custom fields.
