Custom brand management and digital asset management software
Appfront builds custom software that keeps all your brand assets in one place: logos, imagery, templates and video. Colleagues, partners and dealers get what they need themselves in the right format, and you can see which images may still be used and which rights are expiring. Get in touch.
What is brand management and image library software?
Every organisation that publishes something accumulates material: logos in five variants, photography from three shoots, presentation templates, product imagery that changes each season. That material is usually scattered across shared folders, email inboxes and the computers of the agency that made it.
The result is predictable: someone uses an old logo, a photo appears in a piece of communication after its licence has expired, or a dealer asks for the same file in a different format for the third time. Each of these costs time, and the last one costs brand consistency.
Appfront builds this as custom software when a standard product doesn't fit: because you work with dealers or franchisees who have their own rights, because you need integrations with your CMS or product database, or because managing permissions is central to your business.
One version that counts
An up-to-date version per file with its history underneath, so an outdated logo doesn't linger somewhere in a shared folder.
Rights monitored
Record for each image until when and for what it may be used, with alerts before a licence expires and visibility into where the image has been used.
Self-service in the right format
Users download the size and format they need themselves, generated automatically from the original rather than through a request to the studio.
Image library or document management? The distinction
Two types of files that call for different software. The difference lies in what happens to the file.
Material you publish
Logos, images, video and templates that others use in communications. It is about findability, formats, rights and preventing outdated versions reaching the market.
Documents you work with
Contracts, procedures and case files where content and version control matter. For those, see legal document software or contract management.
Our development process for your image library
The structure determines whether people can find things. That is where we spend most of our attention, not on uploading.
We map out what material exists, who uses it and what those people actually search for. The latter almost always differs from how the studio stored it: users search by product, campaign or moment, not by shoot date.
We design the structure and search, the permissions model per user group, the formats that are generated automatically, and the integrations with the systems where the material ends up.
We build in short iterations with automated tests, structured logging and monitoring. You see working versions along the way and steer the work based on what your team actually needs in practice, rather than on a specification written months earlier.
Controlled go-live with validation and a safety net, followed by ongoing management, monitoring and further development as your brand structure or user groups change.
What custom brand asset management software actually delivers
What is needed differs from one organisation to another. These are the components that come up most often.
Findability
Search the way your users think, with filters by brand, product, campaign or moment, and keywords suggested automatically when uploading.
Automatic formats
Generate from one original the sizes and file types your channels require, so nobody has to request a cropped version again.
Rights and licences
Record the usage rights, term and permitted territory per image, with a notification before expiry and the option to block a file rather than delete it.
Access per group
Your own staff, agencies, dealers and press each see a different selection, with the option to share a temporary link with someone without an account.
Templates that keep pace
Presentations, advertisements and documents in which the brand is fixed and the person filling them in only adjusts the variable parts, so inconsistencies no longer arise.
Integration with your channels
Images that flow directly into your website, webshop or product database, so a replaced photo updates everywhere at once instead of in five separate places.
Typical use cases in practice
The need arises as soon as material is used outside your own studio.
Brands with dealers or franchisees
Organisations whose partners create their own communications, and where brand consistency depends on what those partners can find and use.
Organisations with large product image libraries
Businesses with a range that changes by season, where images need to be linked to the product and updated everywhere at once.
Multiple brands under one roof
Groups with different labels or divisions, where each brand has its own material and guidelines but the infrastructure is shared.
Public and cultural institutions
Organisations with image collections whose rights differ per photograph, and where publication without permission is an immediate problem.

Images and video need storage and processing that grows with your collection. The exact choice depends on your processes, the systems to be integrated and your hosting preferences. We deliberately choose a stack your own team can manage and develop further, without dependence on per-user licences.
Why choose Appfront for your image library?
Appfront builds custom software for a wide range of organisations in the Netherlands. For an image library, we devote most of our attention to the search entry point. Material that exists but cannot be found is, to a user, the same as material that does not exist — and they will end up calling again.
We design from the perspective of the people outside the studio. They search by product, campaign or moment; the studio thinks in shoots and file names. Whoever does not bridge that gap builds an archive instead of an image library.
On every project we write clear documentation and make sure your own team, or a future supplier, can understand and manage the system. No black box: transparent code and clear agreements on monitoring, alerting and maintenance. You own the solution and pay no per-user licence fee.

Security and rights for your image library
An image library holds material that must not yet be published and imagery subject to third-party rights. Appfront builds in line with the OWASP ASVS, with role-based access, so embargoed material and internal collections are not visible to partners or press.
Photos in which people are recognisable fall under the GDPR. We record, per image, whether consent exists and for which use, and make sure a file can be blocked without losing its history, because when a request for removal comes in, you need to be able to show what has happened.
More on our security approach: information security policy and CVD policy.
- Encryption in transit (TLS 1.2+) and at rest
- Role-based access following least privilege
- Audit trail for viewing and changes
- Secrets in a secure vault, not in code
- Documented data flows for your record of processing activities
- Blocking an image without deleting its usage history
Frequently asked questions about brand management and digital asset management software
Answers to the questions we are asked most often.
A shared folder has no version control that enforces anything, no rights registration, no automatic formats and no search that matches how people actually look for things. For a small organisation with little material, a folder works perfectly well. Once external parties need access and rights start to expire, it falls short.
By not offering the wrong file in the first place. Outdated versions are kept on record but are not downloadable for ordinary users, and the current file sits where people expect to find it. That works far better than a guideline stating which version is the right one.
For use within connected systems, yes: if the image is served through the integration on your website or webshop, you know where it is. For material someone has downloaded, you know who fetched it, when, and what they said they needed it for. Complete certainty about use outside your systems doesn't exist.
For each file, you record until when, for what purpose and in which territory it may be used. The system warns you before a licence expires and can then automatically block the file from new downloads without deleting it. The history remains intact should questions arise about earlier use.
Yes, and that is often the reason for building it. You determine per group which collections are visible and what may be downloaded. For one-off use, you can share a temporary link with someone without an account, which expires after a set period.
Yes. We generate from the original the formats your channels need, including at the moment of download. That saves storage and prevents twenty variants of the same photo appearing, with nobody knowing which one is the latest.
That depends on your collection, and storage itself is usually not the largest cost. For an image bank that is viewed heavily, download traffic weighs more. We design for that and calculate it against your expected usage before you choose.
There are good digital asset management packages, and for an organisation with one brand and in-house staff these are usually quicker. Custom development pays off with multiple brands with their own guidelines, a dealer network with its own rights, or when images need to be linked to a product database or website that such a package doesn't support.
