The right documents for every tent, grandstand or stage Ready for the requirements of every municipality Assembly checked and recorded

Structural file for temporary structures

If you rent out or build tents, grandstands, stages or other temporary structures, you get the same question from the municipality at every event: show that it is structurally safe. Which documents that requires differs per municipality and per structure. Appfront builds software for the structural file of temporary structures: the fixed documents per structure, what the municipality asks for per deployment, and the assembly check on record.

What is software for the structural file of temporary structures?

A structural file for temporary structures tracks which documents exist for each structure and which are needed for each deployment. For a tent, that is often a tent logbook in line with NEN 8020-41 and a calculation or declaration in line with NEN-EN 13782; for a grandstand or a large stage, a structural calculation for the configuration you are building. The software stores the fixed documents for each structure, creates a file for each event with what that municipality asks for, and records how it was assembled.

Without a system like this, the planner looks up the same PDFs on a network drive for every application, nobody is sure which version of the calculation belongs to this setup, and the assembly check sits on a form in the post. If the municipality or the safety region asks for additional information, the search starts all over again. In peak season, with dozens of events a week, a lot of time goes into this.

We build custom software because requirements are not the same everywhere. Municipalities differ in what they ask for and when a structure is exempt, and every company has its own equipment, configurations and structural engineer. The software does not carry out the structural assessment; that stays with the engineer. It makes sure the right documents are with the right deployment and that it is clear what is still missing.

How we build your software for the structural file of temporary structures

We start with your equipment and your applications: which structures you have, which documents go with them, what municipalities ask of you and how the assembly check currently works. Then we build a first version with the documents per structure and the file per deployment, because that is where most of the searching happens. You use it for a while at real events. The assembly check, requirements per municipality, deadline monitoring and the integration with your planning follow once that works well. After that, we maintain the software as your equipment or the requirements change.

Who we build software for the structural file of temporary structures for

The software is intended for companies that regularly put up temporary structures and submit documents to municipalities for them. The more structures and events you have, the more it delivers.

Why Appfront for your software for the structural file of temporary structures?

A submission that comes back because the calculation doesn't match the set-up, a build declaration left in a pile of post, or a planner who searches for the same documents every week: it all costs a company time, and sometimes an event. That's what we build on: the right documents with the right deployment, each municipality's requirements visible, and the build recorded where it happens.

Security and privacy in software for the structural file of temporary structures

The file contains technical documents, customer details and event locations. Access is set up by role: the build crew sees the deployment they are working on, an organiser sees only their own event, and, if you want, a municipality gets a link to the file for that one application. Every change is logged with a name and time.

The software runs in a European data centre, with encrypted storage and daily back-ups. Old versions of calculations are kept, so you can later show which document belonged to which deployment.

Frequently asked questions about software for the structural file of temporary structures

Questions that hirers and builders ask before getting started.

A file for each tent, grandstand, stage or other temporary structure, containing the documents that support its structural safety, such as a tent book or a structural calculation, plus, for each deployment, what the municipality requires and how the structure was built.

That differs per municipality and per structure. For tents, reference is often made to NEN-EN 13782 and a tent book in accordance with NEN 8020-41; for grandstands and larger stages, usually a structural calculation. Small structures are sometimes exempt. The software keeps track of what each municipality asks for.

No. The assessment remains with your structural engineer and the municipality. The software makes sure the right documents are with the right deployment, shows what is missing and records how the structure was built.

Yes. The crew sees the configuration to be built, ticks off the checkpoints, takes photos and signs the declaration on site. It goes straight into the file.

Yes. You can supply the file for a deployment as a PDF or share a link that lets the municipality see only that one file.

Yes. Events and deployed equipment can come from your planning, so the file is created automatically as soon as a deployment is scheduled. We'll look at which route fits in the first step.

For hirers, builders and organisers who regularly put up temporary structures in different municipalities. If you do a few events a year with the same equipment, a well-kept folder may be enough.

Every deployment with the right documents?

Tell us which equipment you put up and how you currently submit documents to municipalities. We'll show how the structural file can handle that.
