Custom bunker delivery note software for fuel deliveries
Appfront builds software for bunker suppliers who deliver fuel to ships. For each delivery, the bunker delivery note is prepared with the details it must contain: vessel, place, quantity and the properties of the fuel. The sample is recorded with seal and label, the crew signs for receipt, and the delivery flows through to the invoice. That way every note is complete and easy to retrieve if a question arises.
What is bunker delivery note software for fuel deliveries?
Every fuel delivery to a seagoing vessel comes with a bunker delivery note, the Bunker Delivery Note, under Annex VI of the MARPOL Convention. It records, among other things, the receiving vessel, the place and date, the supplier, and the quantity and properties of the fuel. A representative sample accompanies the note, and the requirements for the note have been tightened in recent years. Inland waterway shipping has its own rules.
In practice, the note is filled in on board the bunker vessel by hand or in a separate programme. A field is missing, and that only comes to light when the ship is inspected in another port. The sample's seal number is recorded on paper. A quality complaint arrives months later, and then the note and sample have to be searched for. And the invoice is produced separately from the note.
We build custom software because suppliers differ: which fuels, which ports, sea or inland shipping, and which systems you use for stock, planning and invoicing. Which details must appear on the delivery note and how long notes and samples are kept follows from the rules that apply to your deliveries; if in doubt, check with your adviser or the inspectorate.

How we build your bunker delivery note software for fuel deliveries
We start with your deliveries: which fuels, which vessels and ports, how the note is currently prepared, and what happens when a complaint comes in. The note is often made on board a bunker vessel, where coverage is poor. We design the software around that, so the note can be completed offline too.

Details on the note, checks, sample with seal and label.
Crew signature, and on to the invoice.
Notes and samples easy to retrieve, followed by management.

Why choose Appfront for your bunker delivery note software?
A bunker delivery note with a missing field, or a sample that can't be found, becomes a problem the moment a query arrives. We build on that: a note that is complete, a sample that can be retrieved, and a delivery that flows through to the invoice.

Easy to retrieve
Note and sample kept together.
Invoice matches

Security and privacy for bunker delivery note software
The software holds data on customers, vessels, deliveries and prices. Access is set by role, and recorded notes are not altered without a trace.
The software also works offline on board and sends everything as soon as there is a connection. Data is stored in a European data centre, with encrypted storage and daily backups.
Frequently asked questions about bunker delivery note software
Questions bunker suppliers ask before getting started.
It records each delivery with the details that belong on the bunker delivery note, checks for missing fields, logs the sample with seal and label, has the crew sign, produces the note as a document, keeps notes and samples on file, and passes the delivery on to invoicing.
For seagoing vessels this follows from Annex VI of the MARPOL Convention, covering among other things the vessel, the place and date, the supplier, and the quantity and properties of the fuel. The requirements have been tightened. You should confirm what applies to your deliveries with your adviser; the software prepares and checks the fields.
Inland shipping has its own rules and practices. The software can also record deliveries to inland vessels, with the details needed there.
At delivery, the seal number and label of the sample are recorded, along with where the sample is stored. If there is a complaint, you can see straight away which sample belongs to which delivery.
Yes. Connectivity on board and in port is not always reliable. The software works offline and sends delivery notes as soon as a connection is available.
Yes, provided they offer an interface. Delivered quantities are deducted from tank inventory, and the delivery is passed to invoicing, with excise administration where applicable.
Check that first. Some ERP packages for fuel trading produce bunker delivery notes, and these may be sufficient. Custom development makes sense if notes are currently handwritten on board, if samples are difficult to trace, or if invoicing is done separately from the delivery note.
