Coach planning and group transport app development

Appfront builds an app in which your requests, trips, drivers and coaches appear on a planning board. You log a request with pick-up points, number of passengers and coach type, assign a vehicle and a driver, and send the trip order to their phone. The driver signs off and records odometer readings, breaks and special notes. Changes show up on the board immediately. So you no longer need a group chat and a pile of trip sheets to know who is driving where.

What is a coach planning and group transport app?

A coach planning and group transport app is software in which you record requests for private coach hire, assign vehicles and drivers to them, and send the trip order to the driver digitally. The planning board shows for each day which coach is going where, which driver is assigned and what is still open. The driver sees pick-up points, contact person and times, signs off, and reports back odometer readings and deviations.

Without an app like this, the planning lives in two places at once: the board in the planning room and the planner's phone. A travel organiser changes a departure time, the planner calls the driver, but the trip sheet has already been printed. The replacement driver goes to the old pick-up point, the hours arrive manually a week later, and at the post-calculation it turns out nobody reported the waiting hours.

We build custom software because your arrangements differ per client: regular school runs, multi-day trips with overnight stays, shuttle services and one-off day trips are all billed differently. Your planning board has to fit your collective agreement terms, your coach types with their seating capacity and inspections, and the way you subcontract work to fellow operators. A generic package does not know your hire-in arrangements, your own list of pick-up points or your rate structure per client.

Request and quote

Every request captures pick-up points, destination, number of passengers, coach type and special requirements such as wheelchair spaces or a trailer. From that comes a quote and, once accepted, a trip on the planning board straight away.

Planning board for coach and driver

For each day you see which coach and which driver are on which trip, including positioning and return times, inspections and leave. Double bookings or too short a rest period stand out immediately.

Driver app with feedback

The driver opens the trip order on their phone, sees the latest version, signs off at departure and arrival, and records odometer reading, breaks, waiting hours and damage with a photo.

How we build your coach planning and group transport app

We start with the weekly board in your planning room and last week's trip sheets, so we can see how you really plan today.

1
Mapping trip types

We go through your types of transport: day trips, multi-day trips, school transport, shuttle services and hire-in work. For each type we define which data is needed and who may change what.

2
Vehicles, drivers and pick-up points

We set up your coaches with coach type, seating capacity and inspection dates, your drivers with licence category, code 95 and availability, and your regular pick-up points, clients and rates per type of trip.

3
Planning and driving

The planning board gets the trips, the driver app gets the assignments. We test a real week alongside you: processing changes, arranging replacements, and making sure hours and kilometres flow back.

4
Integrating and taking over management

We connect your accounting, payroll and track-and-trace systems, set up reports for post-trip costing, and then take over maintenance, with monitoring, updates and a fixed point of contact.

What a coach planning and group transport app actually does

The components below appear in almost every coach planning system. Which ones you need depends on the share of regular contract work, the number of coaches, and whether you work with subcontractors.

Planning board by day and week

Coaches and drivers side by side, drag-and-drop trips, positioning and return times visible, and an instant view of which shift is still unfilled.

Monitoring driving and rest times

The app calculates duty time, breaks and daily rest, and warns you before you schedule a driver who is no longer allowed to drive.

Trip assignment on the phone

The driver always sees the latest version of the assignment with pick-up points, times, contact person and special notes, even without coverage further along the route.

Pick-up points and route

Regular pick-up points with coordinates and an approach route suitable for a coach, so a new driver doesn't end up under a bridge that is too low.

Hours, kilometres and waiting time

Signing off at departure and arrival produces hours worked, odometer readings and waiting hours, ready for your payroll processing and for post-trip costing per trip.

Fleet management and inspections

MOT, tachograph inspection, maintenance services and damage reports per coach, with a flag on the planning board when a vehicle is unavailable on that date.

Who we build a coach planning and group transport app for

The software is designed for operators who have to fit coaches, drivers and trips together every single day.

Coach operators

Lots of one-off day trips alongside regular contracts. The core is the planning board: shifting coaches and drivers quickly without breaching driving and rest times.

Coach companies with school transport

Regular trips that recur all year round, with cover for sickness. A recurring trip pattern and a fast replacement module matter most here.

Travel organisers with their own fleet

Multi-day trips with overnight stays and relief drivers. Here it's all about the trip assignment with itinerary, hotels and the allocation of duty time across days.

Care and staff transport

Group trips with regular passengers and tight arrival times. The driver app with sign-off per stop and deviation reporting is the heart of the system here.

Technology and integrations

This page is about a coach planning and group transport app, and is closely related to our work on planning board software, staff scheduling software and the transport planning API. Why Appfront for your coach planning and group transport app?

A schedule is only as good as the moment the driver reads it. That's what we build on: the change is on the phone before the coach pulls away.

The planner stays in control, not the app group

All changes go through the trip, not through loose messages. Everyone looks at the same version, and afterwards you can see who changed what and when.

You check driving and rest times in advance

The control is in the planning itself, not in a report afterwards. When you schedule a trip, you can already see that a driver has no capacity left that day.

Post-trip costing without the chasing

Waiting hours, extra kilometres and detours come from the app rather than from the driver's memory. Your invoices match what was actually driven.

Security and privacy in a coach scheduling and group transport app

The app holds personal data on drivers, such as driving licence, Code 95 and availability, and on passengers, sometimes names, contact details and, for care transport, wheelchair requirements. Access is role-based: a driver sees only their own trips, a planner the whole fleet. Changes are logged and data expires according to your retention periods, as the GDPR requires.

The software runs in a European data centre, with encrypted storage and daily backups. Integrations with your accounting, payroll and track-and-trace systems use their own keys, which can be revoked per integration.

Frequently asked questions about a coach scheduling and group transport app

Questions that coach companies and transport operators ask before getting started.

The app brings requests, trips, coaches and drivers together on one planning board and sends the trip assignment to the driver's phone. The driver signs off, records odometer readings, breaks and waiting hours, and reports deviations. This gives you an up-to-date schedule, plus hours and kilometres that are ready for payroll and invoicing.

Yes. The trip assignment is stored on the phone, so the driver can access the details in a tunnel or abroad. Sign-offs, odometer readings and photos are saved locally and synced as soon as there is a connection again. A change made by the planner arrives with a push notification as soon as the device is online.

The app calculates planned duty time, breaks and rest, and warns you if an assignment doesn't fit within them. It is a planning aid alongside your tachograph and your analysis software, not a replacement for them. The statutory recording stays with the tachograph, but you avoid scheduling someone who is already fully booked that day.

Yes. You can assign a trip to your own coach or to a fellow operator, with separate agreements on rates and feedback. The subcontractor sees only their own trips and reports hours and kilometres back. In the post-trip costing, your own deployment and hired-in capacity are shown side by side, so you can see what the work really cost.

In most cases, yes. We integrate with your accounting software for invoices, with your payroll system for hours worked and allowances, and with track-and-trace or on-board computers for positions and odometer readings. If your booking system or website has a request form, we feed those requests straight into the planning instead of sending them by email to a planner.

First we set up your coaches, drivers, clients and boarding points, then run alongside your current board for a period. Once a week has gone by without surprises, you switch off the old board. We carry over existing bookings, so you don't have to re-enter a single trip.

Check that first. If you mainly run individual day trips with a handful of coaches, a standard package for private coach hire often goes far enough. Custom software starts to pay off once you work with subcontractors, plan multi-day trips and school transport side by side, or need hours and kilometres to fit your own payroll and invoicing structure.
