From survey to handover in one project What arrives where, and when, per workstation Client sees progress per floor

Custom app for office furniture project fit-outs

Appfront builds apps for office fit-out project managers: the whole project from site survey to handover in one environment. Per floor and workstation you see what has been chosen, ordered, delivered and installed; phasing is aligned with the client's construction and move; changes are recorded with agreement and their impact on delivery; and a portal lets the client follow progress per floor and see the outstanding items. So a fit-out of three hundred workstations doesn't fall apart across emails, drawings and a builder's schedule.

What is an office furniture project fit-out app?

A project fit-out app keeps the entire fit-out project together: the building with its floors, rooms and workstations; for each workstation the chosen products; the order with the manufacturer and its lead time; the delivery and installation phases; and the handover with outstanding items. The project manager sees per floor where the project stands, the client sees this in a portal, and a change, such as a floor that the builder hands over later, is recorded along with its consequences for orders and installation.

Without such an app, the layout lives in the drawing package, the orders in the ERP, the schedule in Excel, and coordination with the client in emails. When the builder reports that floor four will be ready three weeks later, someone has to work out which orders are destined there, whether the manufacturer can hold the delivery, and what that means for the installation crew. At handover it turns out a department chose different chairs from those ordered, and the email where that was agreed can no longer be found.

We build bespoke software because the app has to follow your way of working and your systems: which drawing package and ERP you use, which manufacturers you work with and what their order confirmations look like, whether you install yourselves or subcontract, and what your clients expect from you in coordination. A generic project tool knows tasks and deadlines, but not workstations, manufacturer orders, or a floor that shifts.

Project per workstation

Building, floor, room and workstation as structure, with per workstation what has been chosen, ordered, delivered and installed, and the survey and layout linked to it.

Phasing and changes

Planning per floor, aligned with construction and the move, with every change approved by the client and its impact on orders, delivery and installation.

Client portal and handover

The client sees progress per floor, approves changes and tracks outstanding items; the handover per floor, with a report, closes the project.

How we build your app for office furniture project fit-out

We start with a live project: where the information sits now, which change took the most time, and what the client asked for most often by email.

1
Mapping projects and systems

How a project runs for you from site survey to handover, which drawing package and ERP you use, how manufacturers confirm and deliver, who installs, and what the client wants to see.

2
Project structure and products

Buildings, floors, rooms and workstations, the product choices per workstation from your range, and the link with the layout from the drawing package.

3
Ordering, scheduling and changes

Orders per manufacturer with lead times, phasing per floor, delivery and installation scheduling, and change management with approval.

4
Portal, integration and management

The client portal with progress and open items, the integration with ERP and the installation app, handover per floor, and ongoing management afterwards.

What an office furniture project fit-out app actually does

The components below come up in almost every project fit-out firm. Which ones you need depends on the size of your projects and on how you want to involve your clients.

Project structure

Building, floor, room and workstation, with status at each level and the layout from the drawing package as the base.

Product selection per workstation

The products chosen for each workstation or room, with configuration, derived from standard workstations, and departmental variations.

Orders and lead times

Orders per manufacturer with confirmed lead times, linked to the floor they are going to, and a signal when a lead time threatens the schedule.

Phasing and installation

The schedule per floor covering construction readiness, delivery, installation and the move, and the installation crews assigned to them.

Change management

Every change with its requester, the client's approval, its impact on orders and the schedule, and the associated price.

Customer portal

Progress per floor, changes awaiting approval, outstanding items and handover reports for the client's project manager.

Who we build an office furniture project fit-out app for

The app is intended for companies where a fit-out project lasts months, involves several manufacturers and crews, and where the client has its own project manager who wants to keep an eye on things.

Office fit-out firms

Large projects with many manufacturers and a client that moves floor by floor. Phasing and change management are at the core.

Office furniture dealers

Projects alongside standalone sales, with orders placed with the manufacturer as the centre. Orders per floor and lead-time monitoring matter most.

Interior architects with delivery

Design and fit-out in one hand, with the layout as the starting point. The integration with the drawing package and the product choice per workstation are what is needed.

Government and education fit-out firms

Tendered projects requiring accountability and many changes. Change management with approval and the handover report are at the core.

Why Appfront for your custom office furniture project fit-out app?

An interior fit-out project is only as good as its overview per floor. That is what we build on: a single structure from workstation to building, to which orders, scheduling and changes are linked.

The floor that shifts shifts everything with it

A later handover of the building affects orders, deliveries and crews. The app shows you what, so the project manager can decide rather than work it out.

The change comes with approval

Different chairs for a department are recorded with who requested them, who approved them and what they cost. You no longer have to search through email.

The client keeps an eye on progress

Progress per floor and outstanding items in the portal. Fewer emails, and a handover that doesn't come as a surprise.

Security and privacy for a custom office furniture project fit-out app

The app works with client project data and floor plans, with prices and purchasing terms per manufacturer, and with changes that have financial consequences. Access is set up by role and by project: the client sees only their own project with sales prices in the portal, the project manager sees everything, and the manufacturer or installation partner sees only what concerns them. Every change and approval is logged with name and time and cannot be altered after approval without leaving a trace.

The app runs in a European data centre, with encrypted storage and daily back-ups. Integrations with your ERP, the installation app and manufacturers' systems use their own keys, which can be revoked per integration.

Frequently asked questions about a custom office furniture project fit-out app

Questions fit-out project managers ask before getting started.

It keeps an interior fit-out project together from survey to handover: for each floor and workstation, what has been chosen, ordered, delivered and installed; phasing aligned with the build and the move; changes approved with their consequences; and a portal where the client sees progress and outstanding items, linked to your ERP and installation.

The layout is imported as a base drawing with the rooms and workstations on it, and the product choice per workstation is linked to it. If the layout changes, the app shows which workstations shift and which orders that affects. We determine which package you need in the first step.

You shift the phase for that floor, and the app shows which orders, deliveries and installation crews depend on it. For each order you see whether the manufacturer can hold stock or whether storage is needed, and the client sees the revised schedule in the portal.

Each change is entered with the requester, the workstations concerned, the consequences for orders and scheduling, and the price. It is sent for approval to the client's project manager in the portal. Once approved, the change is applied, and the original choice remains visible in the history.

Yes. In the portal the client's project manager sees progress per floor, the schedule, changes awaiting approval, outstanding items and handover reports. You set what the client can see per project; purchase prices and manufacturer terms stay out of view.

Yes. Orders go from the app to the ERP and on to the manufacturer, order confirmations with lead times come back, and the fitting app handles handover per room. We connect to what you already use; the app does not become a second order administration.

Check that first. A project tool with tasks and deadlines is enough if your projects are small and orders can be tracked separately in the ERP. Custom development makes sense when a project covers hundreds of workstations, when orders and planning are tied together per floor, when changes need approval and a price recorded, or when the client wants to follow progress floor by floor.

Would you like every office fit-out project visible floor by floor, from order to handover?

Tell us how large your projects are, which manufacturers you work with, and how you currently handle a floor that shifts. We'll show you what the project structure, phasing and client portal look like.
