Field work Report template Review and versions

Custom app for engineering firms' survey reports

Appfront builds apps that let your field staff record their observations, measurements and photos on site, from which the research report is generated in your own template. With version control and a review step, so you know which version went out and who approved it.

What is an app for research reports?

An app for research reports does two things. In the field it collects, in a structured way, what the surveyor observes: measurements, photos, location and notes, in the order the study requires. In the office it converts that data into the report the client expects, in your own layout.

The real gain lies in the second part. At many agencies field forms arrive as photos and notes, and an adviser retypes them into a word processor. That takes time, introduces errors and makes it hard afterwards to say which measurement supports which conclusion.

We build custom software because an inspection report is discipline-specific. What is measured, which standard applies, which appendices are mandatory and who has to review the report before it goes out differs by discipline and by firm. A generic forms app therefore always leaves manual work afterwards.

Structured fieldwork

Forms that follow the sequence of the study, with mandatory fields so a measurement cannot be recorded half-finished.

Photos with context

Photos with timestamp and location, linked to the measurement point they belong to rather than sitting in a loose folder.

Report from your template

The collected data fills your own report layout, including tables, appendices and the standard text that always recurs.

How we build your app for research reports

We start from an existing report from your firm and work backwards to what needs to be captured in the field to complete that report.

1
Breaking down the report

We take a finished report and establish, section by section, where it comes from: a measurement, an observation, a standard text or a conclusion by the consultant. That determines what the app needs to ask for in the field.

2
Building field forms

The forms follow the workflow and enforce what must not be left out. We test them in the field, because a form that looks logical in the office often works differently on a wet dyke.

3
Review and versions

Who checks the draft, what happens with comments and who approves. We record which version went to the client, so there is no discussion about it afterwards.

4
Delivery and maintenance

The report comes out in your layout, with appendices, and goes to your file or to the client. After that we take the app into maintenance.

What a research report app actually does

Which components matter most depends on your discipline and on how much fieldwork precedes a report.

Offline fieldwork

Measurements and photos are stored locally and sync as soon as a connection is available again. In the field, that is essential rather than a luxury.

Measurement points and location

Observations are attached to a measurement point with coordinates, so it can later be traced where a value came from.

Photo appendices

Images with timestamp and measurement point, automatically placed in the right spot in the report and in the appendices.

Report generation

The report is built in your own template, with tables, charts and the standard text that belongs to this type of investigation.

Review and approval

A draft goes to a reviewer, comments are recorded and only after approval does the version become final.

Version control

Every version is kept with date and author, so it is clear afterwards what was delivered and what was changed later.

Who we build a research report app for

The app is intended for firms where the report is the end product and fieldwork provides the basis for it.

Engineering firms

Your reports follow a fixed structure and refer to standards. Structure in the field saves time in the office straight away.

Environmental and soil investigation

Samples, measurement points and analysis results must remain traceably connected, even years later.

Building and structural investigation

On-site observations with photos are the evidence underpinning your conclusion and belong inseparably with it.

Inspection and certification firms

You work with fixed protocols and repeat the same assessment across many objects. That is precisely when it pays to tighten the field form.

Technology and integrations

The app works on phone and tablet, even offline, and produces reports as PDFs in your own layout. If you are looking for software for the wider operations of an engineering firm, have a look at engineering firm software. If the work involves recurring inspections under a fixed protocol, our inspection app is a better fit, and for condition assessments there is condition assessment according to NEN 2767.

For the office, with building blocks, review and approval, there is our software for research reports.

If the measurement data behind an investigation must still be reproducible after the project, see our app for measurement data management in research projects.

Why Appfront for your research report app?

Reporting apps almost always get stuck on the same point: the report they produce is just not quite the report the firm is used to delivering.

Your template is the starting point

We start from a finished report from your firm and build towards it, rather than from a standard layout you then have to adjust.

Built for outdoors

Gloves, rain, poor signal and a phone with a nearly flat battery. That is the situation we design for.

Traceable down to the measurement

Every value in the report can be traced back to a measurement point, a time and a team member. When a client questions a figure, that is the difference.

Security and privacy for a survey report app

Survey data is often confidential and sometimes traceable to an address or a person. We manage access per project and per role, so a field engineer sees their own assignments and not the entire archive. What is stored on the device is kept to a minimum and encrypted, so losing a phone does not have to mean a data breach.

For a report to stand up to scrutiny, it must be clear afterwards who recorded what and when. Measurements, photos and approvals are logged with user and timestamp, and versions are retained. That way you can demonstrate which version was delivered and what changes were made afterwards.

Frequently asked questions about a survey report app

Questions that engineering firms ask about fieldwork and reporting.

Most of the gain comes from no longer having to retype data. What is recorded in the field feeds straight into the report, including photos and tables. The report also becomes traceable: every value can be linked to a measurement point, a time and the team member who captured it.

Yes, and that is usually a hard requirement. Measurements, photos and notes are stored locally on the device and go through once a connection is available again. The form itself and the job details are also held on the device, so an engineer is never faced with a blank screen in an area without coverage.

Yes, and that is the foundation of our approach. We start from a finished report from your firm and build towards it, including layout, tables, appendices and the standard text that recurs for each type of survey. Your clients therefore see the same document they are used to.

Through a draft that goes to a reviewer before the report can be issued. Comments are recorded against the section they concern, and a version only becomes final once it has been approved. Who may review, and whether that differs by survey type, we configure to match your own quality system.

Yes. Every version is kept with its date and author, so it is clear afterwards which version was sent to the client. That is not only useful when a dispute arises; it is also what a quality system typically requires of you.

That depends on the equipment. Some measuring instruments produce files we can import, while others connect via Bluetooth. We check what is available for each instrument before we commit to anything, because the quality of measuring equipment documentation varies.

Yes. Approved reports can automatically be filed in your project record or document management system, with the correct naming and in the right place. That keeps a single archive rather than a second collection of reports inside the app.
