Custom delivery note app for agricultural machinery

When an agricultural machinery dealer delivers a tractor, combine harvester or implement, a lot has to happen at once: checking the machine, walking the customer through it, recording the serial number and operating hours, and getting a signature. Appfront builds the app that handles all of that on the customer's farm: the delivery inspection as a checklist, the handover walkthrough ticked off, photos of the machine, and a signed delivery note that lands in your system straight away.

What is a delivery note app for agricultural machinery?

A delivery note records that a machine was handed over in good condition and that the customer knows how to operate it. Agricultural machines are expensive, complex and full of options, and they are often delivered on the customer's farm. What was checked and explained at handover matters later if there is a warranty claim or damage.

At the moment this is often done on paper. The technician has the manufacturer's checklist in the van, copies the serial number across and asks for a signature on a form that is retyped at the office later. Photos sit on his phone. Whether the customer was told about safety and maintenance is recorded nowhere. And the warranty registration with the manufacturer waits until someone remembers it.

We build this as a custom app because every machinery dealer has different brands and a different dealer system. Which checklists the manufacturers require, what you want to record at handover and where the data needs to go afterwards determines how the app works. It also works where there is no signal on the farm.

How we build your delivery note app for agricultural machinery

We start with your delivery process: which brands you sell, which checklists and registrations the manufacturers require, who delivers and what the customer needs to sign. Then we look at your dealer system, so the app already knows the machine, the customer and the order. We often start with the delivery inspection and the signature, because that is where most of the paper is. Photos, the walkthrough for the customer and the warranty registration follow once that is running well. After that we maintain the app as checklists, brands or your systems change.

Security and privacy in a delivery note app for agricultural machinery

The app processes customer data, such as name, address and signature, and data about their machine. Access is set up by role, a mechanic only sees their own deliveries, and every delivery note is recorded with the name, the time and the photos.

The app and the environment behind it run in a European data centre, with encrypted storage and daily backups. Data on the tablet is encrypted, so a lost device is not an open file. We record the processing in a data processing agreement.

Frequently asked questions about a delivery note app for agricultural machinery

Questions machinery dealers ask before they get started.

The machine with serial number, operating hours and options, the delivery inspection as a checklist, photos of the machine, what handover briefing the customer has had, which documents were handed over, and the customer's signature. Together these form the delivery note, which is sent to the customer as a PDF.

Yes. Every manufacturer has its own points to check at delivery. We set these up in the app per brand and type, so the mechanic gets the right list. If a checklist changes, you update it without having the app rebuilt.

Yes. The day's deliveries are stored on the tablet. Inspections, photos and signatures are saved and sent as soon as there is a connection again, so a farmyard or barn without reception is not a problem.

Yes, if your system allows it. The integration retrieves the machine, the customer and the order, and writes the signed delivery note and the data back to the order. We look at which route your dealer system offers in the first step.

Often, yes. Many manufacturers require a registration of the machine and the customer at delivery. If the manufacturer has an integration or a portal for this, the app prepares the data or sends it on, so the registration doesn't get left undone.

Yes. For a used machine, the app records its condition with photos and its own checklist. For rental, it works at hand-out and at return, so you can compare damage and hours at the start and the end.

For agricultural machinery dealers with regular deliveries of different brands, importers with a dealer network, dealers of horticultural and earthmoving machinery, and rental companies. If you deliver only a few machines a year, a paper note is often still enough.
