Why Excel, email and WhatsApp fall short for slot planning.

Most distribution centres plan their inbound and outbound lorries through a mix of Excel sheets, email confirmations and, at busy times, a WhatsApp group with the planner. That works as long as volumes stay low and your regular hauliers all keep to the same rhythm. Once things get busier, such as a seasonal peak, a new customer or a second shift, the system breaks down: double bookings on a single dock, drivers turning up at the gate without an appointment, and planners spending their day on the phone instead of actually planning.

A slot-booking portal tackles those problems at the source. Carriers and forwarders book for themselves via a web or mobile interface, the system knows your dock types and capacity per time window, and all communication runs through a single channel with an audit log. Your planner only needs to look at exceptions, and your drivers know exactly when to head to which dock. The gain is not just time saved in the office, but also shorter waiting times on site, less pressure on the municipality from trucks queuing in the street, and better use of your docks throughout the day.

We build the portal as a standalone component that complements your existing systems, rather than as a rip-and-replace. In most cases your WMS, TMS and ERP stay in place; the slot portal takes over planning and communication with the outside world. For multi-site operations, we deliver a single central tenancy in which each location has its own business rules, while your regular hauliers only need one account to book across all your DCs.

For most clients, the greatest value comes from the combination of self-service, automatic capacity monitoring and notifications. A portal that takes 80% of planning phone calls off your hands is twice as valuable once it is linked to ETA tracking and automatic re-slotting when delays occur. Your driver is offered a new window before they even call to say they will be late.

A slot booking portal is not one-size-fits-all. The rules differ by type of site and type of cargo. We build modularly, so you start with what you need now and expand once the basics are running.

Self-service for carriers

The heart of a slot booking portal. Carriers and their forwarders log in with their own account, see which time windows are available at your site, and book an arrival, departure or multi-stop slot (loading and unloading in one visit) without calling your planner. The portal works on desktop and mobile, with a minimal flow that takes just a few clicks.

For your regular suppliers with a repeating pattern, such as every Monday at 08:00, we offer recurring bookings: set it up once, and the system automatically reserves the window for the coming quarters. Customers can change and cancel bookings themselves within the fair-use rules you define. For larger carriers, API booking is more practical because they plan from their TMS; that flow runs alongside the web flow.

For international drivers, multilingual support is not a luxury but a necessity. As standard we provide Dutch, English, German and Polish: drivers select their language in their profile, and all notifications arrive in that language. For specific routes we add other languages.

Driving and rest times while waiting

Waiting time on your premises counts towards the driver's rest-time records. The portal logs arrival and departure times per registration plate, with export for tachograph reporting and the CAO Beroepsgoederenvervoer (collective labour agreement for goods transport).

When bespoke development is smarter than off-the-shelf.

The large slot-booking vendors (C3 Solutions, Transporeon, GO RealTime, known from Welcomr and Schiphol Cargo, FourKites Slot Booking, DockFlow, Bookix, LinkedSlot, CHEP) suit commodity distribution centres with standard flows very well. For a single-site retail DC with seven docks, fixed carriers and no sector-specific rules, we often say: stick with a SaaS tool, as it is cheaper and faster to go live. Our added value does not lie in building it ourselves.

Bespoke development makes sense once your situation deviates: a multi-modal terminal where rail and truck must share one schedule, a cold-chain DC with a temperature window per slot, a hazmat site with ATEX zoning and ADR routing, a deep TMS, ERP and WMS integration where data must come together in real time across three systems, or a 3PL serving multiple clients that needs a white-label solution per client. What exactly is a slot booking portal?
A slot booking portal is a self-service environment where hauliers and freight forwarders book a loading or unloading window at your site in advance. The core idea is to reserve in advance rather than arrive on spec. The system knows your docks, which type of load suits which dock, and monitors capacity by time window. For your planning team, the work shifts from handling incoming calls to managing exceptions. For the driver, it means certainty: they know before they set off which dock to head for and when they are expected.
What is the difference between a slot booking portal and a YMS?
A Yard Management System covers the whole site: slot booking is its first module, but a YMS also includes gate check-in, dock allocation while a vehicle is on site, and yard tracking so you know where every trailer is. You can perfectly well deploy a slot portal on its own if you only want to digitise the booking and planning side, and extend it with YMS modules later as your needs grow. Do you replace enterprise vendors such as C3 Solutions or Transporeon?
No, that is not what we do. If you run on C3 Solutions, Transporeon Time Slot Management, FourKites Slot Booking, GO RealTime, DockFlow, Bookix, LinkedSlot, Project44 or CHEP slots, and it works, then keep it. We build when you operate in a sector with unusual rules (cold chain with temperature windows, hazmat with ATEX routing, multimodal rail plus road), when you need an integration depth between TMS, ERP and WMS that a standard package cannot accommodate, or when you are a 3PL and need to deliver a white-label solution per client. We make that distinction upfront and honestly in the first workshop: if an off-the-shelf SaaS tool is sufficient, we will say so.
How do you integrate with our TMS, such as Transwide, Centric or Webfleet?
Where possible, we use a standard API. Transwide, Centric, Webfleet and most enterprise TMS packages have documentation for slot events and ETA updates. For less common or legacy packages, we build a middleware layer with a message bus (Azure Service Bus, RabbitMQ or a simple REST poll). Slot events flow in both directions: a slot booked in the portal lands in the carrier's TMS, and ETA updates from the TMS automatically trigger a re-slot in our planning. We always deliver one pilot integration that is production-ready before starting the second, so going live does not have to wait for every integration at once.
How does the no-show policy work?
You set the rules yourself: how many minutes late is still acceptable, after how many no-shows a haulier drops to a lower priority, and which penalties or fair-use consequences apply. The system keeps no-show history per haulier and shows that history to the planner. For international drivers, we make sure the penalty policy is clear in their own language before they book, so they are not caught out afterwards. We do not settle penalties on your behalf, as that remains your own commercial relationship with the haulier, but the log provides the supporting evidence.
Does the portal work for international drivers in other languages?
Yes. We offer NL, EN, DE and PL as standard, and add other languages on request (Romanian, Lithuanian, Spanish and French come up often). Language selection sits on the driver profile, so the driver app, email confirmations, SMS notifications and WhatsApp messages all arrive in the driver's own language. For pre-check-in at the gate via kiosk or QR code, the interface runs in the same language as their profile. We find that multilingual support is what makes the difference between a portal international drivers use on their own and one where the call centre still has to take the calls.
How do you handle GDPR when tracking drivers?
Licence plates, GPS position during ETA tracking, account data and notification history are all personal data. With every project we deliver a DPIA with data-flow mapping, retention settings per category and data subject rights flows, so drivers can view or delete their data. For multinational carriers, we work with multilingual privacy statements in the driver app by default. AI-driven slot recommendations are classified and documented under the EU AI Act. For pharma distribution centres, we add GDP protocols to the retention requirements; for cold-chain food, the HACCP chain administration.
What does a custom slot booking portal cost?
That depends heavily on scope: a portal with a basic slot flow for one site is a different project from a multi-site build with TMS integration, ETA integration and sector rules for cold chain or hazmat. We work to fixed sprint budgets and, after the first workshop, give a reasoned estimate for the full build. We never charge hourly after the fact. What we include as standard, regardless of scope, is a DPIA, a runbook for your operations team, and monitoring of the critical integrations for the first months after going live. How long does a typical project take?
That depends on scope and the number of locations. A project with a single site and basic modules (slot flow plus notifications) is considerably shorter than a multi-site rollout with TMS integration, recurring bookings, ETA integration and cold-chain features. We deliver operational value from the first sprint: after a few sprints a pilot flow is usually already running at one dock with a handful of fixed carriers, long before the portal is open site-wide.
