Custom WhatsApp Business API integration development

Appfront builds custom WhatsApp Business API integrations, from customer service flows and marketing templates to order updates, appointment reminders and AI chatbots with handover. Directly on Meta's Cloud API or via a BSP, connected to your CRM, helpdesk or own portal. We handle template approvals, multi-agent routing and compliance, so that WhatsApp becomes a reliable channel in your customer contact.

What is a WhatsApp Business API integration?

The WhatsApp Business API, or WABA for short, is Meta's enterprise-level access to WhatsApp. Unlike the free WhatsApp Business app on a phone, WABA is intended for organisations that want to send and receive messages programmatically, with several agents working on a single number at the same time and without the volume limits that the consumer app imposes.

In practice, an integration means: receiving inbound messages via webhooks in your CRM or helpdesk, sending outbound messages programmatically via the REST API, using pre-approved templates for notifications outside the 24-hour customer service window and, depending on your scenario, an AI bot for first-line triage with handover to a human. Meta uses four conversation categories (utility, authentication, marketing and service) and charges per conversation, not per message.

Appfront works directly on the Cloud API or through a Business Solution Provider such as 360dialog, Twilio or Bird, depending on what best suits your scale, compliance requirements and existing tooling. We configure our API integrations so the channel fits seamlessly into your customer contact.

Two-way communication

Customers reply to your messages and start conversations themselves via click-to-WhatsApp ads or a chat button on your website. Within the 24-hour customer service window you can respond freely; outside it, you use Meta-approved templates.

Multi-agent on one number

Multiple team members handle conversations simultaneously on a single WhatsApp Business number. Routing based on language, topic or customer segment, with the full conversation history visible in your CRM or helpdesk.

AI bot with handover

A chatbot built on your own knowledge base (RAG) handles first-line questions. If it is uncertain or the customer explicitly asks, the bot hands the conversation over to a human agent, with full context.

Our development process for WABA integrations

A good WhatsApp project starts with the right decisions upfront: number verification via Facebook Business Manager, display name approval, BSP versus direct Cloud API, and the correct setup of templates. We take you through every step, deliver working builds and ensure a controlled go-live that your helpdesk and marketing team can rely on.

1
Analysis & scope

We map out which message flows you want to automate, which systems are involved and which compliance requirements apply — think of opt-in mechanisms, message retention and, where relevant, NEN 7510 for healthcare.

2
Setup & templates

Number verification, display name request, the choice between Cloud API or BSP, and drafting templates for utility, authentication, marketing and service. We plan Meta's review early in the process.

3
Development

Implementation of webhooks, REST calls, routing logic, AI bot or human handover, integration with your CRM and helpdesk, plus monitoring and logging. You'll see working builds along the way.

4
Go-live & management

Controlled go-live with a soft launch, followed by ongoing management: template maintenance, rate-limit monitoring, keeping an eye on your quality rating and expanding flows based on real conversation data.

What a WhatsApp Business API integration delivers

Every WABA integration is tailored to your sector, customer contact volume and objectives. Below are the features we most often deliver for organisations that want WhatsApp as a fully fledged channel alongside email and phone.

3

Customer service in your helpdesk

Inbound WhatsApp messages land directly as a ticket or conversation in Zendesk, Freshdesk, Intercom or your own helpdesk. Routing by language, topic or opening hours, with full context and customer history visible.

Approved templates

We manage your template library for utility, authentication, marketing and service. We submit templates to Meta, monitor approvals and track which variant performs best in terms of delivery and response.

Opt-in & consent management

GDPR-compliant opt-in flows that log the source, timestamp and the consent given. Customers can opt out at any time — this is recorded in the CRM so marketing templates are no longer sent to them.

Order updates & track-and-trace

From your e-commerce platform (Shopify, Magento, WooCommerce) or ERP: confirmations, shipping notifications and delivery windows sent automatically to WhatsApp. Customers see their parcel status without opening a separate app.

AI

AI chatbot with RAG

A chatbot built on Claude or GPT-4o, powered by your own knowledge base, product catalogue or FAQs. It answers common questions, qualifies leads and hands more complex queries over to a human smoothly. See also Building AI agents.

OTP

OTP codes and authentication

Login codes and two-factor authentication via WhatsApp instead of SMS, often cheaper and more reliable. Meta's authentication template category is designed specifically for this and has its own pricing.

Typical use cases in practice

A WABA integration looks very different from one organisation to the next. We see a number of recurring patterns, and for each we have a working setup covering templates, CRM integration and the right opt-in flow.

E-commerce & retail

Order confirmations, shipping notifications and delivery windows directly in WhatsApp, from Shopify, Magento or WooCommerce. When customers have questions, they're passed straight to a service agent, with a link to the order number and order history. See our API integrations.

Healthcare & appointment reminders

Dental practices, clinics and physiotherapists who handle appointment reminders, repeat prescriptions and triage questions via WhatsApp. With careful attention to NEN 7510, data minimisation and a strict separation between medical and administrative data.

Recruitment & job applications

A recruitment bot that qualifies candidates, asks about availability, poses preliminary questions and automatically schedules interview slots. Results flow into your ATS, and recruiters see a summary for each candidate straight away.

Marketing & click-to-WhatsApp

Click-to-WhatsApp ads on Facebook and Instagram take prospects directly into a conversation. A welcome flow qualifies them, asks for opt-in to further communication and passes warm leads on to sales, with everything recorded in HubSpot, Salesforce or Pipedrive.

Technology we use

We build WABA integrations on Meta's official Cloud API or through a Business Solution Provider, combined with the backend stack that suits your landscape. The exact choice depends on scale, compliance requirements and the tools you already use, so that your own team can understand the integration and continue developing it.

Why choose Appfront for your WABA integration?

Appfront has extensive experience with messaging and API integrations for Dutch organisations. We start with your customer contact process, not with the tool. A WhatsApp channel has to fit with your existing tickets, CRM records and marketing flows, otherwise it creates a second silo alongside email and phone.

With every integration we write clear documentation and make sure your own team, or any future supplier, can understand and manage it. No black box: transparent code, clearly documented webhook payloads and agreed practices for monitoring, alerting and template maintenance.

You work with a dedicated point of contact who understands both the technical and the functional side. This keeps communication short, prevents misunderstandings and speeds up decisions when choices need to be made during the build, such as selecting a BSP, template categories or AI bot behaviour.

Security and privacy in WABA integrations

WhatsApp messages contain personal data and often sensitive context too: medical questions, financial arrangements or complaints. Appfront builds in line with Meta's WhatsApp Business Policy and the OWASP ASVS. This means, among other things: API tokens stored in secure vaults, webhook signature validation, scoped permissions and regular audits of the messaging flows.

Marketing templates require a demonstrable opt-in moment. The Dutch Data Protection Authority (Autoriteit Persoonsgegevens) has made clear that marketing without valid consent can lead to enforcement. We record the opt-in mechanism, including source, timestamp and clear wording, so that you can always demonstrate it. For automated replies from an AI bot, we also take into account the transparency requirements of the AI Act.

For healthcare clients, we set up the integration so that medical data never ends up in WhatsApp message content, in line with NEN 7510. More on our security approach: information security policy and vulnerability disclosure policy.

Frequently asked questions about WhatsApp Business API integrations

Answers to the questions we are asked most often about WABA implementations.

The free WhatsApp Business app runs on a phone, supports only a handful of simultaneous users and is intended for freelancers and small business owners. The WhatsApp Business API (WABA) is Meta's enterprise access: messages via REST and webhooks, multiple agents working on one number at the same time, no volume limits and integrations with CRM, helpdesk and e-commerce platforms. As soon as you want to send messages programmatically or let several team members work on one number, WABA is the answer.

Either works; it depends on your situation. A direct Cloud API is technically simple and gives the lowest level of integration overhead at Meta, ideal for custom cases and larger volumes. A BSP such as 360dialog, Twilio Conversations or Bird adds value if you want to start quickly, need a UI for agents or want features such as built-in template management and multi-tenancy. In the intake conversation, we weigh up factors such as volume, compliance requirements, existing tooling and the flexibility you need.

Meta usually reviews templates quickly, but the exact turnaround varies by category and timing. Utility and authentication templates are typically approved faster than marketing templates. We submit template requests early in the project and allow for rejections, for example because the text is too promotional or variables are missing. If a template is rejected, we revise the text and resubmit it.

Build costs depend on the complexity of the message flows, the number of systems to connect, whether you want an AI bot and the degree of customisation in routing and template logic. In addition, Meta applies conversation-based pricing with separate rates per category (utility, authentication, marketing and service), which becomes a recurring cost. We always provide a clear quote for the build and explain separately how Meta conversation costs will develop based on your expected volume.

Yes. We connect Claude or GPT-4o to your WABA account and feed the model your own knowledge base using retrieval-augmented generation (RAG). The bot answers first-line questions, qualifies leads and hands uncertain or complex conversations over to a human agent smoothly, with full context. We always build guardrails against hallucinations and take the transparency requirements of the AI Act into account.

WABA supports multiple agents on one business number out of the box. We set up routing based on language, topic, opening hours or customer segment. Agents see conversation history and CRM context alongside each message, and can transfer a conversation to a colleague. For multi-team setups we use workspaces or multi-tenant structures, with clear permission separation between teams.

Marketing templates may only be sent to contacts who have demonstrably opted in. We build the opt-in flow into your website, app or checkout process, with logging of the source, timestamp and exact consent wording. Opt-outs are processed immediately in your CRM and blocked from further marketing templates. For automated replies from an AI bot, we take transparency requirements and retention periods into account.

We integrate WhatsApp with Salesforce, HubSpot, Pipedrive, Microsoft Dynamics and Zoho for CRM, and with Zendesk, Freshdesk and Intercom for helpdesk. For e-commerce, we support Shopify, Magento and WooCommerce. Do you have your own CRM or portal? Then we'll build a direct integration on your API, with inbound webhooks that log messages as tickets or activities, and outbound triggers from your own systems.
