Custom payroll tax return integration development
Appfront builds payroll tax return integrations for payroll software providers, payroll bureaus and organisations with their own payroll administration. We build the integration that prepares the wage tax return (aangifte loonheffingen) according to the Dutch Tax Authority's data specifications, validates it, submits it via Digipoort, and processes the acknowledgement and feedback messages, including corrections for previous periods. So the return comes directly from your own data, and no feedback goes unnoticed.
What is a payroll tax return integration?
Every employer periodically files a wage tax return with the Dutch Tax Authority, with details of wages, tax withheld and premiums per employee. The return is submitted digitally according to the Tax Authority's data specifications, via Digipoort. Most payroll packages do this for their clients. If you build or use your own payroll software, you have to arrange that submission yourself. That is what a payroll tax return integration is for.
Without an integration, the return takes a roundabout route: an export into another package, or copying data into a portal. Feedback messages from the Tax Authority about an employee or a period arrive separately and are handled by hand. Corrections for previous periods are a puzzle of their own. And every year the specifications change, and someone has to work out what is different.
We build custom development because the integration has to fit your software and your clients: how your payroll data is structured, how many employers and wage tax numbers you serve, whether you submit directly via Digipoort or through a service provider, how you handle certificates, and how users want to see feedback messages. The Tax Authority's specifications are fixed; fitting them into your software is the work.
From your own data
The return prepared from the payroll data in your software, following the specifications for the year being reported.
Validated before submission
Checks against the rules in the specifications before sending, so a return isn't rejected by the Tax Authority after the fact.
Feedback processed
Acknowledgements, error messages and feedback messages returned to your software, linked to the employer, the period and the employee.
How we build your payroll tax return integration
We start with your software: how the payroll data is structured, how many employers there are, and how the return currently reaches the Tax Authority.
Your payroll data, employers and wage tax numbers, the submission channel, and certificates.
Messages built according to the data specifications from your data, with checks before submission.
Submission via Digipoort or a service provider, and processing of acknowledgements, errors and feedback messages.
Corrections for previous periods, testing in the test environment, and maintenance for the annual changes.
What a payroll tax return integration actually does
The components below feature in almost every payroll tax return integration. Which ones you need depends on your software and clients.
Preparation
The return per employer and period from your payroll data, according to the specifications.
Validation
Checks against the rules in the specifications before sending.
Submission
Sending via Digipoort with a PKIoverheid certificate, or through a service provider.
Feedback
Acknowledgements, error messages and feedback messages by employer, period and employee.
Corrections
Corrections for previous periods, included in a subsequent return.
Audit log
For each return, what was sent, when, by whom and with what result.
Who we build a payroll tax return integration for
The integration is intended for those who want to submit the wage tax return from their own software.
Payroll software vendors
A package that needs to support the return. The specifications and testing are the core.
Payroll bureaus
Returns for many employers. Feedback per employer matters most.
Organisations with their own payroll software
A custom system for a special collective labour agreement. What you need is the submission.
Industry packages
Software for a sector with its own rules. Corrections and checks are at the heart of it.
Technology and integrations
This page is about the wage tax return (aangifte loonheffingen). For integrations with payroll packages, see our pages on a Nmbrs integration and a Loket.nl integration, and for other financial messages, our page on an SBR integration. You can read about our approach at custom software development.
For pension returns to pension administrators, see our page on a UPA integration.
Why choose Appfront for your payroll return integration?
A return that is late or wrong costs the employer a fine or a correction. That is what we build around: returns generated from your own data, checked before submission, and feedback that doesn't get left sitting.
No detours
The return comes straight from your payroll data, without export or portal.
Feedback that doesn't get missed
Every piece of feedback stays with the employer and employee until it has been processed.
Ready for the new year
The specifications change every year. Maintaining the integration keeps your returns up to date.
Security and privacy in a payroll return integration
The integration processes employees' pay and personal data, including the citizen service number, which is highly confidential. Certificates are stored securely and used only by the integration. Access is set up by role, and every return is logged.
The integration runs in a European data centre or in your own environment, with encrypted storage, daily back-ups and two-factor login.
Frequently asked questions about a payroll return integration
Questions that payroll bureaus and software suppliers ask before they start.
An integration that prepares the wage tax return from your payroll software's data, validates it, submits it to the Dutch Tax Authority and processes the feedback messages.
Digitally via Digipoort, directly with a PKIoverheid certificate, or via a service provider that manages the connection. We will look at which route suits you in the first step.
Under the data specifications the Tax Authority publishes each year. What belongs in the return in terms of content follows from your payroll calculation; the integration ensures it is submitted correctly.
A message from the Tax Authority about a return, for example about an employee's data that doesn't match. The integration links it to the employer, the period and the employee so it can be resolved.
Yes. According to the specifications, corrections are included in a subsequent return, with an overview of what has been corrected.
The Tax Authority publishes the specifications for each new year. As part of maintenance, we update the integration in good time and test it in the test environment.
Check that first. Almost all payroll packages submit the return, in which case this isn't necessary. Custom work makes sense if you make or use your own payroll software, or if you want to include the return in your product as a supplier.
Payroll returns directly from your own software?
