Custom Gekko integration

Appfront builds integrations with Gekko, the online administration for freelancers and small businesses covering quotes, invoices, time tracking and bookkeeping. Gekko has integrations with banks, payment services and web shops, among others. For companies that also have their own planning tool, app or custom application, we build the link so that customers, hours and invoices are entered in one place.

What is a Gekko integration?

Gekko is an online administration for freelancers and small businesses. Quotes, invoices, time tracking and bookkeeping sit in one package, with an app. Gekko has integrations with, among others, the Chamber of Commerce, the bank, the payment service Mollie and WooCommerce. For many small business owners, that makes it a complete package.

If you have your own planning, app or custom application alongside Gekko, you often enter things twice. A customer is created in your own system and again in Gekko. Hours from the planning are retyped into Gekko in order to invoice. And whether an invoice has been paid is recorded in Gekko, but not in the system where the rest of the work happens.

We build custom because businesses differ: which system of your own you have, which data needs to flow back and forth, and which route Gekko offers for your use case. We look at which integration options exist and under what conditions in the first step, together with you and, where necessary, with Gekko. We don't promise an integration that Gekko doesn't allow.

Customers in one place

A customer or project is created once, and appears in both Gekko and your own system.

Hours to invoices

Hours from your planning or app flow into Gekko, so you invoice without retyping.

Payment status returned

Whether an invoice is paid, visible in the system where you work.

How we build your Gekko integration

We start with your administration: which own system, which data, what is currently entered twice, and which side is leading. We look at which route Gekko offers for your use case. Sometimes that is a direct integration, sometimes an import or an intermediate step; we choose what works and what Gekko supports.

1
Mapping your administration

Your own system, Gekko, the data and what is duplicated.

2
Choosing the route

The integration option that Gekko offers for your use case.

3
Build integration

Customers, hours and invoices back and forth, with checks for duplicates.

4
Go-live and management

Go-live, monitoring, and maintenance when Gekko changes.

What a Gekko integration actually does

The components below come up in almost every Gekko integration. Which ones you need depends on your system.

Clients

Customers and projects created in one place.

Hours

Hours from planning or app into Gekko.

Invoices

Invoices prepared or created.

Payment status

Paid or open, back in your system.

Duplicates

Checks for duplicate entries.

Audit log

Every message logged, including errors.

For whom we build a Gekko integration

The integration is intended for businesses that use Gekko alongside their own system.

Service providers

Hours from their own planning. Invoicing is the core.

Small businesses

Their own app for work. One place for data entry matters most.

Platforms

Many business owners with Gekko. The integration per user is what is needed.

Developers

A product of your own. The route via Gekko is the core.

Technology and integrations

This page is about integrations with Gekko. For other bookkeeping software for small business owners, there is our page on a Moneybird integration and our page on a MoneyMonk integration, and for custom invoicing our page on an invoicing app. You can read about our approach at software development.

Why Appfront for your Gekko integration?

A customer created twice ends up tracked in two different places. We build around that: one place for data entry, hours that lead to invoices automatically, and a payment status you can work from.

No duplicate work

Customers and hours entered once.

Invoiced faster

Hours flow into Gekko automatically.

Reconciled

Via a route Gekko supports.

Security and privacy in a Gekko integration

The integration handles data on customers, hours and invoices. Access credentials are stored encrypted and used only by the integration, and every message is logged.

The integration runs in a European data centre, with encrypted storage and daily backups.

Frequently asked questions about a Gekko integration

Questions businesses ask before getting started.

Gekko is online accounting software for freelancers and small businesses, combining quotes, invoices, time tracking and bookkeeping in one package, with an app for on the go.

Yes, with the bank, Mollie, WooCommerce and the Chamber of Commerce (KvK), among others. Users set these up themselves, and a custom integration doesn't need to do anything with them. If your system is on that list, you don't need a custom integration. A custom integration is for a planning tool, app or custom application that isn't.

Through the integration options that Gekko offers, or an import where that is the route. We look at which route suits your system and which data can flow back and forth in the first step, together with you and, where necessary, with Gekko.

You choose per type of data. Often customers are created in your own system and sent to Gekko, hours go from your planning to Gekko, and the payment status comes back from Gekko. That way it is clear for each piece of data where it is recorded.

Every customer, hour and invoice receives an identifier. The integration checks whether that identifier already exists, and either skips the record or updates the existing one. Any error is reported, along with the reason.

We then adapt the integration. We keep a record of changes in the management console, and we test the integration before any change touches your accounts. This keeps the integration working, even when Gekko adds new features or changes existing ones.

For companies that have their own planning tool, app or custom application alongside Gekko, and for platforms and developers who want to connect their product to Gekko. For a business owner who only uses Gekko, the standard integrations are often enough.
