What is an AFAS integration?
AFAS Profit is the most widely used Dutch ERP suite for SMEs and mid-sized organisations. A single system for accounting, HRM, Payroll, CRM and order management. But no business works in isolation: your webshop, customer portal, time tracking or warehouse software needs the same data, and also generates changes of its own that belong in AFAS.
An AFAS integration connects Profit to your other systems via the App Connector. GetConnectors read debtors, sales invoices, items, employees or payroll changes. UpdateConnectors write new orders, invoices, time entries or personnel changes back. We build these integrations to production-grade standards, so your administration always stays in sync without your team having to export or retype anything by hand.
Webshop → AFAS sales invoices
We write orders from WooCommerce, Shopify, Magento or a custom headless shop directly to the FbSales UpdateConnector. Debtors are created or matched on their KvK number, and invoices automatically get the correct general ledger and VAT scheme.
HRM sync with an onboarding portal
New employees from your ATS or your own HR portal end up in AFAS HRM via HrEmployee. Leave, contract changes and job changes flow in both directions, so Profit remains the source of truth for payroll processing.
Customer portal reads AFAS data
A customer portal where end customers view their invoices, contracts or service history reads live from AFAS via scoped GetConnectors. Data minimisation and caching deliver performance without putting load on the AFAS environment.
How we build your AFAS integration
An AFAS integration stands or falls with correctly configured GetConnectors, a clean UpdateConnector design and a robust integration layer that handles errors and rate limits gracefully. Our approach covers all three.
Scope and connector design
We map out which data flows you need and which AFAS entities they involve (sales invoices, debtors, items, employees). For each flow, we determine whether a GetConnector, an UpdateConnector or both are needed, and with which fields and filters.
App Connector registration
Together with your AFAS consultant, we register an App Connector in your Profit environment, activate the right GetConnectors and UpdateConnectors, set up IP whitelisting and generate the token. We store that token in a secret manager with rotation.
Integration layer and error handling
An initial backfill plus incremental sync via scheduled jobs or webhooks from your source system. Retries with exponential backoff, idempotent processing, an audit log and dashboards on failed mutations, so AFAS validation errors are immediately visible.
Acceptance and go-live
Testing in your AFAS test environment against a production data sample, UAT with your administrator, a phased go-live and monitoring of throughput, token refresh and AFAS response codes. After go-live, we remain responsible for smooth, uninterrupted operation.

Our technical approach
The AFAS App Connector is powerful but comes with clear requirements. We build the integration to production-grade standards, using defensive patterns that guard against typical AFAS pitfalls.
The token is a Base64-encoded XML envelope containing the environment number, userId and token string. We store it encrypted in AWS Secrets Manager or HashiCorp Vault, with periodic rotation. Every API call goes through a client wrapper with an IP whitelisting check, TLS, retry with exponential backoff and rate-limit-aware throttling. AFAS Profit has no officially stated hard limit, but it is sensitive to spikes during bulk uploads.
We catch errors from UpdateConnectors (e.g. an invalid VAT code, a non-existent general ledger account, a debtor deduplication conflict) with structured error parsing. Every failed mutation goes to a dead-letter queue with audit information, so your administrator knows exactly which record failed which validation. Everything is logged in a searchable audit table for 24 months.
