Asset management is broader than maintenance.

An asset management system records, monitors and manages the full lifecycle of your physical and digital assets. That is fundamentally broader than a CMMS maintenance management system, which focuses on work orders and preventive maintenance. Asset management also covers financial tracking, compliance, condition monitoring, replacement strategy and, increasingly, IT and digital assets.

For most organisations with a standard portfolio, an off-the-shelf platform such as Ultimo, IBM Maximo, ServiceNow ITAM or Snipe-IT is perfectly suitable. Custom development becomes worthwhile once your asset mix becomes hybrid, your compliance requirements are specific, or you want to offer your asset data as a service to other systems through an API-first architecture.

Architecture and data model

Workshop with your asset team, financial controllers and IT department. Outcome: a data model that fits your asset hierarchy, an integration landscape (ERP, IoT, CMDB) and a phased MVP plan with clear scope for each phase. We document decisions so the design remains maintainable after the project, whether by your own team or another party.

Building in sprints

A working build every sprint, starting with the asset register and lifecycle flow. Then maintenance planning, condition monitoring and the specific modules that make the biggest difference for your situation. You test along the way, as do your administrators, and we adjust scope decisions after each demo so the solution stays close to your working processes.

Migration and rollout

Migration of existing asset data from Excel or a legacy system, training for key users and administrators, and a phased rollout by site or by asset type. After that, ongoing support for security patches and further development. For large migrations, we run a temporary parallel administration so the transition takes place without data loss.

What is the difference between asset management and a CMMS?
A CMMS focuses on maintenance: work orders, preventive schedules, technicians and spare parts. Asset management is broader: lifecycle from acquisition to disposal, financial tracking, condition monitoring, performance and compliance. A CMMS is often a module within an asset management platform rather than the full system. For purely maintenance-focused organisations, a dedicated CMMS is usually the right choice. For organisations that also want to integrate financial tracking, replacement strategy and compliance, a full asset management system is more suitable. In practice, a CMMS implementation often grows into an asset management platform once controllers and asset managers want to use the same data.
Do you replace standard platforms such as Maximo, Ultimo or ServiceNow?
For enterprise organisations with a standard asset portfolio, we actively recommend those platforms: rebuilding is expensive and rarely better. Custom development becomes worthwhile once your asset mix is hybrid, your compliance requirements are specific, or you want to offer asset data to other systems through an API-first architecture. In the first conversation, we discuss openly which route suits you. Sometimes a hybrid approach works best: a standard platform as the core for maintenance, plus a custom layer for your specific compliance reporting or integrations. That combination often delivers the highest value at manageable complexity.
Does the platform also support IT asset management?
Yes. Modules for laptops, phones, monitors and software licences are standard parts of a broader asset management system. We can integrate with your CMDB for IT operations and add Software Asset Management for licence compliance. For organisations that only need ITAM, Snipe-IT, ServiceNow ITAM or Ivanti is often a quicker route. The greatest value of an integrated platform comes when IT assets, facility assets and industrial assets come together in a single source of truth, for example for total cost of ownership or for a uniform offboarding process when an employee leaves.
How do IoT and sensor integrations work for asset monitoring?
We integrate at MQTT, OPC UA or REST level with your existing IoT platform or directly with sensors. Measurements are logged per asset, threshold values are monitored, and alerts can automatically create a work order. For predictive maintenance, we combine historical sensor data with maintenance and performance data in models trained per asset type. For organisations without an IoT layer yet, we also help choose sensors and set up an edge architecture that sends the right data to the asset platform, without all raw measurements hitting the cloud.
Is the system ISO 55000-compliant for the asset lifecycle?
We build according to the ISO 55000 framework for asset lifecycle management: a complete audit trail per asset, documented processes, risk-based decision-making and KPI reporting. The certification itself is an organisational process: we deliver the platform that makes it possible and help with the evidence during audits. For pharma organisations, we also build GxP-compliant workflows with electronic signatures under 21 CFR Part 11. For public infrastructure, we align with the applicable NEN standards and sector-specific reporting obligations.
What determines the cost of an asset management project?
Four factors: the size of your asset portfolio and number of modules, the complexity of integrations (ERP, IoT, CMDB, finance), compliance requirements, and the number of entities or locations. We don't publish a fixed price list. In the first conversation we give you a sense of the range, and after the architecture workshop we provide a detailed estimate per phase. We work in phases so you can reassess after each one: starting with the asset register and lifecycle, then maintenance, followed by condition monitoring and performance. This keeps the scope manageable and keeps you in control of the budget.
Can it be connected to our ERP and financial administration?
Yes. We build integrations with SAP, Microsoft Dynamics, Exact, AFAS and other ERP systems for procurement, depreciation and cost postings per asset. For facility and property portfolios, we also connect to facility management software or existing FMIS platforms. Experience shows that the accounting integration, covering CapEx, OpEx and depreciation, is one of the hardest parts to get right. We design that integration early in the project, together with your controllers, so the assets in the system always match what is on the balance sheet.
