Custom venue hire and event calendar software
If you hire out rooms, you often work with a diary, a spreadsheet and an inbox full of enquiries. An option that lapses, a room setup that was never passed on or a room that has been booked twice costs you money and customers. Appfront builds venue hire software with one calendar for all rooms: enquiries, options, room setup, catering and invoice in one place, and a public events calendar if you want one.
What is venue hire software and the events calendar?
Venue hire software keeps track of which room is free when, who has an option on it and what belongs to a booking. A room is hired out per part of the day or per hour, sometimes shared or in sections, with a room setup, equipment, catering and cleaning. The events calendar also shows what is happening in the building, for visitors, hirers and your own staff.
At many venues, that knowledge sits in a few heads and a few files. An enquiry arrives by email, the manager checks the diary, phones the caretaker or the building supervisor and creates the invoice by hand later. An option is forgotten, a booking is made twice, and nobody knows exactly how full the rooms really are.
We build custom software because every building works differently. How many rooms, which combinations, which rates for associations, businesses and private individuals, and who opens the door or makes the coffee all determine how the software works. Standard booking packages are often made for hospitality or meeting hotels, and are a poor fit for a village hall or a church run by volunteers.

How we build your venue hire software and events calendar
We start with your building: which rooms you hire out, to whom, at what rates, and who does what around a booking. Then we build a first version with the calendar and the enquiry form, because that is where most of the back-and-forth emailing happens. You work with it for a few weeks using real enquiries. Room setup and catering, the invoice, the public calendar and the integrations follow once that works well. After that, we keep the software up to date as your building or your rates change.

Why choose Appfront for your venue hire and event calendar software?
A double booking, a forgotten option or an invoice that never went out costs a venue owner money and goodwill. That is what we build around: one calendar for all rooms, options that are tracked, and an invoice that comes straight from the booking itself.
No double bookings
One source of truth for every room.
Fewer emails
Enquiries with the right questions.
Visibility of utilisation
Which room earns what.
Security and privacy in venue hire and event calendar software
The software processes hirers' data: names, contact details, organisations and invoices. We only use what is needed for the booking, access is set up per role, and a volunteer only sees what they need for their task. The public calendar only shows what the hirer chooses to make public.
The software runs in a European data centre, with encrypted storage and daily backups. We record the processing in a data processing agreement, and every change to a booking is logged.
Frequently asked questions about venue hire and event calendar software
Questions venue owners ask before they get started.
It keeps track of which room is free when, who holds an option or booking, and what comes with that booking, such as layout, equipment and catering. The confirmation, the caretaker's task list and the invoice all come from the same data.
Yes. An enquiry form on your website shows which rooms are available and asks the questions you need, such as number of people and layout. You decide whether an enquiry becomes a booking straight away or first an option that you confirm.
An option holds a room until a date you choose. The software reminds the hirer and you before the option expires, and releases the room again if nothing happens. That way no room stays blocked for someone who dropped out long ago.
Yes. Associations, businesses and private individuals often pay different rates, and sometimes it depends on the time of day or the season. We set those rules up once, so every booking gets the right amount and you don't have to calculate it each time.
Yes. Bookings that can be public, such as a concert or an open evening, appear on a calendar on your website or as a feed in other calendars. Internal and private bookings stay out of it.
Yes. A volunteer or sexton gets a simple list of what needs to happen each day: which room, which layout, what time to open up. They don't need access to the whole administration.
For venue owners with multiple rooms, different types of hirers or their own ways of working that don't fit a standard package, such as a village hall run by volunteers or a municipality with several locations. If you hire out one room a few times a month, a simple calendar is often enough.
