Custom software development for the wine industry
Appfront builds custom software for winemakers, importers and the wine trade: from harvest and vinification with batch and blend management, cask and tank management with a logbook for blending and bottling, to stock by vintage, grape variety and blend, excise and customs administration via EMCS, purchasing from estates and sales to hospitality, retail and consumers. One system that keeps traceability at lot level and keeps your excise administration accurate, instead of loose spreadsheets and packages that do not understand the wine sector. For wineries, importers, wine merchants and online wine shops that want control over cellar, stock and sales.
What is wine trade software?
Wine trade software supports the entire journey of a wine, from grape to invoice. For a winemaker this means harvest and vinification with batch and blend management, cask and tank management with a logbook, blending and bottling. For an importer or wine merchant it means purchasing from estates, stock by vintage, grape variety and blend, excise and customs administration, and sales to hospitality, retail and consumers. In every case it comes down to the same thing: knowing which wine from which lot is where, and passing that information reliably on to sales, accounting and HM Revenue & Customs.
Standard packages are rarely set up for wine. A general stock system knows no vintage, no blend and no duty suspension, and a standard webshop knows no age verification or lot tracing. This leads to shadow administrations in loose spreadsheets, where cellar stock, excise returns and sales figures drift apart. With custom software the system fits your cellar, range and customers, and can grow with you as you expand your channels or licences.
Because wine is a excise good and its sale is subject to strict rules, we build traceability at batch level, sound stock logic and the right integrations into the architecture from the start. Read more about our custom software and about production planning software for those who want to schedule cellar capacity and bottling runs tightly.
The lot as the common thread
Every receipt, bottling and sale is tied to a lot with estate, vintage, grape variety or blend and lot number. This gives you full traceability from grape to bottle, including during an inspection or a recall.
Excise that adds up
Inputs, outputs, suspension and release for consumption are recorded per lot, so your stock and excise administration can be reconciled with HM Revenue & Customs at any time and your returns are backed up.
Sales across all channels
The same stock feeds B2B sales to hospitality and retail and direct sales to consumers via webshop and tasting, with separate price lists, age verification and invoicing, without double counting.
How we build your wine trade software
We work in clear stages and involve your cellar master, sales and administration early in the process. From a thorough review of your vinification, stock logic and excise flow through to go-live and ongoing support, every step is aimed at software your team understands, trusts and uses every day, both in the cellar and behind the sales counter.
We map out your process: harvesting and vinification, cask and tank management, stock per vintage and blend, excise and EMCS, purchasing and sales channels. Together we determine which batch logic, integrations and licences are leading.
We design the batch model, the stock and excise logic and the sales flows, plus the approach to integrations with accounting, payment provider, webshop and customs software, and the setup of label and allergen data.
We build in short iterations with automated testing and monitoring. You see working versions along the way and help steer priorities and how well the software fits your cellar practice and sales.
Controlled go-live with data validation and a safety net, including migration of existing stock and lot data, followed by ongoing support and further development as your range, channels or regulations change.
What wine trade software does in practice
We tailor every application to your role in the chain, your range and your licences. Below are the features we most often deliver for winemakers, importers and traders.
Harvest, vinification & batch management
Record the grape, plot and quantity for each harvest and track vinification as a batch: fermentation, malolactic fermentation, maturation and measurements such as sugar, acidity and alcohol. Every blend and assemblage remains traceable to its underlying lots.
Cask & tank management, blending & bottling
A log per cask and tank: filling, racking, blending and bottling, while preserving origin and quantity. At bottling you record bottle size, lot number and label details, including allergens and alcohol percentage, as the basis for labels and e-labelling.
Stock per vintage, grape & blend
Stock at lot level: per estate, vintage, grape or blend, bottle size and location, distinguishing what falls under excise suspension and what has already been released for consumption. This keeps cellar stock and accounting from drifting apart.
Excise & customs administration (EMCS)
Support for your monthly excise return from your excise goods warehouse, with inputs and outputs per batch. For shipments under duty suspension between EU countries, we link e-AD data and arrival notifications from EMCS to the correct batch and stock.
Purchasing from estates & import
Purchase orders and receipts from domestic and foreign estates, with allocations, en primeur releases and expected delivery dates. Receipts go straight into stock at lot level, including the customs and excise status of the consignment.
Sales, wine club & tastings
B2B sales to hospitality and retail with volume tiers and customer-specific pricing, plus direct sales to consumers through the webshop, a wine club with subscriptions, and tastings. Orders, delivery and invoicing run on the same stock and lot administration.
Who we build wine trade software for
The wine chain has several roles, each with its own core and obligations. For each we build software that fits their process, their range and the way they buy, store and sell.
Winemakers
Vineyards and cellars that harvest, vinify and bottle their own wine. They need software that tracks the batch from grape to bottle, logs cask and tank management and supports excise administration from the excise goods place. Those who want to plan capacity and bottling runs can combine this with production planning software.
Wine importers
Importers who source wine from domestic and foreign estates and resell it to the trade and hospitality sector. For them, purchasing and allocation, duty-suspended import with EMCS and e-AD, and stock per vintage and cuvée are at the heart of the system.
Wine merchants & off-licences
Trade businesses and off-licences that sell both B2B to hospitality and retail and direct to consumers, through a shop and delivery. They need their own price lists per customer, stock across locations and sales that reconcile at batch level. You can plan delivery routes efficiently with route planning software.
Online wine shops
Web shops that sell directly to consumers, often with a wine club, subscriptions and tasting packs. They need age verification, payment methods such as iDEAL, and a web shop that runs on the same stock and batch administration as the rest of the business.

We build on a modern, maintainable web stack and integrate with the systems the wine trade uses every day. Think of your accounting, a payment provider with iDEAL for the webshop, your customs and EMCS flow for shipments under duty suspension, and scanners for the cellar and warehouse. We set up each integration so that stock, excise and sales line up, and you no longer have to work with loose export files.

Why choose Appfront for your wine trade software?
Appfront builds custom software and always begins with a thorough analysis of your processes, your range and your licences. Software for the wine trade must not only be technically sound, but also reflect the reality of the cellar and follow the rules on excise and sales. We translate that reality into a batch model and stock logic that remain correct for years to come.
We write clear documentation so your own team or a future supplier can understand and manage the software. No black box, but transparent code and clear agreements on integrations, stock logic, excise and maintenance. This way you avoid being tied to a single party and stay in control.
You work with a dedicated point of contact who understands both the technology and the practice of making and selling wine. That keeps lines short, prevents miscommunication and speeds up decisions when choices need to be made during the build. Our business developer, Fabian van Dijk, works to clarify what your business needs before a single line of code is written.

Security and privacy in wine trade software
Anyone selling wine to private customers processes personal and payment data and must verify age when selling alcohol. That is why we build privacy by design from the architecture up. We document, for each data flow, which data is needed, apply data minimisation, and set up role-based authorisation, so that, for example, a cellar worker does not automatically see customer and payment data. We route payment processing through a certified payment provider, so you do not need to store sensitive card details yourself.
We build in line with the GDPR, with encryption in transit and at rest, role-based access and complete logging of access and changes. We handle age verification and the statutory labelling and allergen information in accordance with the applicable rules, which we verify case by case against current legislation. We document data flows and authorisations, so that your record of processing activities stays complete and you can demonstrate that you are in control.

Frequently asked questions about wine trade software
Answers to the questions we are asked most often about custom software for the wine trade.
Wine trade software supports the entire journey of a wine, from grape to invoice. For winemakers, this covers harvest and vinification with batch and blend management, cask and tank management with logbook, blending and bottling. For importers and traders, it covers purchasing from estates, stock by vintage, grape and blend, excise and customs administration, and sales to hospitality, retail and private customers. Custom software lets you set this up the way your cellar, range and customers require, rather than forcing your way of working into a standard package that does not understand the wine trade. This keeps lot-level traceability intact and your excise administration accurate.
In the Netherlands, wine is an excise good. Anyone who produces, stores or processes wine under duty suspension typically does so from an excise goods place (AGP, accijnsgoederenplaats), a location licensed by Customs. Within the AGP, excise duty is not yet payable; it becomes due only when the goods are released for consumption. The software supports this by recording, per lot, how many litres and what alcohol percentage fall under suspension, tracking goods in and out, supporting the monthly return, and maintaining a reconciled stock administration that can be matched with Customs at any time. We always set this up around your licence and way of working, and we verify the rules against the current Excise Act (Wet op de accijns).
EMCS, the Excise Movement and Control System, is the European system for electronically tracking the movement of excise goods under duty suspension between member states, using an electronic administrative document (e-AD). If you import wine from another EU country under duty suspension, or dispatch it yourself, an e-AD with an ARC reference comes with it. We can set up the software so that shipments, e-AD data and arrival notifications are linked to the correct batch, so your stock and excise records and the customs flow line up. We will align the exact form of the integration with your customs software and your agreements with the Customs authority.
We build custom software. A winery with its own harvest and bottling has a different core from an importer with hundreds of estates, or a wine merchant serving both hospitality and an online shop. Custom software is aligned with your actual process, from vinification and blending through to direct-to-consumer sales, and can grow with you as you expand your range, channels or licences. After an intake meeting, we determine together which functionality matters most and in what order we build it, without promising a fixed timeline or price that we cannot yet substantiate.
In the wine trade, a product is not just a name but a combination of estate, vintage, grape or blend, and often also bottle size and lot number. The software therefore works with batches: every receipt, bottling or sale can be traced to a specific batch with its vintage and origin. This way you can see how much stock there is per vintage and blend, and at which location, and you can rely on full traceability in the event of a recall or inspection. At the same time, you keep an overview of what is under suspension and what has been released for consumption.
Yes. Since December 2023, wines placed on the market in the EU must carry a list of ingredients and a nutrition declaration, part of which may be made available electronically via an e-label accessed through a code on the bottle. In addition, allergen declarations apply, such as contains sulphites where levels exceed ten milligrams per litre. The software can record label details, allergens, alcohol content and origin (such as PDO or PGI) per batch and use these as the basis for labels and the e-label. We verify the requirements against the current EU regulations, so your declarations are correct.
Yes. Many wine businesses sell through several channels at once: B2B to hospitality and retail with their own pricing agreements and invoicing, and direct to consumers via a webshop or tasting events. We build software that shares the same stock and batch administration across those channels, with separate price lists, order flows and invoicing. For the webshop this includes age verification and payment methods such as iDEAL, plus integrations with your accounting. This way you sell through multiple channels without double-counting stock or relying on loose export files.
Yes. We regularly take over existing applications or webshops, even when they were built by another party. We review the architecture, the integrations with accounting and payment providers, the stock and excise logic and the security, document the current setup and draw up improvement proposals. From then on we can handle changes, integrations and monitoring, or modernise step by step towards a maintainable situation without having to replace everything at once.
