Toolbox signed off on site Inspection with photo and action item Ready for the VCA audit

Custom toolbox and workplace inspection app development

VCA requires a minimum number of toolbox meetings and workplace inspections per year, with proof that they were held and that findings were followed up. On the construction site this is still often done with a paper attendance list and an inspection form that is retyped later. Appfront builds an app that lets the site manager have the toolbox signed off on the spot, record the inspection with photos, and track action items until they are resolved.

What is a toolbox and workplace inspection app?

A toolbox meeting is a short briefing on workplace safety, and a workplace inspection is a walk around a project to check that work is being done safely. VCA (the safety certification scheme for contractors) requires companies to hold a minimum number of these each year, depending on the certificate, and to be able to show who attended, what was found and what was done afterwards.

On paper this works well enough, until the audit. Then an attendance list turns out to be missing, an inspection form is illegible, or an action point from March was never followed up. The safety coordinator (KAM) gathers forms from vans and site cabins, and only finds out at the end of the year whether the required number has been met.

We build an app for the site manager and the foreman. The toolbox is delivered on the phone and signed off by everyone present, the inspection is recorded with fixed questions and photos, and every finding becomes an action point with an owner. The office sees per project and per year where you stand against the VCA requirements, and no longer has to retype anything.

How we build your toolbox and workplace inspection app

We start with how you work: which toolbox meetings you hold, who gives them, which questions are on your inspection form, and what your VCA certificate requires. Then we build the app for the site manager, with your topics and your checklists, plus the overview for the office. We often start with the toolbox with sign-off and the workplace inspection, because that is what the audit asks for. Action points, reports per project and the integration with your VCA file or project administration follow once that is working well. After that, we keep the app up to date when the VCA requirements or your checklists change.

Topic, attendance, sign-off.

Workplace inspection

Fixed questions per project.

Photos

For every finding.

Action points

With owner and deadline.

Who we build a toolbox and workplace inspection app for

The app is designed for companies with a VCA certificate and people working on projects. The more projects and site managers you have, the more it delivers.

Contractors

Many projects. The numbers count.

Installers

Small crews. Quick sign-off counts.

Subcontractors

Working for others. Proof counts.

QHSE coordinators

Overview across all projects.

Why Appfront for your toolbox and workplace inspection app?

Attendance lists that go missing, inspections that get retyped and action points that are never followed up cost a contractor time and a finding at the audit. That is what we build around: sign-off on site, findings with a photo and an owner, and the overview the auditor asks for.

No paper

Security and privacy in a toolbox and workplace inspection app

The app processes data about employees, projects and findings, including names, signatures and photos of the workplace. Access is set up per role, a site manager only sees their own projects, and every entry is recorded with who made it and when.

The app and the underlying environment run in a European data centre, with encrypted storage and daily backups. We record the processing in a data processing agreement.

Frequently asked questions about a toolbox and workplace inspection app

Questions that contractors and VCA/QHSE coordinators ask before they get started.

That depends on your certificate. VCA* requires fewer per year than VCA** or VCA Petrochemicals. The app tracks how many you have held each year and shows where you stand against the number that applies to your certificate.

The VCA file software covers the whole file: diplomas with expiry dates, toolbox talk records, incident reports and the export for the audit. This app is for the field: the supervisor who gives the toolbox talk and carries out the inspection. They can be built together and then share the same data.

On the supervisor's phone or tablet, with a signature or a code for each employee. Anyone who was not there receives the toolbox talk later and signs off then, so the attendance record per employee is correct.

Yes. The inspection works with your questions, per type of project or workplace. If a question changes, you update it for new inspections, and earlier inspections stay as they were carried out.

A finding becomes an action item with a photo, a description, an owner and a deadline. The owner receives a notification, and the action item stays open until someone closes it. The office can see what is still outstanding for each project.

Yes. Toolbox talks, inspections and photos are stored on the phone until there is a signal again. That way the supervisor can carry on even in a basement or a tunnel.

For VCA-certified contractors and installers, for subcontractors in construction, infrastructure and industry, for temporary employment and secondment agencies with VCA staff, and for QHSE coordinators who oversee multiple projects. With one project and a handful of employees, paper is often still manageable.
