Custom tank inspection file and certificate management

A fuel or oil tank installation may only be installed and inspected by a certified company working to BRL SIKB 7800, and every inspection produces a report or certificate. Appfront builds the software that keeps the file for each tank complete: installation certificate, inspection reports and findings, deadlines for the next inspection, and an overview across all tanks and locations.

What is software for tank inspection files and certificate management?

Tank installations for liquid fuels and oil are subject to strict rules, because a leak contaminates the soil. Under the Environment and Planning Act (Omgevingswet), only a recognised, certified tank installation company may install, maintain and inspect them and issue an installation certificate. The assessment guideline for this is BRL SIKB 7800, which fully replaced the old BRL K903 in 2021. Guidelines such as PGS 28 and PGS 30 apply to the storage itself.

So every tank has a file: the installation certificate, inspection reports, findings that must be rectified, and a date by which the next inspection is due. For an owner with several sites, that file sits in folders per site. For an inspection company, it sits in a spreadsheet with hundreds of customers' tanks. A deadline that lapses is only noticed when the regulator asks about it.

We build custom software because every company has different tanks, customers and ways of working. Whether you inspect or own tanks, which types of tank you have, how reports are currently produced and where they need to go all determine how the software works. It connects to your planning, reporting or maintenance system, so data is never entered twice.

How we build your software for tank inspection files and certificate management

We start with your business: do you inspect tanks yourself or have them inspected, how many tanks and sites are there, where are the certificates and reports now, and which deadlines apply. Then we look at your planning, reporting or maintenance system, so the software knows the same tanks and customers. We often start with the file per tank and the deadlines, because that is where most of the risk lies. Findings, rectification and inspection planning follow once that works well. After that, we keep the software up to date as rules or your way of working change.

Why Appfront for your tank inspection file and certificate management software?

Certificates in folders per site, inspections tracked in a spreadsheet and a deadline that only gets noticed when the regulator calls leave a tank owner exposed and make an inspection company dependent on memory. That's what we build on: a complete file per tank, deadlines monitored, and every finding followed until it has been fixed.

Always in order

The file is complete.

Nothing expires

Alerted in time.

Demonstrable

Ready for the regulator.

Security and privacy in tank inspection file and certificate management software

The software processes data about installations, sites and customers, and the names of inspectors and contact persons. Access is set up per role, a customer only sees their own tanks, and every change to a file is logged with name and timestamp.

The software runs in a European data centre, with encrypted storage and daily backups. Certificates and reports are kept for as long as the regulations require. We record the processing in a data processing agreement.

Frequently asked questions about tank inspection file and certificate management software

Questions that inspection companies and tank owners ask before they get started.

The tank's details, such as type, product, capacity, year of construction and location, the installation certificate, the inspection reports and classifications, findings with their remediation, and the date of the next inspection. Together, these show that the tank is compliant.

Under the Environment and Planning Act (Omgevingswet), only an accredited and certified tank installation company may install, maintain and inspect tank installations and issue an installation certificate. The assessment guideline for this is BRL SIKB 7800, the successor to BRL K903.

Yes. For each tank, it shows when the next inspection is due, based on the type of installation and the rules that apply to it. Well before a deadline expires, the owner or the inspection company receives an alert, and an inspection company can schedule the inspection straight away.

Every finding from an inspection becomes an action with an owner and a deadline. Once the repair has been carried out, you record it with photos, and after a check the finding is closed. That way you can see which tanks still have open items.

Yes. An inspection company sees all tanks of all customers, schedules inspections per region, and delivers reports and certificates into the customer's file. Customers can view their own file, so they don't need to call.

Yes. Existing certificates and reports are imported per tank, and the key details, such as date and outcome, are recorded. How best to do this depends on how they are currently stored, and we look at that in the first step.

For tank installation and inspection companies, owners of petrol stations, transport and agricultural businesses with their own tanks, and industry storing fuels and oil. If you have a single tank and an inspection company that reminds you, a folder is often still enough.
