Custom real-time VAT reporting integration
More and more countries want VAT data per transaction, shortly after the invoice, instead of in a periodic return. Poland, Spain, Hungary and Italy already do this in their own way, and under ViDA, businesses across the EU must report intra-Community B2B transactions digitally from 1 July 2030. Appfront builds the integration between your ERP or accounting system and those reporting systems, with pre-submission checks and a log for each submission.
What is a real-time VAT reporting integration?
VAT reporting is shifting from the periodic return to transaction-level data. In Poland, invoices have had to go through the national KSeF system since 2026. For years, Spain has required larger businesses to submit invoice data shortly after issuing the invoice via SII, Hungary wants invoice data almost immediately, and in Italy invoices run through the tax authority's system. Each country has its own format, its own rules and its own way of reporting errors back.
ViDA, VAT in the Digital Age, adds a European layer on top. From 1 July 2030, intra-Community B2B transactions must be reported digitally, based on an electronic invoice, and for these transactions that reporting replaces the current EC Sales List. The Netherlands is working on its implementation, and the timeline for domestic transactions is still being developed.
We build custom solutions because companies differ in countries, systems and volumes. The integration pulls transactions from your ERP or accounting system, converts them into what each country requires, checks them before they are sent, and processes the responses. Whether you connect directly or via a service provider, and which rules apply in each country, we look at in the first step, together with your tax adviser.

How we build your real-time VAT reporting integration
We start with your countries and systems: in which countries do you have a VAT registration, which transactions must be reported, which ERP or accounting package do they come from, and how does it work today. Then, together with your tax adviser, we establish which rules apply in each country and which route to take: directly or via a service provider. We often start with the country where the obligation already applies and where most of the manual work sits. Other countries and the preparation for ViDA follow on the same foundation. After that, we maintain the integration as formats or rules change.

Directly or via a service provider.
Responses
Rejections fed back.

Who we build a real-time VAT reporting integration for
The integration is intended for companies that must report VAT data per transaction, now or soon under ViDA. The more countries and transactions, the more it delivers.
International groups
Multiple countries. One foundation counts.
Wholesalers
Many deliveries within the EU. ViDA counts.
Manufacturers
Establishments abroad. Accuracy counts.
Finance departments
Own ERP. No manual work is the key.
Technology and integrations
This page is about reporting transactions to tax authorities. For invoices under the European standard, see our page on ViDA software; for rates, returns and OSS, our page on VAT compliance software; and for sending e-invoices, our page on the Peppol integration. You can read about our approach on building custom software.
Why Appfront for your real-time VAT reporting integration?
VAT data that is submitted by hand per country, and rejections that sit unread in a mailbox, cost a finance department time and create a risk of fines. We build on that: reporting from your own systems, checks up front, and one foundation for all countries and for ViDA.
No manual work
From your own systems.
Errors caught early
Checked before reporting.
Future-proof
Ready for 2030.
Security and privacy in a real-time VAT reporting integration
The integration processes data on transactions, customers and suppliers, plus the credentials for tax authorities' systems. Certificates and keys are stored encrypted, access is set up per role, and every submission is logged with what was sent and what came back.
The integration runs in a European data centre, with encrypted storage and daily backups. Data you are required to retain stays available. We document the processing in a data processing agreement.
Frequently asked questions about a real-time VAT reporting integration
Questions finance teams ask before they get started.
Submitting VAT data to the tax authority per transaction, shortly after the invoice is created, rather than only in a periodic return. Every country that introduces it has its own system, format and deadline.
ViDA, VAT in the Digital Age, is the European package for VAT in the digital era. From 1 July 2030, intra-EU B2B transactions must be reported digitally based on an electronic invoice, and for these transactions that reporting replaces the EC Sales List. How the Netherlands will introduce it for domestic transactions is still being worked out.
Our page on ViDA software is about the invoice itself: an invoice that meets the European standard, validated at the moment it is created. This page is about submitting the data to tax authorities, country by country. The two go hand in hand.
That depends on the country and your situation. In some countries you connect directly, in others it often goes through a service provider. In the first step we look at which route suits each country, even if you already have a service provider.
The response comes back on the transaction, with the reason. The rejection goes into a work queue, so someone can fix it and resubmit within that country's deadline. Every step is logged.
Yes, that is the idea. The integration pulls transactions from your ERP or accounting system, without you having to switch software. In the first step we look at which data is needed and whether your software holds it.
You do, together with your tax adviser. We build the integration according to the rules you set, and keep the formats up to date when countries change them. We do not give tax advice.
