Custom software for payroll contracts and client agreements
A payroll employee is entitled to the same terms of employment as the employees the client has on its own payroll. For a payroll company with dozens of clients, that means knowing, for each client, which collective agreement, which pay scales, which allowances and which expenses apply, and keeping track of when they change. Appfront builds the software that records this and passes it on to payroll administration and the invoice.
What is software for payroll contracts and client agreements?
With payrolling, the client recruits the employee itself, and the payroll company is the legal employer. Since the Balanced Labour Market Act of 2020, a payroll employee has been entitled to the same terms of employment as employees on the client's own payroll, and since 2021 also to an adequate pension scheme. The payroll company therefore has to know what applies for each client.
In practice, this information is scattered. The contract with the client sits in a folder, the collective agreement in a PDF, and the agreement on an extra allowance in an email. When the client's collective agreement changes, the payroll company hears about it too late, and salaries and invoices are corrected retroactively. In a check or audit, you have to dig around to find out what applied when. And when an employee asks why their allowance differs from that of a colleague at the client, nobody has the answer to hand.
We build custom software because every payroll company has different clients, collective agreements and systems. How many clients you have, which payroll administration you use, how you invoice and how you currently hear about changes determines how the software works. It connects to your payroll administration and invoicing, so agreements are not entered twice.

How we build your software for payroll contracts and client agreements
We start with your business: how many clients you have, which collective agreements and schemes are involved, where the agreements are now, and how changes reach you. Then we look at your payroll administration and invoicing, so the software uses the same employees, roles and rates. We often start with the terms of employment per client, because that is where most corrections come from. Rates, renewals and alerts follow once that is running well. After that, we maintain the software as rules, collective agreements or your systems change.

Why Appfront for your software for payroll contracts and client agreements?
A collective agreement (cao) change that arrives too late, an allowance that only exists in an email, and an audit where nobody knows what applied when: they cost a payroll company corrections, margin and trust. That is what we build on: all agreements per client in one place, changes processed on time, and everything passed on to payroll and invoicing.

Security and privacy in software for payroll contracts and client agreements
The software processes data on employees and clients: names, job titles, salaries and contracts. These are personal data, and salaries are sensitive. Access is set up per role, a client only sees its own employees, and every change is logged with name and timestamp.
The software runs in a European data centre, with encrypted storage and daily backups. We document the processing in a data processing agreement.
Frequently asked questions about software for payroll contracts and client agreements
Questions payroll companies ask before getting started.
Since the Balanced Labour Market Act (Wet arbeidsmarkt in balans) of 2020, a payroll employee is entitled to the same employment conditions as employees of the client in an equal or equivalent role. Since 2021, an adequate pension scheme has also applied. So the payroll company needs to know what applies at each client.
The payroll agreement with rates, term and renewals, the collective agreement (cao) and salary scales, allowances, expenses and pension, and every change with its effective date and the source it came from. Together, that forms the client's file.
The software flags when a collective agreement or scheme is about to expire and asks the client to confirm the new terms. You can also record an effective date in advance, so payroll processes the change on time rather than retroactively.
Yes, if your payroll administration allows it. Employment conditions and placements are passed on to payroll, and rates to invoicing. We will look at which route your package offers in the first step.
Yes. Per client and per period, you can see which agreements applied and where they came from. For an audit, or for the certification that temporary employment agencies must apply for under the Wtta (Wet toelating terbeschikkingstelling arbeidskrachten), you can show that without searching.
Yes, if you want that. Clients get access to their own file, see which agreements apply and confirm changes. That ends any discussion about what was agreed.
For payroll companies, temp agencies with a payroll arm, HR service providers and clients that have many employees working via payroll. If you work for a few clients under the same collective agreement, your payroll package is often still enough.
