What is internal newsletter software?

Internal newsletter software is the toolkit a communications team uses to create a periodic mailing for staff, have it approved, target the right groups and send it. It differs from an intranet: the intranet waits for someone to come and look, whereas the newsletter goes out to people. For the first, we have a separate page on intranet development.

Many organisations use a marketing tool for this. That works until the moment the audience has to come from the HR system, the mailing must also reach production staff without work email, or the data protection officer asks why there is a tracking pixel in internal post. Then it becomes clear the tool was built for a different purpose.

Audience from the source

Recipient lists are derived from your HR system or Entra ID groups: department, location, job group, employment type. Anyone who leaves the organisation drops off the list automatically, without anyone having to update an export.

Renders in Outlook too

The desktop version of Outlook renders HTML with the Word engine, where much modern layout breaks. We build templates that cope with this, with dark mode variants and a plain-text alternative.

Measuring without tracking

You measure reach and engagement at an aggregated level, without individual tracking pixels in internal post. This gives you useful direction without recording the reading behaviour of individual employees.

Security and privacy in internal newsletter software

An internal newsletter processes employees' personal data: name, email address, department, location and sometimes language and employment details. That is ordinary processing under the GDPR, but the employer-employee relationship makes it sensitive: an employee can find it difficult to opt out of internal communications.

For that reason we advise against recording individual reading behaviour. By default we measure in aggregate, per audience and above a minimum group size, so you can steer on reach without being able to trace who opened a message. If you still want to go further, we document the legal basis, retention period and information obligations explicitly.
