Custom software for quality indicator submission files
Appfront builds software for healthcare providers who need to submit quality indicators, for example under the Transparency Calendar. For each indicator: the definition, the source in your own systems, the owner and the calculation; a schedule of all submissions with deadlines; checks for outliers and missing data; and sign-off by whoever is responsible for it. So that the submission doesn't become a fresh project every year.
What is software for the quality indicator submission file?
Healthcare providers submit quality data every year, including quality indicators. The Transparency Calendar of the Dutch National Health Care Institute (Zorginstituut) sets out which data must be submitted and when. The Institute makes it public, and it is used by patients, health insurers and the Healthcare Inspectorate. There are also submissions to quality registries, insurers and sector organisations.
Each submission involves a lot of work: working out, for every indicator, what the definition is, where the data sits, who supplies it, how the numerator and denominator are calculated, and whether the result is correct. In many organisations this is done with spreadsheets and emails, by a handful of people in the quality department, year after year. A definition changes, a deadline is missed, or the result differs sharply from last year without anyone noticing before sign-off.
We build custom development because the file has to fit your organisation: which indicator sets you submit, where the data lives, how your quality department works and who signs off. The obligations and definitions come from the Zorginstituut, the registries and the professional bodies; what applies to you is decided with your quality department. The software keeps track of what you need for that and calculates where it can.
Everything per indicator in one place
Definition, numerator, denominator, source, owner and calculation per indicator, with the history of previous years.
Deadlines at a glance
A schedule of all submissions, showing for each indicator what is ready and what still needs doing.
Checked and signed off
Checks for outliers and missing data, and sign-off recorded before submission.
How we build your software for the quality indicator submission file
We start with your submissions: which sets, which deadlines, where the data lives, and who does what.
Your indicator sets, deadlines, sources, owners and sign-off staff.
Definition, source, calculation and owner per indicator, with history.
Calculation from your own data where possible, and checks for outliers.
Sign-off recorded, an archive per year, and management when new definitions arrive.
What software for the quality indicator submission file actually does
The components below come up with almost every healthcare provider. Which ones you need depends on your submissions.
Indicators
Definition, numerator, denominator and exclusions per indicator.
Sources
For each data item, the source in your own systems.
Planning
Submissions with deadlines and status.
Calculation
Results calculated from your own data where possible.
Validation
Outliers, missing data and difference from last year.
Sign-off
Who signed off, when, and on which result.
Who we build software for the quality indicator submission file for
The software is intended for healthcare providers for whom submitting every year is a project.
Hospitals
Many indicator sets and registries. The schedule is the core.
Treatment centres
A small quality department. The file per indicator matters most.
Mental healthcare institutions
Indicators drawn from several systems. Only the sources you need.
Nursing homes
Indicators per location. Checking before submission is the core.

Why choose Appfront for your quality indicator submission file software?
An indicator submitted incorrectly is published and used by insurers and the inspectorate. We build on that: every indicator traceable, deadlines in view, and checks before sign-off.
No project each year
last year's file is the starting point for this year.
No missed deadlines
Every submission is in the plan.
Traceable
For each result, the definition, the source and the sign-off.
Security and privacy in quality indicator submission file software
The software processes data derived from patient records. Where possible, only aggregated data is stored. Access is set by role, and every calculation and sign-off is logged.
The software runs in a European data centre or in the organisation's own environment, with encrypted storage, daily back-ups and two-factor sign-in.
Frequently asked questions about quality indicator submission file software
Questions quality departments ask before getting started.
It records the definition, source, owner and calculation for each indicator, plans all submissions with deadlines, calculates results from your own data where possible, checks for outliers and missing data, and records the sign-off.
The Transparantiekalender (Transparency Calendar) of the Dutch Healthcare Institute sets out which quality data healthcare providers must submit and when. The Institute publishes the data on Zorginzicht.
Submission follows the route that applies to an indicator set. The software ensures the data is ready in the required format, checked and signed off. Where an integration with the submission route is possible, we will look into that in the first step.
Yes, where the data sits in your own systems and the definition allows it. The numerator and denominator are calculated according to the definition, and the calculation can be traced for each result. Where data must be supplemented by hand, it is recorded who did so and why.
The definition gets a new version, with the date it takes effect. Earlier submissions stay on the old definition, so the history remains accurate.
Whoever you appoint, for example a medical manager or the board. The software records who signed off, when, and for which result. A result that changes after sign-off must be signed off again.
Ask this first. A quality management system often manages documents and audits, but not the calculation and submission of indicators. Custom development makes sense if you submit many sets drawn from several sources.
