What is guest communication software?

Guest communication software manages the messages surrounding a stay. Some of these are predictable and can be automated: the confirmation after booking, practical information the day before arrival, check-in instructions, a message at departure and an invitation to leave a review. The rest is unpredictable: guests who have a question, something missing or an issue to report.

That second part requires a shared inbox where messages from email, WhatsApp, booking platforms and your own form come together at the booking they belong to. Without that integration, reception doesn't know who is calling, and the guest has to check three channels for the same answer.

This differs from a PMS, which manages bookings, rooms and invoicing, and from a guest app, which gives the guest their own environment. Guest communication sits in between: it is the layer that organises contact. We build it as bespoke software on top of what you already have.

It is not about the booking itself, which remains your reservation system, but about everything in contact between confirmation and departure.

No. A PMS manages bookings, rooms, rates and invoicing. We build the communication layer around it and integrate that with your PMS for booking data. That is a deliberate choice: replacing your PMS is a much larger and riskier project, and usually communication is the bottleneck rather than the reservation.

Yes, and that's often exactly why people build this. Bookings that come in through platforms leave messages in the platform's own portal, separate from your own mailbox. By pulling those message streams together and linking them to the booking, your team sees one history instead of three separate ones. What's technically possible depends on what the platform allows, so we investigate that upfront.

By building in rules that hold messages back: no review request while a complaint is open, no upselling to a guest who has already booked, no arrival message if someone has already checked in. These exceptions matter more than the messages themselves, as too much communication does more harm than too little.

Yes, through WhatsApp Business, subject to its rules on templates and on when you may initiate a conversation. It is important that you record consent and that the conversation history sits in your own system rather than on an employee's phone. The latter is also a GDPR matter.

Yes. Templates and rules can be managed centrally, with room for location-specific variations, and the inbox can be organised per location or centrally. For property managers with many properties, we often set it up per property with shared standard texts.
